Team plans, trials and seat billing

Available on: Mac and Windows, plus the web admin portal. iPhone and iPad plan-management actions differ as described below.

Team plans cover members through the organization's subscription, including while that subscription is trialing. Members and admins can check trial eligibility and seat charges; admins can add billing before access ends. Terms depend on your account and organization.

Desktop Settings → Team serves members and admins. The account-menu Manage team entry is admin-only; if Team settings aren't listed, it opens the admin portal instead. The portal's Billing page is admin-only.

Check pricing in the plan comparison, your account and any agreement. Desktop team cards show seats rather than a price; Enterprise pricing is custom. Checkout currency follows your connection's location and falls back to USD when it cannot be determined, including with some VPN connections.

Plan-card differences and privacy controls

HIPAA-readiness and opting out of model training are base capabilities. Growth adds organization-wide HIPAA enforcement with a signed BAA. Desktop separately lists team-wide training controls and individual usage reporting; the portal combines training with HIPAA and omits the reporting bullet.

The portal adds Unlimited Notetaker only while the Growth bundle is selected, not on an existing Growth current-plan card. Desktop's feature list does not change with the purchase option.

Desktop's Enterprise list includes training locked off under your MSA and DPA, premium support, and separate Dictation/Notetaker purchases. The portal omits those items and combines custom commercial and legal terms.

Domain capture is not Enterprise-only: the portal labels it Domain capture (Optional). Teammates can use Flow without domain verification; changing the default domain policy requires a DNS-verified domain.


Check your trial

  • First eligible join: creating or joining a team can grant 14 days of Pro without a credit card. A sales-led pilot can instead end on its agreed date, shorter or longer than 14 days.

  • Once per person: team-trial eligibility is separate from personal trials. Joining another team does not grant another full trial. An existing longer trial is preserved, but team-trial eligibility is still used and the join notice does not promise a new trial.

  • Start date: the trial starts when you join the organization, not when you later choose a department. Department moves do not restart it; trials are never applied retroactively.

  • Personal Pro subscribers: an active personal subscription gets no team trial. It stays in place if the organization has no live billing or you have not selected a team. Once you join a team with live billing, it is cancelled and you become a billed seat.

  • Trials disabled: no full team trial is granted. With live billing, members are billable immediately, without trial or grace; without live billing, an existing personal trial remains and joining does not make you instantly billable. The returning-member exception is below.

Desktop long-trial totals do not shrink to 14 days near expiry. Before subscription details load, a 14-day placeholder may appear instead of your actual trial.

Joining an unbilled team is refused for mobile/in-app subscribers, or after using your team trial without an active personal subscription. In the latter case, pending invitations may be deleted rather than automatically accepted. Without a subscription or unused team trial, desktop also blocks team creation and directs you to Plans and Billing to upgrade.

When the trial ends

  • Billing active: the trial converts to a paid seat without interruption.

  • No billing: access continues through a 3-day grace period. An admin must add billing by the displayed deadline; desktop's Add billing info action opens the in-app payment summary.

  • Payment past due: members retain team access while payment retries continue. Cancelled or expired billing can lead to removal after the applicable trial and grace period.

Warning: After grace expires without billing, members can be removed to Flow Free; pending invitations are deleted and join requests rejected. Removal need not happen at the exact deadline. An empty organization is disbanded: configuration is retained for possible reactivation, but live subscriptions end immediately without refunds, domains are released, and pending invitations and requests are deleted.

Admins receive billing notices and see Payment Past Due or Subscription Cancelled banners in the portal. Members may get no in-app warning when billing is canceled, unpaid or past due, so admins should check each member's actual deadline and payment status. Desktop's personal-plan past-due banner applies only to users outside a team.


Add billing

Important: A personal Pro purchase does not pay for teammates. If you already pay for personal Pro, read the warning shown when you join: joining can replace your personal plan, and joining an unbilled team can make you its payer. The payer warning says your billing information will be used for the team. Contact support about the transition before buying a second subscription.

Growth requires an organization; solo buyers are directed to team creation first. A sales-reserved domain blocks creation: contact your representative or sales. Public email and shared domains cannot be claimed; the portal reports Cannot create organization with a public domain.

  1. Open desktop Settings → Plans and Billing or, as an admin, Billing in the admin portal.

  2. Select a plan or Add billing info.

  3. Choose a billing cycle and, for Growth, the Dictation/Notetaker bundle or Dictation only.

  4. Review the payment summary: plan, term, seats, per-seat price, subtotal and first charge.

  5. Complete Stripe payment in your browser.

  6. Return to Flow to check the updated subscription.

  7. Use Finished paying? Click to refresh if the plan hasn't updated, once the button is available.

Adding billing quotes active billable members plus pending billable invitations, with a minimum of one seat. Other team checkouts can require five seats. Remaining trial days mean $0 today and a later first charge; without remaining days, the subtotal is charged immediately. An annual price shown per month is still billed annually.

If Growth options or prices are missing

On desktop, select Select plan on the combined Growth & Enterprise tile, then choose a purchase option to enable Upgrade. Its “from” price is the dictation-only rate.

The separate cards require complete prices for both options and billing cycles in your currency; otherwise the older layout has no option chooser. If the portal shows Unable to load pricing. Please refresh., refresh before purchasing; its purchase button is disabled.

