Private Cloud Sync and Data Sharing preferences in Wispr Flow

Wispr Flow gives you two independent controls over your data: Private Cloud Sync (whether your notes and transcripts are stored on Wispr's servers and synced across devices) and Privacy Mode (whether your data is used to improve Flow). Turn each on or off separately to match how you want Flow to handle your information.


What each toggle does

Private Cloud Sync

Private Cloud Sync stores your transcripts and audio on Wispr's servers and syncs them across your devices. When it's on, these features are available:

  • Wispr Notetaker: requires Private Cloud Sync.

  • Cross-device notes sync: your notes sync across devices only when Private Cloud Sync is enabled.

  • Scratchpad notes sync: keeps Scratchpad notes in sync across desktop and mobile. With Private Cloud Sync off, Scratchpad notes stay on your device until you turn it back on.

  • Personalized speech models: require Private Cloud Sync.

  • Meeting notes: require Private Cloud Sync.

When Private Cloud Sync is off, your data stays on your device only. Features that depend on server-side storage are unavailable until you turn it back on.

Privacy Mode

Privacy Mode controls whether your usage data — including audio, transcripts, and edits — is used to help evaluate, train, and improve Flow and its AI models. When Privacy Mode is on, your dictation data is not used for model training by Wispr or any third parties. Privacy Mode does not control whether your data is stored; that's handled separately by Private Cloud Sync.

Note: Private Cloud Sync and Privacy Mode are independent. You can enable Private Cloud Sync (to use Notetaker and notes sync) while keeping Privacy Mode on, or use any other combination.


Setting your preferences during onboarding

When you first set up Wispr Flow, you'll see a You control your data screen with two options:

  • Help improve Flow: your usage data may be used to evaluate, train, and improve Flow and its AI models.

  • Privacy Mode: your dictation data will not be used for model training by Wispr or any third parties.

Your choice sets your Privacy Mode preference. On Android, your default privacy and sync preferences during onboarding come from your account's settings rather than your plan type. You can change your preferences at any time in Settings.


How to change your preferences

Mac / Windows

Follow these steps on desktop:

  1. Click the Flow icon in your menu bar (Mac) or system tray (Windows).

  2. Go to Settings → Data and Privacy.

  3. Toggle Private Cloud Sync and Privacy Mode independently to your preference.

Changes take effect immediately. If a Private Cloud Sync confirmation prompt appears, you can toggle Private Cloud Sync back off within that prompt to cancel.

iOS

Follow these steps on iPhone:

  1. Open the Wispr Flow app.

  2. Go to Settings → Data & Privacy.

  3. Toggle Private Cloud Sync and Privacy Mode independently. Each toggle has a Learn more link explaining what it controls.

Changes save instantly. If you turn off Private Cloud Sync, you'll see a confirmation prompt before the change is applied.

Note: If Private Cloud Sync is off and you're eligible to enable it, a Sync your notes banner appears at the top of your Notes list. Tap it to jump straight to the Private Cloud Sync setting.

Note: The two-toggle experience is rolling out gradually on iOS. If you see only a single Privacy Mode toggle (with the description "Keep data stored only on your device"), your account hasn't received this update yet. You won't see a Private Cloud Sync row, upsell banner, or Learn more links, and notes sync continues to work as it did before.

Android

Follow these steps on Android:

  1. Open the Wispr Flow app.

  2. Go to Settings → Data & Privacy.

  3. Toggle Private Cloud Sync and Privacy Mode independently to your preference.

Turning Private Cloud Sync off shows a confirmation dialog ("Turn off Private Cloud Sync?") before the change is applied. Turning it on takes effect immediately.

Note: The two-toggle experience is rolling out gradually on Android. If you don't yet see both toggles in Settings → Data & Privacy, your account hasn't received this update yet.

Note: If your organization has enforced a setting, the toggle appears locked with a lock icon and a message indicating it's managed by your organization. Contact your IT administrator to change it.

Note: Changes to Private Cloud Sync and Privacy Mode sync across all your devices (Mac, Windows, iOS, Android). A change made on one device propagates to your other devices automatically.


FAQs

What happens to features if I turn Private Cloud Sync off?

Wispr Notetaker becomes unavailable, and your notes — including Scratchpad notes — no longer sync across devices. Personalized speech models and meeting notes are also unavailable. All notes remain accessible locally on your device, and any Flow features that work locally are unaffected.

Can I turn on Privacy Mode but keep Private Cloud Sync on?

