How team trials work, who gets billed, who can invite members, and why a team feature hasn't appeared yet — the questions admins and members ask most about Flow Pro Team, Flow Growth, Flow Business, and Flow Enterprise.

Trials
How does the free trial work?
Members who join a team or enterprise get a 2-week free trial, including those joining an enterprise that already has billing set up.
First charge timing: If any team member still has trial days remaining when you add billing, your first charge is deferred until the earliest trial expires. Otherwise you are charged immediately.
Longer trials are preserved: An existing longer trial (for example, a 30-day referral trial) is not shortened by joining or creating a team; the team trial applies only if it gives you more time.
Enterprise teams with trials disabled: Affected members see no trial offer or countdown, become billable immediately on joining, and the invite dialog omits the "2-week Flow Pro trial" message.
Students on the free Student plan: No Pro trial offer or countdown; the free Student plan is separate from the standard Pro trial.
Note: Solo signups start on the free tier, not a trial — see Limitations and notes for weekly word caps.
What is the Flow Pro Teams trial, and what does it include?
Eligible users who create a team — during onboarding or later from Settings → Team — get unlimited words for 2 weeks, plus:
Individual trials for teammates: Each teammate you invite gets their own 2-week trial.
Team insights: See how your whole team is using Flow.
Shared context: Team-level settings that improve transcription accuracy for everyone.
After the trial, continue using Flow free on your own or upgrade your team to a paid plan.
What happens when a team's trial expires?
An admin must add billing information to keep the plan active. Contact support for specific timelines on what happens if billing is not added. Admins with an active subscription see no billing prompts.
Before removing a member: Flow first tries to add the expired-trial member to the team's existing subscription as a new seat; removal happens only if the team has no active or past-due subscription.
When a member is removed: Their pending invitations are deleted, pending join requests are rejected, and their plan reverts to the free Basic tier.
Can I rejoin a team after being removed when the trial expired?
Yes. A Rejoin team option appears in Settings → Team in the desktop app; rejoining is not available on mobile. If your team trial was already used and you rejoin a team without billing set up, an admin has 24 hours to add a payment method before you are removed again.
How does the trial work for enterprises with multiple teams?
The trial is granted at join time, and may be declined in some cases — for example, when joining a team with no subscription. You must still pick a team before using Flow.
How do I start an Enterprise free trial?
Follow the same signup flow as a standard trial.
Add your payment information to upgrade to an Enterprise free trial.
An Enterprise trial includes all Pro features — Command Mode, Wispr Lens, and unlimited dictation — plus team features.
How do I upgrade from a trial to a paid plan?
Team trial members without billing set up can upgrade two ways:
From the All Plans comparison: Open Settings → Plans and Billing, click Upgrade to Growth (or the plan matching your tier), review the Payment Summary, then click Continue to Payment. This button appears only for trial members on a team without billing information.
From the trial plan card: Click Add billing info, then choose your plan and annual or monthly billing before confirming.
After paying in your browser, return to the app; your subscription status updates automatically. If it doesn't, click Finished paying? Click to refresh.
Note: Solo trial users see Upgrade to Pro on their trial plan card and Create a team in the Enterprise plan column.
Billing
How many users are billed?
The seat count includes all active team members and pending invitations, excluding IT admins, who are always free on Enterprise plans. A drop in billed seats usually means an IT admin was reclassified and removed from the billable total. The minimum seat count at checkout is 1.
Active: Members currently being billed.
Trialing: Members in their free 2-week trial — not billed yet; they convert to a paid seat on the next renewal date after the trial ends.
Invited: Pending invitations — count toward seats once accepted.
IT admin: Management-only accounts — always free on Enterprise, never billed regardless of trial status.
Note: The "Billed today" amount can differ between the Enterprise web portal and the desktop app. The web portal shows the full charge for active seats; the desktop app shows $0 billed today with billing scheduled for later when trial days remain.
How are additional users charged, and what is the true-up process?
True-up is the prorated billing for new users added between invoices.
Trial then conversion: Every new user gets a 2-week free trial when added, then converts to a paid seat on your plan.
