Restricting Notetaker by domain: the Blocked domains setting

Blocked domains let organization admins stop Wispr Notetaker from recording meetings where specific attendees — or entire email domains — are present. When a block applies, Notetaker refuses to join and names the attendees that matched.


How to configure blocked domains

  1. Sign in to the admin portal at admin.wisprflow.ai.

  2. Go to Settings → Organization → Notetaker.

  3. Click Add domains or Configure on the Blocked domains card to open the Edit blocked domains modal.

  4. Enter your rules — one per line or comma-separated, up to 200 entries.

  5. Save your changes. A "Blocked domains updated" toast confirms the save.

Important: If a rule would block your own email domain, the portal asks you to confirm before saving.

How entries are interpreted and validated

@example.com and a bare example.com are also accepted and treated the same as *@example.com. Duplicates are merged, ignoring case. Reopening the modal redisplays rules comma-separated.

The only check made before saving is the 200-entry limit ("Enter at most 200 entries (you have N)."). Formats are validated after you save, and other problems appear then or as "Failed to save. Please try again."

Save is disabled with "No changes to save." when no edits are pending. Closing the modal with unsaved edits prompts "Discard unsaved changes?"


What members experience

On a matching meeting, Join or Record does not record: Notetaker names the matched attendees and opens the meeting note read-only so existing content stays viewable. When more attendees match than the message can list, members see the number of matches instead of names.

  • No recording notice posted: Notetaker does not post a consent or recording message into calendar invites for blocked meetings. The calendar-invite notice supports Google Calendar only, not Outlook events.

  • Checked on every attempt: Removing a domain takes effect at the next Join or Record, with no app restart.

  • Fails open: Recording proceeds if the check cannot complete — device offline, temporary error, or an ad-hoc recording with no calendar event.

  • Read-only for non-admins: Non-admin members can open the list only when rules already exist, and Save shows "Only admins can edit blocked domains."

What happens if I accidentally block my own domain?

Remove the rule in the admin portal. The change applies at the next Join or Record attempt.

What counts toward the 200-entry limit?

Each line or comma-separated entry counts as one, whether it is a domain wildcard or a specific email address.

  • Blocked domains is available on Mac only; Notetaker is not yet available on Windows.

  • The setting requires an Enterprise plan and admin access to the admin portal.

  • Maximum of 200 entries per organization, wildcards and specific addresses combined.

  • Blocking requires a calendar event with attendee data; meetings without one are never blocked.

  • Adding domains must be enabled for your organization by Wispr. When it is off, admins can remove existing rules but not add new ones, and Save shows "Adding new domains is not enabled for this organization. You can still remove existing ones."
