Control how long Notetaker keeps your meeting data

Available on: Mac and Windows. Use transcript retention or meeting deletion to control what you keep. The two actions remove different parts of a meeting, so save anything you need before confirming a deletion.

Choose what you want to remove

The separate Local data storage setting applies to dictation transcripts. It does not control Notetaker meeting transcripts; use Notetaker transcript retention instead.

Keep a copy before deleting

Open the meeting in the hub detail view or standalone notepad. In the notepad header, open the menu and choose Copy to Markdown, its first item. This copies your notes followed by a Summary section to your clipboard as a Markdown document. Save the copy and check it contains the information you need before shortening retention or deleting anything.

Set a transcript retention window

The default is Never delete: transcripts remain indefinitely until you choose a window. Notes sync (Private Cloud Sync) must be on to configure retention.

  1. Open Flow’s Settings. On Mac, click the Wispr Flow icon in the menu bar first.
  2. Select Data and Privacy → Notetaker transcript retention.
  3. Choose Never delete, or 1, 7, 30, 90, 180, or 365 days.
  4. If shortening the window, review the Auto-delete older transcripts? confirmation before accepting.
  5. Look for Retention updated to confirm the change.

Shortening retention permanently deletes older transcripts. The new limit applies to transcripts already on your device and Wispr’s servers. This cannot be undone. Meeting titles, notes, and Flow Summaries are not deleted by transcript retention.

After a transcript is removed, the meeting shows Transcript deleted based on your retention settings policy with a link to settings. The meeting can still have notes and a summary even though its transcript has been deleted.

Retention can also affect your ability to continue a recording. Resume is unavailable if its transcript was erased, its local audio is missing, expired, empty, or corrupt, or notes sync is off. A meeting that has reached its total recording-length limit cannot resume either.

If retention is locked or missing

  • Set by your admin: your organization controls retention. Contact your admin through the Admin Portal to request a change. When a new policy will delete transcripts, a notice tells you how long you have to save them.
  • Turn on Private Cloud Sync to set transcript retention: notes sync must be enabled before you can configure the window.
  • No retention setting: if your organization disabled Notetaker, its related settings are hidden. Contact your administrator.

Organization policy changes reach the running app without a restart. Disabling Notetaker is not a deletion action: past meetings and preferences are preserved and return when it is re-enabled.

Delete a past meeting

  1. Find the past meeting in your meetings list.
  2. Open the menu in the notepad or meetings list and select the delete action.
  3. Review and confirm the deletion dialog.
  4. Check that the meeting row disappears. The deletion syncs to all your devices. If it fails, the meeting reappears with Couldn’t delete the meeting. Please try again.

Deleting a meeting is permanent. It removes the notes, summary, transcript, and associated speaker-identification data across all your devices, regardless of your transcript retention setting. Export what you need first.

To remove less, permanently delete only the Flow Summary; your notes remain intact. Upcoming meetings have no delete option because they are calendar events with nothing recorded yet. If you open a deleted meeting, Flow offers to record a new meeting instead.

Discard a short or failed recording

A recording with very few words may show Started by mistake? with Save and Discard. Discard removes the recording and its local audio entirely and returns its weekly recording slot.

If live transcription could not connect, a recording with meaningful audio is saved locally without a transcript or summary. Closing or ignoring Couldn’t start recording does not delete that saved recording; Discard does and returns its quota slot. Failed starts with only a few seconds of audio are discarded automatically. Typed notes are never automatically deleted.

If deletion keeps failing

Contact support if the meeting repeatedly returns after a deletion attempt. Include your platform, app version, meeting date, the error message, and what you already tried. For an administrator-controlled retention window, contact your organization’s admin to request a change.
