Control how long Notetaker keeps your meeting data
Last updated: October 26, 2026
Available on: Mac and Windows
Delete a past meeting to remove its Notetaker data outright, discard a short or failed recording, or check how long meeting audio is kept before it goes away on its own.
Keep a copy before deleting
Open the meeting from your meetings list or in its own notepad.
Choose Copy to Markdown in the notepad header to copy the meeting to your clipboard.
Paste and save the copy, then confirm it has what you need before deleting.
The copy is a full meeting export: notes, summary, meeting title, participants, Ask Anything/notetaker chat messages, transcript (including any in-progress text), and speaker labels. It uses your profile first and last name instead of the in-app You label; with no profile name set, no owner name is included.
Note: Copy to Markdown is unavailable while a copy is in progress or if Flow cannot identify the meeting.
How long meeting audio is kept
Meeting audio is separate from your transcripts. Audio uploaded to Wispr is kept for 7 days from upload, then deleted automatically; that window is independent of how long local audio stays on your device.
Local audio stays on your device until the meeting has finished saving and its audio has been processed, and in any case no longer than 7 days, so nothing is lost if a stop doesn't complete. If a meeting never finished processing — its upload, encoding, or transcript and summary didn't complete — its local audio is kept for 30 days instead, so support can help you recover the recording. Meetings that finished processing, meetings you deleted, and meetings whose transcripts were removed by retention keep the 7-day window. The 30-day window is for recovery only; it doesn't extend how long you can resume a meeting.
If Flow quits or restarts first, the recording finishes the next time you open Flow: the summary and transcript arrive without you resuming, stopping, or generating anything manually. A meeting that is still recording, or has only just stopped, is never auto-deleted while it finishes. If audio can't be processed, Flow keeps trying, so that meeting's summary and transcript may arrive later.
Delete a past meeting
Warning: Deleting a meeting is permanent and cannot be undone. It removes the meeting's notes, summary, transcript, audio, and speaker-identification data on all your devices, including any local audio still waiting to be saved or processed. Save a copy first. To remove less, delete only the Flow Summary: that permanently removes the summary and leaves your notes intact.
Find the past meeting on the Flow homepage or in your meetings list.
Open the row's More options (…) menu, or the … menu in the notepad.
Select Delete and confirm the deletion dialog.
Check that the meeting row disappears. If deletion fails, the meeting reappears with Couldn't delete the meeting. Please try again.
A meeting you delete anywhere disappears from the homepage list too. Upcoming meetings have no delete option because they are calendar events with nothing recorded yet.
Discard a short or failed recording
Warning: Discard removes the recording and its local audio entirely. Failed starts of only a few seconds are discarded automatically; typed notes are never deleted automatically.
Recording with very few words: it may show Started by mistake? with Save and Discard.
Recording that couldn't transcribe live: meaningful audio is saved on your device without a transcript or summary. Closing or ignoring Couldn't start recording does not delete it — use Discard to remove it.
Still stuck?
If a meeting keeps reappearing after you delete it, contact support with your platform, device, meeting date, the error message, and what you tried.