Billing timing: New seats are billed on your next renewal date (monthly plans) or at the start of the next calendar month (annual plans).
True-up invoice: Seats added between true-up dates generate an add-on invoice, prorated for the days remaining until the next true-up date.
The true-up cycle is configured per enterprise. Contact your account team to confirm your schedule and payment terms.
When I set up billing during my trial, am I charged immediately?
Trial days remaining: No immediate charge — billed today is $0, and your first charge occurs after the earliest trial period ends.
No trial days remaining: You are charged immediately for all active seats and pending invitations.
I'm a team member — why should I use "Upgrade to Pro" in the app instead of purchasing a plan on my own?
Upgrade to Pro in Settings → Plans and Billing routes you to the team billing flow, which covers all seats on your team. A personal Pro plan purchased outside this flow does not fund your team — your teammates' trials keep counting down and expire uncovered.
What is Flow Growth, and how do I buy it?
Flow Growth is the self-serve Business tier available to team admins. On the Plans and Billing page, the Growth plan tile shows live pricing with monthly and annual options (annual pricing is shown as a per-month figure). The annual badge shows your discount versus monthly — currently -21% for the Growth bundle, -20% for Pro, and -13% for dictation-only annual. Your plan selection carries through the payment summary into checkout. Enterprise is available as a contact-sales option on the same page.
Note: The Growth and Enterprise plan tiles appear only once pricing is available for your currency; contact sales to get set up sooner. Solo (non-team) users who click Upgrade on the Business plan are routed to Team settings first, since a team is required to complete checkout.
I'm on Team Pro — what upgrade options do I see in the desktop app?
In Settings → Plans & Billing, Team Pro members see an upgrade card titled Upgrade to Flow Growth or Enterprise, highlighting SSO, SOC 2, and priority support. Clicking Upgrade opens the admin portal billing page, where you choose the plan that fits your team. Solo Pro users see the Use Flow with your team card instead.
I'm already on a Business plan — what do I see on the Billing page?
Orgs already on the Business tier see a current-plan view labeled Flow Growth with your plan details. No price or billing-cycle toggle is shown, since your plan is already active.
How do I see what I'll be charged next?
The Upcoming charges card in the admin portal lists every scheduled charge separately with its own date — a proration for seats added mid-cycle appears with a different date than your annual renewal. The card is visible to all subscribers.
Renewal date: When your current subscription period ends — not the date your invoice is due. On Net 30 or another invoicing term, your payment due date falls later than the renewal date shown.
Note: Charge dates are displayed in UTC, so in a non-UTC timezone the date shown may differ from your local date by one day.
What are Cost Centers, and how does per-cost-center billing work?
Cost Centers let an Enterprise split one or more teams away from shared billing into their own separate, independently billed account.
Who can set one up: Enterprise admins on plans enabled for per-cost-center billing; a Cost Centers tab then appears on the Team page in the admin portal. An admin who is already the billing owner of another cost center in the same enterprise cannot create an additional one — a different admin must start checkout.
How to create one: From the Cost Centers tab, select the team to break out and complete checkout; the team moves once checkout completes. You cannot break away a team if your current cost center has only one team — create a second team there first.
Pre-checkout preview: Shows the team name, source cost center, members moving, per-seat price, currency, billing interval, and total annual amount. On tiered pricing, exact pricing cannot be previewed and you are directed to your account team.
Pricing: The new cost center inherits your enterprise's negotiated price — you do not choose a plan during checkout.
Viewing cost centers: The tab shows each cost center's seat count and plan tier.
Renaming: An enterprise admin or that cost center's billing owner can rename it, but not while it is cancelled and not to a duplicate name.
Deleting: Requires cancelling its subscription and moving out all teams first.
What happens when my subscription is cancelled?
On the standard self-serve path, cancellation is scheduled for the end of your current billing period, so you keep full access to all paid features until that date. Unused days are not refunded on this path. Support-initiated immediate cancellations can include prorated or full refunds depending on the case.
Admin portal: A banner shows when your subscription ends, and the billing page displays a "Subscription Cancelled" warning with your access end date.
