Private Cloud Sync and Data Sharing preferences in Wispr Flow

The Improve the model for everyone toggle in Settings → Data and Privacy controls whether your audio, transcripts, and edits are used to evaluate and improve Flow and its AI models. When it's off, they aren't. You choose during onboarding and can change it any time.


Setting your preference during onboarding

The privacy onboarding screen offers two options, and your choice carries over to Settings:

  • Improve the model for everyone (pre-selected): your usage data may be used to evaluate, train, and improve Flow and its AI models.

  • Don't share data: your dictation data will not be used to train or improve AI models by Wispr or any third party.


How to change your preference

Mac and Windows

  1. Click the Flow icon in your menu bar (Mac) or system tray (Windows).

  2. Go to Settings → Data and Privacy.

  3. Toggle Improve the model for everyone. Changes take effect immediately, with no confirmation prompt.

iOS and Android

  1. Open the Wispr Flow app.

  2. Go to Settings → Data and Privacy.

  3. Toggle Improve the model for everyone. Changes save instantly, with no confirmation prompt.

Opening Settings refreshes your privacy preferences from your account, so policy or HIPAA changes made elsewhere appear immediately. Tap Learn more beside the toggle for details on what it controls.

The Data and Privacy page also contains:

  • Dictation cloud storage: stores dictation data on Wispr servers to enable personalization features that require cross-device access.

  • Automatically delete transcripts (iOS; default off): deletes transcription history entries that aren't from the current day. It is forced on and locked when your organization enforces auto-delete, and temporarily locked while your organization's policy loads.

  • Refresh notes from cloud (iOS): forces a full sync if your notes look out of date.

  • HIPAA BAA: sign a Business Associate Agreement by typing your legal name. While the agreement is active, data sharing is disabled for all users and transcription data will not be used to train or improve models.

Warning: Signing a HIPAA BAA in the app cannot be undone.


FAQs

Why is my "Improve the model for everyone" toggle locked and greyed out?

Either a HIPAA BAA on your account, which does not allow data to be used for model training, or an organization-enforced data-use policy. On Android, your organization's name appears beneath the toggle. Contact your IT administrator to change an org-level policy.

Can I revoke a HIPAA BAA?

In-app signing is irreversible. Enterprise admins can revoke an org-level BAA via the Admin Portal.

I'm an enterprise admin. How do I enforce these settings for my organization?

In the Admin Portal under Settings → Organization, set Improve the model for everyone to Disabled for everyone to lock data sharing off org-wide. You can also enforce zero data retention for all users. Contact your Wispr account representative for details on org-level controls.

Where can I learn more about how Wispr uses my data?

In Settings → Data and Privacy, tap Learn more next to each toggle.


Limitations and notes

  • Your data-use preference syncs with your account whenever you open Settings and applies across all your devices.

  • Admins can enforce the data-use policy org-wide via the Admin Portal; on Android, affected users see the toggle locked off with their organization's name displayed.

  • Dictation cloud storage must be enabled for features that require cross-device access, such as note sync. Local data storage settings apply to Dictation only, not Notetaker.
