Offline meeting recording in Notetaker

If you lose internet mid-meeting — or start one while offline — Notetaker keeps recording. Audio is captured locally and transcribed automatically once you're back online.

How it works in Flow

Key behaviors

• Starting offline: If transcription can't connect at the start, a "Live transcript unavailable" notification offers Record offline or Cancel.

• Dropping offline mid-meeting: Recording continues, and a "Connection lost. Recording saved up to here." toast marks the point in the transcript. Live transcription resumes on its own once you're back online.

• Post-meeting transcription: Offline audio is transcribed and refined after the meeting ends, then appears in the Transcript tab of the meeting view alongside live-transcribed sections.

• Upload and summary: Closing your laptop lid doesn't interrupt processing, which resumes when your Mac wakes. Offline meetings are processed automatically regardless of length. Existing or edited summaries are never overwritten — click Update summary to re-run one.

• Long-meeting check-ins: A "Still taking notes" check-in appears when a meeting runs past its scheduled end — ignore it to keep recording, or press Stop to end now. An "Approaching time limit" warning appears shortly before the cap; dismissing it does not prevent the hard stop.

• Mac sleep: Recording ends when your Mac suspends, and quota and duration count up to that moment. On wake, a "Notetaker stopped when your Mac went to sleep" notification offers Resume to continue into the same meeting; the transcript and summary come from the audio captured before sleep. Clamshell mode with an external display, where your Mac stays awake, is unaffected.

• Full disk during a live-transcribed meeting: Recording continues, your live transcript is preserved, and a "Storage Full" toast appears. The higher-quality refine pass, which needs the local audio file, is skipped for that section.

• Full disk during an offline recording: Recording stops, since the local audio file is the only capture, and a "Storage Full" toast appears. Transcript auto-save failures caused by a full disk show the same toast.

• If transcription never connects: A "Couldn't start recording" card reports that live transcription couldn't start and your audio was saved on your device. Ignoring or dismissing it keeps the recording in your library, and it uploads and summarizes automatically once your connection is restored. Only Discard deletes the meeting.

• Meeting notes saved while Private Cloud Sync is off stay on that device only. A "Turn on Private Cloud Sync to save these notes" nudge (Turn on / Not now) appears for users who can self-enable sync.
