Restrict org-wide snippet and dictionary sharing (snippet sharing policy)

Available on: Admin portal (web). Enterprise plans only.

Enterprise admins can control who shares snippets and dictionary words org-wide, and which integrations members may connect — so shared content and connections stay admin-managed.

Snippet sharing policy

This organization-level setting lives in the admin portal under Settings → Organization tab. Unrestricted (the default) lets any member share org-wide. Department only limits non-admin members to sharing within their department. Admin, superadmin, and IT admin roles can share org-wide under either policy.

Key behaviors

  • Applies immediately, forward only: Department only takes effect at once for all new creates, edits, and deletes by non-admin members. Snippets already shared org-wide stay visible and usable; non-admins can no longer create, edit, or delete org-wide entries.

  • Department-scoped entries unaffected: Non-admins can still create, edit, and delete team/department-scoped snippets and dictionary words.

  • Bulk import: Always writes to your team only and rejects org-wide entries, regardless of policy or admin role.

Use Department only when you want to

  • Keep org-wide snippets and dictionary words curated and approved by admins only

  • Prevent members from publishing drafts or personal shortcuts to the whole company

  • Let teams maintain department-level snippet libraries without affecting org-wide content

Connector access

The Connector access section in Organization settings lets Enterprise admins choose which integrations members can connect to the Notetaker for meeting prep and context. Connectors sit in a collapsible Connectors section beneath the parent MCP access toggle. Each connector has its own toggle, all connectors are enabled by default, and changes save automatically.

Available connectors

  • Google Calendar: Controls whether members can connect Google Calendar.

  • Gmail: Controls whether members can connect Gmail, and governs calendar event creation via Gmail.

  • Slack: Controls whether members can connect Slack.

  • Notion: Controls whether members can connect Notion.

  • Outlook: Coming soon — not yet available or toggleable.

Who can change it

Non-admin members can view connector settings but not change them. On plans below Enterprise, the controls are disabled and show an Enterprise plan tag with the tooltip "Upgrade to Enterprise plan to modify this".

How to set these policies

Snippet sharing policy

  1. Open the Wispr Flow admin portal in your browser.

  2. Go to Settings → Organization tab.

  3. Find the Snippet sharing policy setting.

  4. Select Department only to restrict org-wide sharing to admins, or Unrestricted to allow all members. Your choice saves immediately; if the save fails, the dropdown reverts and an error appears.

Connector access

  1. Open the Wispr Flow admin portal in your browser.

  2. Go to Settings → Organization settings.

  3. Find the Connector access section.

  4. Toggle each integration on or off. Changes save automatically; if a save fails, the toggle rolls back and an error appears.

Note: Only admins, superadmins, and IT admins can access and change these settings.

FAQs

Will switching to Department only delete existing org-wide snippets?

No. They remain visible and usable by everyone in the organization.

Can I switch back to Unrestricted after enabling Department only?

Yes. Change the policy at any time in the admin portal; Unrestricted immediately allows all members to share org-wide again.

What happens if I disable a connector members are already using?

They can no longer use that integration in Wispr Flow. Re-enabling the connector restores access.

Can non-Enterprise plans use connector access controls?

No. The controls are disabled below Enterprise. Upgrading to Enterprise gives admins full control over which integrations members can use.

What does MCP access being off mean for connectors?

All connector toggles become read-only until you turn MCP access back on.

Limitations and notes

  • Snippet sharing governance and MCP/connector access are independent Enterprise features and may not ship together.

  • Both features are Enterprise-only and are configured in the admin portal (web), not the desktop app.

  • "Department only" is only meaningful for orgs that have departments configured. Orgs with no stored policy default to Unrestricted, so nothing changes until an admin opts in.

  • Outlook connector support is coming soon and is not yet toggleable.
