Delete transcripts and history in Wispr Flow

Want to remove a transcript, clear your dictation history, or recover something you dismissed? This guide walks you through deleting transcripts, controlling how history is stored, and recovering dismissed dictations across every platform.


How to delete transcripts

Mac & Windows

Delete an individual transcript

  1. Open Wispr Flow and click Home in the sidebar.

  2. Hover over the transcript you want to remove.

  3. Click the three-dot menu (⋯) on the right side.

  4. Select Delete transcript.

  5. Click Yes, delete it to confirm. A "Transcript deleted" toast confirms the removal.

Warning: Deleted transcripts cannot be recovered.

Control how transcripts and polish history are stored

  1. Open Wispr Flow and go to Settings → Data and Privacy.

  2. Click the Local data storage dropdown and choose one option:

    1. Store data locally — keeps transcripts and polish history as usual (default).

    2. Auto-delete local data every 24 hours — automatically deletes transcripts and polish history older than 24 hours.

    3. Never store data locally — immediately deletes all transcripts and polish history, and prevents any future storage.

  3. Confirm the change in the dialog that appears. The confirm button is labeled Enable auto-delete for the 24-hour option and Delete all data for the never-store option. Switching back to Store data locally applies silently with no confirmation dialog.

Warning: Switching to Auto-delete or Never store data locally permanently deletes existing local data, including transcripts, polish history, and Transform/Instruct history. This cannot be undone.

Note: Choosing Auto-delete every 24 hours or Never store data locally also hides the Your Voice tab in the Insights page, since Voice Profile requires locally stored transcripts to work. The tab returns automatically if you switch back to Store data locally.

Note: If your organization manages this setting, enforcement applies in one of two modes:

  • Never store: The dropdown is fully disabled and shows "This setting is managed by your organization."

  • 24-hour auto-delete: The dropdown remains interactive but the Store data locally option is removed. It shows "Some options are restricted by your organization."

You can still choose a more restrictive option than the one your organization requires.

iOS

Delete an individual transcript

  1. Long-press a transcript row to open the context menu.

  2. Tap Delete.

  3. Confirm deletion in the alert that appears. The transcript is removed once deletion succeeds — if it fails, the transcript remains visible.

Note: The context menu also includes Copy (for transcripts with text), Retry, and Report. Copy, Retry, and Report are also accessible by swiping left on a row. Tapping a transcript row directly copies the text, or triggers retry if the transcript is empty. Delete is available only via the context menu, with a confirmation alert.

Enable automatic transcript deletion

  1. Open the Wispr Flow app and tap Settings → Data & Privacy.

  2. Turn on Automatically delete transcripts (off by default).

When enabled, transcripts from previous days are deleted the next time you open or return to the app, and also at sign-in. Today's transcripts are always kept.

Note: If your organization has set a data retention policy, the Automatically delete transcripts toggle is forced on, dimmed, and locked — you cannot turn it off. It shows "Required by your organization's data retention policy" beneath it. The toggle becomes user-adjustable again if your admin removes the policy (takes effect after the app relaunches).

Delete all history

There is no in-app "delete all" feature on iOS. Signing out does not delete transcripts or any local data — it only ends your sign-in session. To remove transcripts on iOS, use the Automatically delete transcripts toggle or delete transcripts individually.

Android

Transcript history displays on the home page, grouped by day.

Delete an individual transcript

  1. Find the transcript on the home screen.

  2. Tap the three-dot menu (⋮) on the transcript card.

  3. Tap Delete.

  4. Tap Delete again in the confirmation dialog. The transcript is removed from your history.

Warning: Deleted transcripts cannot be recovered.

Note: Tapping the transcript body copies its text. On Android 12 or earlier, a "Copied to clipboard" toast confirms the copy; on Android 13 and later, the OS handles the confirmation.

Delete all history

On Android there is no separate "Delete all" option and no Data & Privacy or Privacy Mode settings. The Account screen offers Sign Out as the only way to clear all transcripts. A confirmation dialog ("Sign out and delete transcripts?") appears before sign-out completes.

Switching accounts on the same device

When a different account signs in on the same Android device, that account's transcription history and audio files from the previous account are automatically cleared. Signing back in as the same account preserves your existing history.


How to recover a dismissed transcription

If you dismissed or canceled a transcription on Mac or Windows, you can recover it within 14 days.

  1. Open Wispr Flow and click Home in the sidebar.

  2. Find the dismissed entry — it shows "This transcription was dismissed." followed by a clickable Recover link.

  3. Click Recover. The recovered transcript appears in your history.

Note: The inline Recover link and 14-day recovery flow are available on Mac and Windows only. Transcriptions stuck in Processing status can also be recovered using the same link.