Invoice update: Your next invoice shows a $0 renewal amount for the cancelled subscription.
Paused or never-completed (incomplete) subscriptions return you to the free Basic upgrade view.
Can I change my credit card?
Yes. Update your credit card at any time in the admin portal. Changes apply to future charges and upcoming billing cycles.
Can another team member pay on my behalf?
Yes. After a team is created, any user with the admin role can add billing information and is then responsible for paying for each new user when their trial expires. To hand off billing, assign another teammate the admin role and have them add the payment method.
Do you support ACH billing?
Credit card payments are preferred. ACH billing is supported in special cases — contact support or sales if your team requires ACH.
Plan names and labels
What is "Flow Business," and how is it different from "Flow Enterprise"?
Flow Business is the label for organizations on the self-serve Business pricing tier (sold as Flow Growth). These orgs see "Flow Business" on their payment confirmation page, in desktop upgrade notifications, and in support records. In the sidebar plan pill, account modal, grace-period banner, welcome screen plan chip, Hub sidebar trial tile, and Settings → Plans & Billing trial banner, self-serve Business orgs are labeled Growth — for example, the trial banner reads "Your Growth trial ends in N days".
Flow Enterprise is the label for sales-led Enterprise customers. Sales-led orgs always see "Flow Enterprise" and never see the word "Business." Orgs on older or other plans see the same labels they did before.
What notification appears when my team is upgraded to Flow Business?
Members receive a desktop notification saying the team has "just got upgraded to Flow Business 🎉". It appears only when all cost centers in the organization are on the Business tier.
Roles and permissions
Who is the plan admin, and what roles does Flow support?
Flow has three roles: Super admin, Admin, and Member. On Enterprise plans, admins and super admins can also be assigned as IT admin.
Super admins and admins: Full access to the admin portal, including billing, user management, and settings. Only they can directly invite new users.
IT admin (Enterprise only): Management-only role. IT admins manage seats, SSO, billing, organization settings, and compliance features (such as zero data retention and HIPAA), but cannot use the Wispr Flow desktop app for dictation. They are always free and never count toward your billed seat total.
Members: No admin portal access. Members can ask admins to invite specific users by sending a contact-admin request.
The team creator is automatically assigned a management role. Users invited during and after team creation default to member; admins can set the admin role when sending an invite, but only if billing info is already set up.
Enterprise invitations expire after 7 days by default; an admin must send a new one. An invited user already part of another enterprise may need to leave it before joining yours.
Note: With SCIM provisioning, all user management is handled through your identity provider; the Add new user button and join request approval buttons are hidden from Settings → Team.
How do I assign the IT admin role to a team member?
Assign the IT admin role in two places in the admin portal:
Existing members: Find the member in the member table and select IT admin from their role dropdown.
New invitations: Select IT admin as the role when sending the invite.
Warning: Because IT admins are not billed, switching a paying member to IT admin reduces your team's billed seat count. Free IT admin seats are Enterprise-only and are not included in the Flow Growth plan.
How do I remove myself as admin?
Assign another team member as an admin from the admin portal.
Ask them to log in to the admin portal and change your role to member.
Can admins hide the team leaderboard from other members?
Yes. Open the admin portal, go to Organization settings, and turn on the Hide team leaderboard toggle. Both Enterprise and Pro Team admins can use it.
When on, non-admin members no longer see the Leaderboard tab on the Usage dashboard and do not receive weekly leaderboard rank notifications. Admins retain full access.
Invite links
How do I invite new members using an invite link?
Team admins can generate a shareable invite link in the desktop app (Settings → Team) or the admin portal (Team page). New users who sign up through the link are automatically added to your team.
Is my invite link unique to me?
Yes. Each admin gets a unique link, and whoever joins through yours is recorded as invited by you. The team code in the link is shared across all admins on the team, so new members always join the correct team regardless of which link they used.
What happens if someone signs up with an incomplete or unrecognized invite link?
If the admin portion of the link is missing or unrecognized, the new user still joins the correct team — they just won't be attributed to a specific inviting admin.
What happens if my team is full when someone tries to use an invite link?