Upgrade an existing paid team to Growth

This path is for subscribed self-serve Pro or legacy Team organizations, not sales-led accounts. A legacy Team subscription appears under Pro with its price hidden; Current plan applies when the selected cycle matches.

  1. Open the admin portal's Billing page.

  2. Use Update Payment first if payment is past due.

  3. Choose Dictation and Notetaker or Dictation only on the Growth card.

  4. Select Upgrade.

The subscription changes without checkout, keeping its seat quantity and using the Growth price for its currency and cycle. The upgrade is invoiced with credit for unused paid time, including when changing cycle. Success shows Successfully switched to Growth plan; an error can leave only part of an organization with split billing upgraded—contact support.

The portal's cycle toggle is available for monthly subscriptions or without an active/past-due subscription—not for annual subscribers or the existing-Growth view. Growth supports cycle changes, but not self-serve switches between its two purchase options. Contact sales for option changes or sales-led plans; existing Growth customers retain their rate and see no price on the current-plan card.

If you receive the free Notetaker offer

The one-time offer can appear to eligible organization admins after a Growth Dictation only purchase, while Flow's main window is open, team features are available and Notetaker isn't disabled organization-wide. It runs through 31 October 2026; notes and limited Notetaker access continue afterward.

Warning: Skip disables Notetaker for everyone. If that fails, disable it from team settings. Accept free offer, Escape or clicking outside the offer does not disable it.

Important: Changing someone to IT Admin removes product access; changing back restores access and counts toward paid seats.

New members are billed after their trials: on the renewal cycle for monthly plans, and monthly for annual plans. Upcoming charges, available to admins with a subscription, separates renewal from New seats (prorated); each charge is billed on its listed date. Enterprise agreements set true-up and payment terms.

Renewal is the subscription period end, not necessarily an invoice due date. Dates use UTC and may differ from your local date; amounts use the invoice's currency. Moving an already-paid member between separately billed teams in the same organization does not create another prorated charge that cycle.

Automatic domain joins can add seats, except in SCIM-managed organizations. With SCIM connected, add or remove members through your identity provider. Seat counts can lag after additions; an inactive subscription instead shows Your subscription is inactive, please reactivate. Check unexpected counts with support before making another purchase.

Join-request notices tell admins whether the requester has a 14-day trial available or will be billed on joining. An invitation to an unbilled team does not promise a trial to an active personal subscriber who already used their team trial.


Change billing or cancel

  1. Open the admin portal's Billing page as an admin.

  2. Select Manage Subscription to open Stripe for payment methods, invoices or cancellation.

Plan changes stay in Flow or the admin portal, not Stripe. Desktop team cards' Manage billing button opens the admin portal.

Important: Self-serve cancellation keeps paid access until the displayed period end and does not automatically refund unused days. It removes the renewal charge, not necessarily outstanding seat charges. No upcoming charges. appears only when neither remains.

To hand over billing, give the teammate admin access and arrange the payment-method change; someone already in another organization cannot become an admin of yours. Use Contact us in Plans and Billing for ACH or custom terms; the portal's Enterprise card uses Talk to sales.

On iPhone and iPad, Stripe-billed members see Go to the desktop app to manage plan. App Store subscribers see Cancel while subscribed or Resubscribe otherwise; desktop directs Apple-billed subscribers to manage through Apple.


Restore team access

If access looks wrong, confirm the invited account, the accepted invitation and any required team selection. Request to join sends a join request, which can be accepted automatically; Contact admins sends a message instead.

A temporary loading failure preserves saved team settings and does not mean membership ended. If Flow says Unable to load team data. Please try restarting the app or contact support., restart Flow and check Team settings again; contact support if the data still won't load.

Returning after a team trial

An eligible returning member who already used a team trial becomes a paid seat with active billing. Without billing, an eligible return can grant a separate 24-hour billing window, even when full team trials are disabled. The notice You've got 24 hours of Flow Pro to get your team's billing set up. refers to this window, not every trial; trial-ending notices without billing warn of a return to Flow Free.

Where Flow offers a rejoin option, use it in desktop Flow's team settings; rejoining is not available on mobile. Self-serve rejoin requires your previous organization to exist, remain active and have no live billing; you must have used your team trial and not belong to another organization. It can fail if eligibility changes.

  1. Open desktop Settings → Team.

  2. Select the rejoin option, if offered.

  3. Add billing using the steps above within the 24-hour window.

Successful rejoining makes you an admin. The warning gives 24 hours to add billing before removal; an eligible new-team creation after a used trial warns of disbanding instead.

Manual admin removal requires a fresh invitation; self-rejoin or an old invite link cannot restore access. SCIM removals do not impose that fresh-invitation requirement, but other joining conditions still apply.


Still stuck?

If a trial is missing or shorter than expected, contact support with your account and join date. Also contact support after an incomplete upgrade, overlapping App Store/team purchases, or Failed to find your subscription. Please contact support.

Contact support with your account email, team or domain, platform, the trial deadline or charge date, and the exact message you see. Include what you tried. Desktop Team settings' Contact us emails support@wisprflow.ai.

An App Store purchase can overlap existing card or team coverage; don't assume it was rejected. An active mobile subscription can block a card purchase. Support can help recover mobile purchases, but promotional-only grants are not covered by that recovery.