Yes. The two toggles are fully independent. You can enable Private Cloud Sync for features like Notetaker while keeping Privacy Mode on so your data isn't used to train or improve AI models.

I started turning on Private Cloud Sync but changed my mind — can I cancel?

Yes. If a Private Cloud Sync prompt appears after you toggle it on, toggle it back off within that same prompt to cancel. Private Cloud Sync will remain off.

Why is my Private Cloud Sync or Privacy Mode toggle locked and greyed out?

If your account is covered by a HIPAA Business Associate Agreement (BAA), Private Cloud Sync is locked off to meet compliance requirements. On iOS, tap or hover over the toggle to see an explanation. If your organization's admin has enforced a Private Cloud Sync or Privacy Mode policy, those toggles are also locked — on Android, a lock icon and message indicate the setting is managed by your organization. Contact your IT administrator to change any admin-enforced settings.

I'm an enterprise admin. How do I enforce these settings for my organization?

Enterprise admins can control Private Cloud Sync and Privacy Mode for all users from the enterprise admin Settings page. Each setting is configured via a dropdown:

  • Privacy Mode: choose Enforced for everyone to enable Privacy Mode across the organization, or Managed individually to let each user set their own preference.

  • Private Cloud Sync: choose Disabled for everyone to turn off Private Cloud Sync across the organization, or Managed individually to let each user set their own preference.

When a setting is enforced or disabled for everyone, the corresponding toggle is locked for end users. On Android, a lock icon and explanatory message appear when a setting is admin-enforced.

Where can I learn more about how Wispr uses my data?

In Settings → Data and Privacy, tap Learn more next to each toggle for a full explanation of what that setting controls. The link is available on Mac, Windows, Android, and on iOS for accounts that have received the two-toggle update.

I set my privacy preference during onboarding. Do I need to do anything now?

No action is required. Your onboarding choice is automatically carried over to your Privacy Mode setting in the app. You can review or update it at any time in Settings.

If I change a setting on one device, does it update on my other devices?

Yes. Private Cloud Sync and Privacy Mode settings sync across all your devices. A change you make on Android, iOS, Mac, or Windows automatically applies everywhere you use Flow.

On iOS, I only see one Privacy Mode toggle — not a separate Private Cloud Sync toggle. Is that normal?

Yes. The two-toggle experience is rolling out to iOS users gradually. If you see a single Privacy Mode toggle with the description "Keep data stored only on your device," your account is on the previous experience. Notes sync and all other features continue to work as before. No action is needed.

I switched accounts on Android and see unexpected settings or prompts. Is that normal?

Yes. After switching accounts, your Private Cloud Sync and Privacy Mode settings load from your account — so the toggles reflect the new account's preferences, not the previous one's. Onboarding also resets when you sign out, so each account goes through setup fresh. If anything looks off, go to Settings → Data & Privacy to confirm your current preferences.


Limitations and notes

  • Private Cloud Sync and Privacy Mode are available on Mac, Windows, iOS, and Android.

  • On iOS, the two-toggle experience (Private Cloud Sync + Privacy Mode) is rolling out gradually. Users who haven't received the update see only a single Privacy Mode toggle and no Private Cloud Sync row or upsell banner; notes sync follows the previous behavior for those users.

  • On Android, the two-toggle experience is also rolling out gradually. If you don't see both toggles yet, your account hasn't received the update.

  • On iOS, the manual sync button and sync status icon only appear when sync is available for your account. If Private Cloud Sync is off or your account is data-restricted, these controls are hidden.

  • Changes to either setting sync across all your devices automatically.

  • When you sign in to Flow, your Private Cloud Sync and Privacy Mode preferences load from your account, so settings always reflect your account's current values.

  • HIPAA BAA accounts have Private Cloud Sync locked off and cannot enable it.

  • Enterprise admins can enforce or disable either setting for all users in their organization from the enterprise admin Settings page. When a setting is org-enforced, the corresponding toggle is locked for end users.

  • Wispr Notetaker, cross-device notes sync, Scratchpad notes sync, personalized speech models, and meeting notes all require Private Cloud Sync.

  • On iOS and Android, turning off Private Cloud Sync requires confirming a prompt before the change takes effect. Turning it on is immediate.

  • On Android, signing out resets onboarding so each new account completes setup fresh.

  • Privacy Mode ensures your dictation data isn't used for model training by Wispr or third parties, independently of the Private Cloud Sync setting.