At the seat limit, the invite link does not allow additional members to join until more seats become available. Contact your account team to increase your team's seat count.
I received a team invite — how do I accept it?
Click Accept invite in the sidebar to join; pending invites are also in Settings → Team. Clicking Accept Invite in a team invite notification opens the invite acceptance prompt directly, or Settings → Team if no pending invite is found.
Email domains and team creation
How does team creation work?
Creating a team takes you through a 3-step wizard in Settings → Team:
Add members — enter the email addresses of people you want to invite. Existing users on your email domain appear in a list so you can invite them all in one click.
Name your team — you can change this anytime.
Done — your team is created and invites are sent.
What is the Team Consolidation screen I see during onboarding?
It appears only for eligible users whose domain already has a Flow team. It lets you:
Review coworkers from your domain already on a Flow team — they are pre-selected — and deselect anyone you don't want to include.
Add additional email addresses to invite.
Join or create the team from this screen, or click Skip for now to set up a team later.
Why am I being asked to pick a team during onboarding?
The Team Picker appears whenever your account is marked as requiring team selection. Select a team and press Join — even if only one team is listed. There is no skip or back option, and the requirement is re-checked on every launch, so a previously-onboarded user can be held on it again.
With cost-center billing, teams are grouped by cost center with a contact name for each group — reach out to that contact if you're unsure which to choose. For trial timing, see How does the trial work for enterprises with multiple teams? above.
Can new users with my email domain be automatically added to my team?
Yes. When creating a new team, or later in Settings → Team, enable Auto-add all future @[domain] users. This checkbox is on by default during team creation.
Warning: Anyone who signs up for Wispr Flow with your domain email will auto-join your team and add a seat to your plan.
New users with the same email domain are added on their next login — not immediately at sign-up — and are notified by email. To monitor recent auto-joins, open Settings → Team and look for the +N joined this month indicator.
Can I have teammates who use a different email domain than I do?
Yes. Admins can invite teammates on any email domain, and a team can span multiple domains — invite users from each of your company's approved domains to the same team. For a complex multi-domain setup or domain-level controls, contact support or your account team.
Why am I seeing a warning when trying to create a team?
Some enterprise email domains are blocked from self-serve team creation, and a warning appears when you try to create a team in the desktop app or web interface. Your organization likely already has an existing agreement or requires a custom enterprise setup. Contact sales at wisprflow.ai/talk-to-sales to get set up with the right plan.
Note: Generic, public-TLD, and university email domains cannot be used as team domains — see Limitations and notes for the full list. Use your company's work email domain.
I requested to join a team — what should I expect?
An admin must approve your request.
Resending a request: Once every 5 minutes. Sooner, and Flow asks you to wait.
Declined requests: You see a message that your request was declined. Contact your admin directly if you believe this was an error.
I'm a Pro subscriber joining a team — will my billing change?
Yes. Your personal Pro subscription is replaced by the team plan, and Flow shows a warning before you confirm so you can review the billing impact.
If you are joining an enterprise with multiple teams, your personal Pro subscription remains active until you select a team from the Team Picker.
Enterprise access and team features
What notification do I see after accepting a team invite?
A welcome notification appears in the desktop app after your next dictation completes, so it doesn't interrupt active dictation. Its content depends on your situation:
New to Flow (no prior subscription or trial): Highlights your 2-week trial plus team insights, team dictionary, and unlimited words.
Existing subscriber joining a billed team: Confirms your personal subscription is now covered by the team plan and highlights team insights, team dictionary, and team snippets.
The notification includes your team name and the name of the person who invited you, or "Your teammate" if you were added automatically (for example, via a domain rule).
What is the welcome screen that appears when I'm upgraded to Flow Pro, Flow Business, or Flow Enterprise?
When a team admin upgrades your organization, a welcome screen appears once the next time you open the app; dismiss it to continue using Flow. The plan chip next to the Flow logo reflects your tier: business-tier orgs see Growth, enterprise-tier orgs see Enterprise, and solo users see Pro. For Enterprise upgrades, an Explore team features button launches a short guided tour, which you can close with X or Escape.
