If your subscription shows on your Mac but not your iPhone, your dictionary entries aren't appearing on a second computer, or your snippets seem out of date — this guide covers what syncs between devices and how to get everything in place. Most issues resolve in under a minute.


Quick checks

  • Same account on both devices? Go to Settings → Account on each device and confirm the email matches.

  • Same login method? Signing in with Google creates a different account than signing in with Apple, even if the email is the same.

  • Both devices online? Sync and subscription checks are skipped when offline. If both devices are online and signed in with the same account and method, the issue is sync-specific — continue below. If not, fix the connection or login mismatch first.

How to set up a second device

  1. Download Wispr Flow from wisprflow.ai/downloads (Mac/Windows) or your device's app store (iOS/Android).

  2. Open the app and tap or click Sign In.

  3. Sign in using the same login method you used on your first device (Google, Apple, Microsoft, SSO, or email).

  4. Confirm your subscription appears:

    1. iOS: Settings → Account.

    2. Android: open Account from the navigation drawer.

    3. Mac/Windows: check the billing section in the Hub or look for the Pro badge.

Your subscription, dictionary, and snippets appear automatically once you sign in.

Note: On Mac or Windows, clicking Sign In opens your web browser to choose your sign-in method. On iOS and Android, sign-in options appear directly in the app.

Warning: Using a different email creates a separate account. If you sign in with a different method but the same email, you may end up with a duplicate account. On Android, Flow redirects you to your original sign-in method; on other platforms, double-check the method before signing in.


How to fix sync problems

Subscription doesn't appear on a second device

  1. Refresh manually on Mac or Windows. Go to Settings → Plans and Billing and click the refresh button. You'll see a confirmation when sync succeeds. If you just paid, click Finished paying? Click to refresh in the billing modal.

  2. Log out and back in. Go to Settings → Account → Log Out, then sign in again — this triggers an immediate subscription check.

  3. Restart the app. On Mac, press Cmd + Q. On Windows, right-click Flow in the system tray and select Quit. On iOS, swipe up to close completely. Reopen and check Settings → Account — your plan should now show Pro.

Note: Desktop subscription status refreshes automatically every hour as long as you're online.

Dictionary entries aren't syncing

  1. Add a test word on one device, then check the other. Sync happens automatically when you add a word and when the app opens. On Android, dictionary entries sync when you open the Dictionary screen.

  2. Log out and back in on both devices if the entry doesn't appear within a minute. After signing back in, the test word should appear in the dictionary list on the second device.

Snippets on Android aren't up to date

On Android (version 1.5.0 or later), snippets sync when you visit the Snippets screen — they don't update in the background.

  1. Open the Snippets screen from the bottom navigation to pull the latest snippets.

  2. Verify your latest snippet from another device is now visible. Once loaded, snippets are cached for offline use.

Style changes on Android aren't showing on other devices

On Android, style changes are saved as a draft and don't sync until you tap Save.

  1. Open the Styles screen.

  2. Select your style. A panel appears from the bottom of the screen.

  3. Tap Save to confirm. Tapping Cancel discards the draft.

Once saved, your style syncs to other devices automatically.

Polish writing samples aren't appearing on other devices

Writing samples are tied to the specific polish prompt they were added under and sync per prompt between Mac and Windows.

  1. Confirm both devices use the same prompt name. If the prompt name differs, samples won't match up.

  2. Check Privacy Mode in Settings → Data & Privacy. Writing samples don't sync when Privacy Mode is enabled.

Note: Polish is available on Mac and Windows only. It is not available on iOS.

Notes don't appear on another device

Notes sync automatically when saved and periodically in the background. On iOS, notes sync in the background when you open the Notes tab — they do not sync automatically when you switch back to the app or when your network changes. Titles and formatted content sync with the note.

  1. Confirm you're logged into the same account on both devices.

  2. On iOS, open the Notes tab to trigger a background sync, or manually refresh by pulling down on the Notes list or tapping the sync button (circular arrow icon) in the top navigation bar of the Notes view.

  3. Restart the app if notes still don't appear. Open the Notes list on the second device — your most recent note should appear at the top.

Note: If your account has a signed Business Associate Agreement (BAA) for HIPAA compliance, notes are stored locally on each device and will not sync. You'll see a notice on the Notes page confirming this, and the manual refresh and sync buttons are hidden.

Word count stats are different on each device

Total words, words this week, and WPM sync across devices via the server. Daily word counts and some device-specific metrics may differ by design.

