Private Cloud Sync and Data Sharing preferences in Wispr Flow

The Improve the model for everyone toggle in Settings → Data and Privacy controls whether your audio, transcripts, and edits are used to improve Flow's AI models. You choose during onboarding and can change it any time.

How to change your preference

  1. Open Flow — click the Flow icon in your menu bar (Mac) or system tray (Windows), or open the Wispr Flow app (iOS).

  2. Go to Settings → Data and Privacy.

  3. Toggle Improve the model for everyone on to allow model training, or off to opt out. Changes save instantly, with no confirmation prompt.

Note: The onboarding privacy screen offers the same two choices and your selection carries over to Settings: Improve the model for everyone (pre-selected), or Don't share data, under which none of your data is used for model training by Wispr or any third party.

How these settings behave

Automatically delete transcripts: forced on and locked when your organization enforces auto-delete, and temporarily locked while your organization's policy loads.

HIPAA BAA: the sheet embeds a PDF of the agreement so you can read it first, and I Agree stays unavailable until you type a legal name. On success a confirmation alert appears and closing it dismisses the sheet; on failure the sheet stays open so you can retry.

When the toggle is locked — by a signed HIPAA BAA or an organization-enforced policy — Improve the model for everyone shows OFF and is disabled, your transcription data is not used to train or improve models, and the subtitle under the toggle tells you which reason applies.

FAQs

Why is my "Improve the model for everyone" toggle locked and greyed out?

Either a HIPAA BAA on your account or an organization-enforced data-use policy. Contact your IT administrator to change an org-level policy.

Can I revoke a HIPAA BAA?

No. After in-app signing the sheet becomes read-only and notes that the action cannot be undone. Contact your Wispr account representative for further assistance.

I'm an enterprise admin. How do I enforce these settings for my organization?

In the Admin Portal under Settings → Organization, set Improve the model for everyone to Disabled for everyone to lock data sharing off org-wide. You can also enforce zero data retention for all users. Contact your Wispr account representative for details on org-level controls.

Limitations and notes

  • Your data-use preference applies across all your devices and refreshes when you open Settings or return to the app, so policy or HIPAA changes made elsewhere appear immediately.