What page do I see after completing checkout?
A confirmation page tailored to the plan you bought:
Flow Pro: Unlimited words across platforms, prioritized support, Command Mode for editing, early access to new features, team collaboration, and support for 100+ languages.
Flow Growth: Unlimited dictation words across platforms, prioritized support, and team collaboration.
Flow Business: SAML SSO, multiple domains, SOC 2 / ISO 27001 / HIPAA-ready with BAA, admin control over model training, usage analytics, prioritized support, and card payment monthly or annual.
Flow Enterprise: Unlimited words across platforms, dedicated support, advanced admin and security controls, usage dashboards, and team collaboration.
What should I do if I'm blocked from using Flow as an Enterprise user?
On iOS, an enterprise IP allowlist block shows a screen with Retry and Sign Out buttons, and appears only while you are signed out or signing in.
Tap Retry to attempt sign-in again from an approved network.
Contact your IT admin to confirm your account is added to your organization's Enterprise plan if the block remains.
Why can't I access team features?
Team features are available to:
Desktop: Users in active or trialing enterprises, plus paying personal Pro users in an enterprise that has not started its trial and users whose enterprise subscription is past due.
iOS and Android: An active or trialing team/business plan is required — past-due, paused, or cancelled enterprise subscriptions lose team-feature access even if the account still shows as Pro on iOS.
Outside an enterprise account, an upsell appears whose button reads Invite if you are eligible to create a team or Join if not, and which opens Settings → Team. If coworkers on the same email domain are already on a Flow team, the banner also names that team and how many members it has.
If you believe you should have access, refresh your account data or contact your IT admin to verify your enterprise membership.
Note: The team filter label varies by platform — iOS displays "Team," while Android and desktop display "Shared with team."
I'm a Pro admin — why is the Insights page showing blurred data?
Team-wide Insights — active-user trends, desktop app usage, and ROI — are Enterprise-only. Pro admins can preview the page, but most data is blurred with sample content. The Words Dictated card stays fully accessible; filters (date range, app, user) and Export are disabled. To unlock the full page, upgrade to Enterprise from Settings → Plans and Billing.
I'm on a Pro Team plan — can I see the team Leaderboard in Insights?
Pro Team members see a limited Leaderboard tab: your own word counts and stats are visible, but other members' data is hidden on the podium, in the leaderboard table, and in share or history views. Upgrade to Enterprise from Settings → Plans and Billing to see the full leaderboard.
Note: If your admin has turned on the Hide team leaderboard setting, you will not see the Leaderboard tab at all, regardless of plan.
Why did I receive a weekly leaderboard notification?
Every Monday, Wispr Flow sends enterprise users their previous week's team leaderboard rank. Top-5 finishers receive a celebratory notification and everyone else a smaller summary; both include a See leaderboard button that opens Insights → Leaderboard.
To stop receiving them, go to System settings and turn off the Team leaderboard updates toggle.
Note: These notifications go only to Enterprise users, and not at all if your organization admin has hidden the leaderboard for your team.
Can I restrict which networks are allowed to access my team's data?
Yes. Enterprise admins can set an IP allowlist so only users connecting from an approved IP address range can access team data. To manage it, open the admin portal, go to Organization settings, and find the Network access section, where you can enable the allowlist, add or edit approved ranges, or disable it.
Supported formats: IPv4 and IPv6 CIDR ranges, one per line or comma-separated.
Self-lockout protection: Your current IP address is shown, and Save stays disabled until it is included in the ranges you've entered.
Disabling the allowlist: Requires a confirmation step.
Platform availability: Enforcement is not active on Android. On iOS, enforcement blocks access at sign-in/sign-out state only and does not interrupt an already-signed-in session.
Note: IP allowlist is Enterprise-only. Contact your account team if you don't see the Network access section in Organization settings.
Can I track membership changes and join request decisions for my team?
Yes. Enterprise admins can view team membership history on the Audit Logs page: open the admin portal and select Audit Logs from the sidebar. It records four event types: members added, members removed, join requests approved, and join requests rejected.