Tip: The three-dot menu also has a Retry transcript option that re-transcribes any history item using its stored audio. It works for dismissed transcriptions within 14 days and for other transcript statuses.

Warning: Audio is automatically deleted after 14 days. Once deleted, the Recover link no longer appears and Retry transcript will fail. If your organization has enabled the Never Store Data policy, audio is never saved and recovery is not possible.


How to report a transcription issue (Android)

  1. Find the transcript on the home screen.

  2. Tap Report on the transcript card.

  3. Describe what you expected instead and tap Send. A "Sent successfully!" toast appears when your report is submitted, and the screen auto-closes back to Home. If submission fails, a "Failed to send. Please try again." toast appears and the screen stays open.

Note: The Report button appears only on non-failed transcripts. Failed transcriptions show a Retry transcript option in the three-dot menu instead. The Send button stays disabled until you type at least one character.


Common issues

Bugs fixed in recent updates

Several history- and deletion-related bugs have been fixed in recent versions. Update Wispr Flow to the latest version to resolve any of the following:

  • Transcription history and audio carried over when switching accounts on Android: When a different user signed in on the same Android device, the previous account's transcription history and audio files were not cleared. History is now automatically cleared when a different account signs in.

  • Organization's data retention policy was not enforced on iOS: When an enterprise admin set a data retention policy ("Never store data locally" or "Auto-delete after 24 hours"), the Automatically delete transcripts toggle on iOS was not being locked as required — members could turn it off. The toggle is now correctly forced on and locked when a policy is active.

  • App crashed at startup on Windows in certain cases: The app could crash at startup instead of recovering gracefully. It now handles this situation without crashing.

  • Dictations appeared lost when closing the app: Closing Wispr Flow could trigger a false "audio data lost" error and cause subsequent saves to hang. Dictations are now reliably saved to history during shutdown.

  • Dictations stopped saving until the app was restarted (Mac, Windows): All dictations could silently stop saving to history. History saving now continues working normally.

  • Edits to dictated text were missing in certain apps (Mac, Windows): Edits could silently go missing when dictating into terminals, Slack's compose box, or some rich-text editors. Edits are now reliably saved in all cases.

  • Transcript disappeared from History on iOS even though deletion failed: Transcripts are now only removed from History after deletion is confirmed successful.

  • Dictation history disappeared after updating on Windows: History could be wiped during an app update if the local history file was not writable. This is now handled automatically on startup.

  • Crashes when deleting transcripts or scrolling history: The desktop app could crash if a transcript was deleted while scrolling, and Android could crash when deleting or scrolling quickly through the transcript list.

  • Transcripts missing after the app restarted: Transcription history could be lost when Wispr Flow restarted or shut down.

To pick up these fixes:

  1. Update Wispr Flow to the latest version.

  2. Restart the app after updating.


FAQs

Can I recover a deleted transcript?

No. Deleted transcripts cannot be recovered. However, if you dismissed or canceled a transcription (rather than deleted it), you can recover it from History within 14 days on Mac and Windows.

Will signing out delete my transcripts?

Behavior depends on the platform:

  • Mac & Windows: Signing out deletes transcripts and also wipes other local data, including your dictionary, notes, scratchpad, meeting recordings, calendar events, and FlowLens history.

  • Android: Signing out deletes only transcripts; other settings are preserved. A "Sign out and delete transcripts?" confirmation dialog appears first. If a different account then signs in on the same device, that account starts with a clean history.

  • iOS: Signing out does not delete any local data — it only ends your sign-in session.

Why do I still see transcripts on my phone after deleting history on my computer?

Transcripts are stored locally on each device. Deleting history on one device does not affect your other devices.

Why do I see "History disabled"?

This message appears on the History page when data storage is disabled. The wording differs depending on the cause:

  • Managed by your organization (Enterprise): Your organization has disabled retention of your dictation history.

  • Set by you: "Data storage is set to never store data. You can change this in Settings > Data and Privacy."

Why is the "Your Voice" tab missing from Insights?

The Your Voice tab is hidden when your Local data storage setting is set to Auto-delete every 24 hours or Never store data locally, because Voice Profile is built from your stored transcripts. The Your Usage and Leaderboard tabs are unaffected. To restore the tab, switch Local data storage back to Store data locally in Settings → Data and Privacy. If your organization manages this setting, contact your admin.

Why doesn't a recovered dictation appear twice in my history?

Only the original dictation attempt is saved to history. Recoveries do not create duplicate entries.

Why is a very short recording missing from my history?

Very short dismissed recordings appear in history but cannot be recovered — the audio is too brief to be stored.

Why doesn't the Recover option appear on a dismissed transcription?

The Recover link appears only if the transcription was dismissed within the last 14 days and the audio was long enough to be stored. Very short dismissals do not save audio and cannot be recovered.
