Restrict org-wide snippet and dictionary sharing (snippet sharing policy)

Available on: Admin portal (web), for organizations on a Business-tier plan (labeled Growth or Enterprise depending on your billing tier).

Enterprise admins can control who shares snippets and dictionary words org-wide, and which integrations members may connect — so shared content and connections stay admin-managed.

Snippet sharing policy

Set this in the admin portal under Settings → Organization. Unrestricted (the default) lets any member share org-wide. Department only limits non-admin members to their team's shared library. Admin, superadmin, and IT admin roles can share org-wide under either policy.

Key behaviors

  • Applies immediately, forward only: Department only blocks non-admin creates, edits, and deletes of org-wide entries at once; entries already shared org-wide stay visible and usable.

  • Blocked actions: Non-admins attempting an org-wide create, edit, or delete see the error "Only enterprise admins can share snippets with the entire organization."

  • Renaming counts as an edit: Non-admins cannot rename an org-wide entry, even one they created.

  • Team features required: Without team features, share controls are disabled and non-enterprise users see an upsell on the Team tab.

  • Bulk import: Always writes to your team only and rejects org-wide entries, regardless of policy or role.

Use Department only when you want to

  • Keep org-wide snippets and dictionary words curated and approved by admins only

  • Prevent members from publishing drafts or personal shortcuts to the whole company

  • Let teams maintain their shared library without affecting org-wide content

Connector access

The Connector access section in Organization settings controls which integrations members can connect, with a toggle per connector. Connectors are available unless an admin turns them off, but nothing connects automatically — each member must click Connect and complete authorization.

Available connectors

  • Google Calendar: No data-loss warning on disconnect.

  • Outlook Calendar: No data-loss warning on disconnect.

  • Slack: Disconnecting warns "This may delete briefs that use Slack."

  • Gmail (Google Automations): Disconnecting warns "Disconnecting will permanently delete all of your briefs. This can't be undone."

  • GitHub and Linear: Cannot be disabled by admins.

When a connector is disabled

Disabling a connector does not revoke access members already granted. An already-connected member sees "Connected, but unavailable because your organization turned off this connector," with only Disconnect available.

Who can change it

Non-admin members can view connector settings but not change them; locked settings are labeled "This setting is managed by your organization," "Set by your admin," or "Some options are restricted by your organization."

How to set these policies

Snippet sharing policy

  1. Open the Wispr Flow admin portal in your browser.

  2. Go to Settings → Organization tab.

  3. Find the Snippet sharing policy setting.

  4. Select Department only to restrict org-wide sharing to admins, or Unrestricted to allow all members. The choice saves immediately; if the save fails, the dropdown reverts and an error appears.

Connector access

  1. Open the Wispr Flow admin portal in your browser.

  2. Go to Settings → Organization settings.

  3. Find the Connector access section.

  4. Toggle each integration on or off. Changes save automatically; if a save fails, the toggle rolls back and an error appears.

Note: Only admins, superadmins, and IT admins can change these settings. Running desktop apps pick up policy changes automatically — no restart or refresh needed.

FAQs

Will switching to Department only delete existing org-wide snippets?

No. They remain visible and usable by everyone in the organization.

Can I switch back to Unrestricted after enabling Department only?

Yes. Change the policy at any time; Unrestricted immediately allows all members to share org-wide again.

What happens if I disable a connector members are already using?

They keep the connection but cannot use it — see Connector access. Re-enabling the connector restores access.

Limitations and notes

  • Both policies are configured in the admin portal (web), not the desktop app.

  • Orgs with no stored policy default to Unrestricted, so nothing changes until an admin opts in.

  • Several connectors are not yet generally available.

  • Members who are signed out receive the latest policies at their next sign-in.