Each entry shows the timestamp, the action, who performed it, who it affected, and the method used (for example, invitation, SCIM provisioning, or removed by admin). Filter by date range (up to 92 days), event type, actor, or affected person.
Can Enterprise users on mobile change their privacy settings?
Android: Enterprise and business users have Don't use my data for training enforced by default and cannot customize privacy settings — Android Settings has no Data & Privacy section, so neither Improve the model for everyone nor Dictation cloud storage is user-controllable.
iOS: Enforcement is granular. Zero data retention or a policy that disallows data sharing forces Don't use my data for training on. A policy that disallows cloud sync forces Cloud Sync off. A local-data-delete policy of "delete after 24 hours" or "never store" forces auto-delete on. A signed HIPAA BAA forces Don't use my data for training on and Cloud Sync off. If the enterprise policy cannot be loaded, iOS locks all three toggles until it does.
Limitations and notes
Most new solo desktop signups start on the free tier with a 2,000-word/week soft cap and a 5,000-word/week hard cap; on iOS the free tier is a 1,000-word/week soft cap and 1,500-word/week hard cap. A bonus allowance adding 5,000 words to the soft limit (6,000 total on iOS) applies to some users and is not a standard first-week benefit.
Referred, student, and enterprise users are excluded from the standard onboarding trial cohort. A trial is not re-offered once the account is marked as having received a mobile trial, or when the plan skips the default trial. Team and enterprise signups remain subject to enterprise trial eligibility rules, and trials already in progress continue to their original end date.
Creating a team, or joining an enterprise that already has billing set up, grants eligible users a 14-day team trial. Rejoining a team after trial-expiry removal is available on desktop only — not on mobile.
Team features and team-wide Insights (active-user trends, desktop app usage, ROI) require an active or trialing Enterprise plan; Pro admins see a locked Insights preview with only the Words Dictated card accessible.
On iOS and Android, past-due Enterprise subscriptions lose access to team features. On desktop, past-due users retain access.
Generic email domains (gmail.com, yahoo.com), public TLDs (.gov, .mil, .edu, .int and their international variants such as .gov.uk and .edu.au), and university domains cannot be used as team domains.
Teams using SCIM provisioning manage all users through their identity provider — manual invites and removals are disabled in Flow.
IT admins are shown separately from billable seat counts in Settings. Free IT admin seats are an Enterprise-only benefit and are not available on the Flow Growth plan.
IP allowlist, Cost Centers, and Audit Logs are available on Enterprise plans only. Cost Centers additionally require per-cost-center billing to be enabled for your enterprise.
Flow Growth is available to team admins via self-serve purchase on the Plans and Billing page; the Growth and Enterprise plan tiles appear only once pricing is available for your currency. Orgs on a legacy, sales-led, or unknown-tier subscription continue to see their existing billing page unchanged.
The Team Picker cannot be skipped, and is re-checked on every launch.
Users who signed a HIPAA Business Associate Agreement themselves can view or revoke it in-app; enterprise members must contact their admin. While a HIPAA BAA is active, data sharing is disabled for all users and transcription data will not be used to train or improve models.
In zero data retention organizations, the Improve the model for everyone setting is enforced off for all members, and the Enforce zero data retention control is enabled.
To claim a free Student plan on iOS, students are directed to complete the process on desktop or web. The free Student plan is not available to Team or Enterprise subscribers. Students already on an active App Store Pro subscription must cancel and wait for it to expire before claiming, and students mid Pro-trial must wait for that trial to expire.
Plan labels differ by platform. Android shows only 'Basic', 'Pro Plan', 'Pro Trial', and 'Enterprise' — Student and Team plans all display as 'Pro Plan', and a trialing Enterprise plan shows plain 'Enterprise'. Android also shows 'No plan info' if subscription details fail to load. iOS shows 'Basic', 'Pro', 'Pro Trial', 'Enterprise', plus 'Flow Student' for active student-plan-free users.
Team and enterprise administration is desktop and admin portal only. iOS has no invite, remove, or role-change controls; the iOS Plan screen shows only an enterprise member count and links out to the teams page.