  1. Wait up to an hour. Stats refresh from the server about every hour.

  2. Restart the app to trigger an immediate refresh. After restart, total words and WPM should match across devices.


Common issues

Bugs fixed in recent updates

The following sync bugs were fixed in recent versions. To resolve any of them, update Wispr Flow to the latest version:

  • Editing a snippet or dictionary word on Android created duplicate entries after syncing. This happened when you changed the word or trigger itself (e.g., renaming "meet up" to "meet"), including case-only changes like "meet up" to "Meet up." Updating only the replacement text was not affected. Fixed in version 1.8.5.

  • Notes on iOS weren't syncing when opening the Notes tab. Notes on iOS now sync in the background when you open the Notes tab. You can also sync manually using pull-to-refresh or the sync button (circular arrow) in the Notes view.

  • Notes on iOS weren't updating when switching back to the app or reconnecting to the internet. Notes now sync when you open the Notes tab and can be refreshed manually using pull-to-refresh or the sync button.

  • Note titles weren't syncing or showing correctly on iOS. Caused by iOS notes not supporting explicit titles. Notes now sync with full titles that appear in the notes list and navigation bar.

  • The "Quick Dictation to Notes" shortcut wasn't working correctly when the Flow keyboard was active. Dictation from this shortcut now correctly goes through the keyboard when the Flow keyboard is in use.

  • Notes sync and the AI button didn't appear with an active subscription. Caused by a bug affecting certain accounts that had notes sync enabled.

  • Snippets showed up in the dictionary (or dictionary words appeared in snippets) on Android. Caused by a sync bug on Android, fixed in version 1.5.2.

  • Dictionary and Snippets tabs appeared empty on iOS. Caused by a display bug after signing in, launching the app, or returning from the background. Your data was still saved.


FAQs

Why doesn't my transcription history sync?

Transcripts are saved locally on each device by design. On iOS, tap the info icon next to the "Today" header on the Recent Transcripts screen to confirm. On Android, transcripts are stored locally with tiered limits: up to 25,000 entries when free storage is below 500 MB, 50,000 between 500 MB and 1 GB, and 100,000 when 1 GB or more is available.

Warning: On Android, signing out permanently deletes all transcripts stored on your device.

I have two accounts — can I merge them?

Accounts cannot be merged. Choose one account to keep and manually re-add dictionary entries from the other. Contact support if you have active subscriptions on both accounts.

My trial ended on my phone but not my computer. Why?

You likely have two separate accounts. Check the email in Settings → Account on both devices to confirm they match.

Flow says I'm on Basic but I paid for Pro. What do I do?

If you subscribed through the App Store, check Settings → Apple ID → Subscriptions to confirm the purchase completed. On Mac or Windows, manually refresh from Settings → Plans and Billing. If the issue persists, log out and back in.

Can I subscribe from the Android app?

No. Subscribe via wisprflow.ai or through the iOS app, then sign in on Android to access your subscription.

Does pinning a note sync across my devices?

No. Pin status is saved locally on each device. If you pin a note on your Mac, it won't appear pinned on your iPhone or other devices.


Limitations and notes

  • Your Flow subscription works on multiple Macs, Windows PCs, iOS, and Android devices simultaneously, as long as you're logged into the same account.

  • Desktop subscriptions are managed through Wispr Flow's billing. App Store subscriptions on iOS are managed through Apple (via RevenueCat). Both recognize your account, but the billing source differs.

  • On Android, subscriptions cannot be purchased within the app.

  • On Android, snippet sync requires version 1.5.0 or later. Snippets sync when you open the Snippets screen and on login.

  • On iOS, notes sync in the background when you open the Notes tab. To sync manually, pull down on the Notes list or tap the sync button (circular arrow icon) in the top navigation bar. Notes do not sync automatically when switching back to the app or when network connectivity changes.

  • On iOS, synced notes render with rich formatting, including multi-level lists. Note titles sync with note content; if no title is set, the title defaults to the first line of content.

  • If you rename a custom polish prompt, its writing samples carry over to the new name. If you delete a custom prompt or reset settings, writing samples for that prompt are removed; default polish samples are preserved.

  • Privacy Mode is available on Android in Settings → Data & Privacy. When enabled, only metadata is uploaded to Wispr's servers.

  • When Privacy Mode is off, transcript text and audio are uploaded to Wispr's servers for service improvement, but they are not downloadable to other devices. On iOS, you can enable auto-delete of older transcripts in Settings → Data & Privacy.
