Getting started with Notetaker

Available on: Mac (macOS 13 or later) and Windows, subject to account and organization access.
Notetaker records meetings and creates transcripts and summaries. Start here to grant the audio permissions it needs and record your first meeting.
Before you start
Notetaker appears by default in Wispr Flow. An individual subscription on a Business or Growth price with no team or organization includes full access. On organization Business and Enterprise plans, access depends on your plan, organization, and account permissions: access granted to your account needs no separate opt-in, can be revoked, and overrides Notetaker being disabled for your organization. A signed personal or organization HIPAA BAA blocks recording. If access is restricted, ask your admin to review organization Notetaker settings; disabling it blocks only meetings created from that point onward.
Meeting transcripts and summaries are stored in Wispr's cloud, and there is no setting to opt out of that storage. Improve the model for everyone controls only whether Notetaker and dictation content may be used to improve Wispr's models — on by default for Free and Pro, with the choice shown during onboarding, and off for Enterprise. Turning it off does not stop the cloud processing or storage needed to provide Notetaker. Dictation Cloud Storage applies only to dictation and is not required to record or to open saved meeting notes and summaries.
Important: Ask participants for consent before recording. If Obtain consent to start Notetaker appears, select Consent obtained only after getting permission; canceling or dismissing it does not confirm consent. If Flow cannot post the consent message, send it yourself or ask participants directly. Consent options, including whether Flow posts a notice in the meeting chat, are in Settings → Notetaker → Consent.
Open Notetaker
Open Wispr Flow.
Select Notetaker in the sidebar.
Choose New note for an unscheduled meeting, or press ⌘N on Mac / Ctrl+N on Windows.
You can also start a note from the Flow bar's shortcut drawer, the Notetaker keyboard shortcut, or the dock menu item. Notetaker is available even if you chose dictation during onboarding. A calendar connection is optional — record an unscheduled meeting now and connect later; see Meeting detection, reminders, and calendar.
Note: If your organization has turned Notetaker on and you have not recorded a meeting yet, the Hub shows a one-time Your organization has enabled Notetaker card after onboarding. Select Try Notetaker to open the Notetaker page and start from step 3. Starting a new note during another recording asks Stop Notetaker? before switching; closing the Notetaker window does not stop a recording in progress, and your notes are kept when you reopen it.
Complete recording setup
If you see Complete setup to start Notetaker, recording has not started. Bring the recorder window forward and finish its checklist, which lists only the requirements still missing: Enable Microphone captures your voice and Enable System Audio captures other participants. On Mac, microphone access takes effect immediately; grant Accessibility when requested, which Flow uses for call-end detection, meeting recognition, and arranging the notepad beside your meeting.
Mac: macOS 14.4 or later
Use the system-audio row in the recorder's checklist.
Click Turn on beside Enable System Audio.
Choose Allow. No restart is required.
Retry with Turn on if permission was denied or no prompt appeared, then enable Wispr Flow under System Audio Recording in the System Settings window that opens.
Mac: macOS 13 through 14.3
System-audio access requires restarting Flow, even when permission is already granted.
Click Turn on beside Enable System Audio.
Allow access in the macOS Screen Recording prompt or System Settings.
Click Restart Wispr Flow when offered; the restart row also offers Open Settings.
Flow reopens afterward and can resume the meeting, except during onboarding or the tutorial. Device-management restrictions send you directly to System Settings, and already-granted permission sends you directly to the required restart.
Windows
Windows requires both microphone switches below; there is no separate Flow setup step for System Audio or Accessibility.
Click Turn on beside Enable Microphone to open Windows microphone privacy settings.
Enable Microphone access.
Enable Let desktop apps access your microphone.
Set your meeting app (Teams, Zoom, and similar) to play through the Windows default output device, and select that device before you start recording.
Important: Flow captures other participants from the Windows default output device only. Audio sent to a different output — for example a headset chosen only inside Teams, or a device you switch to mid-call — is not recorded.
If permission is not granted, Turn on becomes available to retry after 30 seconds for system audio on macOS 14.4 or later, or about 32 seconds for microphone access. Completing every listed requirement shows All set! If a requirement is later revoked, setup can reopen while the recorder is idle; existing notes and transcripts are preserved. Follow any account or organization restriction message, or contact your admin. Back or Escape closes the recorder window without starting a recording or deleting existing notes.
Record and review
Complete any remaining permission or consent prompt.
Check the recording indicator to confirm recording has started.
Type your own notes in My thoughts during the meeting; they stay separate from the generated summary and are excluded when you share the note.
Click Stop in the meeting window footer when finished.
Wait for saving and processing, then open the meeting's Summary and Transcript tabs.
If Summary shows Not auto-generated, click Generate summary; stopping a short recording or switching computer users can require this. Very short meetings show The meeting was too short to summarize. Tip: Turn auto-start on any time in Settings → Notetaker so Notetaker begins recording whenever a meeting is detected.
If you cannot start or capture audio
Notetaker is missing: Your platform, organization policy, or a signed HIPAA BAA can hide the sidebar entry. Ask your admin whether Notetaker is enabled.
System audio: On Mac, denial at recording start stops capture and reopens setup. A mid-recording loss, or a failure on Windows, keeps microphone-only recording going with a warning.
No participant audio on Windows: Confirm the meeting app is playing through the Windows default output device, then start a new recording; output changes made after recording begins are not picked up.
Microphone: Use Microphone settings in the no-audio warning to check the selected mic and mute status.
No more Meeting detected cards: If you never act on them, Flow turns meeting detection off and shows Meeting notifications turned off. Select Turn back on to re-enable auto-detect meetings right away, or turn it on later in Settings → Notetaker; starting a recording from a detection card keeps detection active.
If you see a microphone warning or someone is missing from the transcript, follow the recording and audio troubleshooting guide. If transcription fails mid-meeting, the local recording remains saved.
