Troubleshooting Notetaker recording and audio

Available on: Mac. Notetaker is rolling out gradually.
If a Notetaker recording won't start, stops on its own, misses other people's audio, or never produces a summary, start with the quick checks below. Most cases resolve in under a minute.
Quick checks
Are you on the latest version? Update Wispr Flow and restart it — many past bugs are already fixed (see Previously fixed issues).
Did the meeting just end? The Summary tab shows a loading indicator with status messages for a few minutes while notes generate. This is normal.
Have you hit your weekly limit? "You have no meeting notes left this week" means you've reached your plan's weekly cap. The Notetaker page in the hub shows remaining notes and the reset date.
Is the Notetaker tab blank? A blank tab for up to about 8 seconds is normal while the app loads your account settings; it then shows Notetaker or an access message. If it stays blank longer, restart Wispr Flow.
Is Cloud Sync on? Open Settings → Data & Privacy and confirm Private Cloud Sync is enabled. If it's off, Notetaker can't record at all — the fastest way to tell whether the problem is a setting or something else.
Recording won't start or is blocked
Notetaker requires three prerequisites: system audio recording permission, microphone access, and Private Cloud Sync. If any are missing, a "Complete setup to start Notetaker" screen ("These are required settings") blocks recording; once everything is in place it shows "All set!" and closes itself.
The setup screen footer shows "Always ask for consent before transcribing" with a link to the privacy policy. Back or Escape exits without starting a recording. If the screen sits untouched for about 20 seconds, a warning appears: "Notetaker isn't recording yet — Finish setup to start recording your meeting." Click Finish Setup or Close Notetaker.
The setup screen shows "Enable System Audio"
This permission captures what other participants say ("Capture what others say in the meeting").
macOS 14.4 or later: opening Notetaker for a real meeting (meeting-detected notification, Flow Bar record button, or an imminent calendar event) triggers the macOS "Record your system audio" prompt automatically — click Allow and the row shows "All set" within seconds, no restart. Ignoring it for about 30 seconds resets the row to a clickable Turn on; manual entry points (hub "New note," tray, menu) also need Turn on. A denied row shows a looping tutorial video (a static image with reduced motion or offline) — click Turn on, enable "System Audio Recording Only", then restart Flow.
macOS 13 or macOS 14.0–14.3: click Open Settings, enable Screen Recording access for Wispr Flow in System Settings → Privacy & Security → Screen Recording, then click Restart Wispr Flow — this permission applies only after a restart. Flow reopens your meeting; if it doesn't, the permission didn't save — repeat the steps.
The setup screen shows "Enable Microphone"
This captures what you say ("Capture what you say"). Click Turn on — the row updates as soon as access is granted, no restart needed.
The setup screen says "Automatically sync notes" is off
Private Cloud Sync (shown as "Automatically sync notes") saves your notes and transcripts. Click the toggle — it turns green when sync is on. With your own HIPAA agreement, enable it from Settings → Data & Privacy instead; if your organization locks it off, contact your admin (admins: the Admin Portal).
"Start Notetaker" is grayed out on the meeting-detected notification
The notification's Enable Private Cloud Sync checkbox (checked by default) must be checked — unchecking it grays out Start Notetaker. No checkbox means Cloud Sync is already on or your organization manages the setting.
Recording stopped immediately and the setup screen appeared
System audio permission was denied at the exact moment recording started. The aborted recording is discarded — no stub note is left, and a resumed meeting's notes are untouched. Grant the permission and start again. Losing system audio during a recording is different — see "Other participants' audio went missing."
A blocked modal appeared — recording is restricted by your organization's settings
When Private Cloud Sync is off by policy or a HIPAA agreement applies, a blocked modal (orange banner, lock badge) explains what's blocking recording, with a button opening Settings (personal HIPAA) or the Admin Portal (admins); members contact their admin. Dismiss with X, Escape, or a click outside.
You see "You have no meeting notes left this week"
You've reached your plan's weekly recording limit. The notification offers Upgrade (free plans only) and Ok to dismiss. Any recording active when you hit the limit is stopped safely first — nothing is lost up to that point.
The Notetaker page in the hub shows a banner with your remaining count, the reset date (e.g. "Resets Monday, Aug 3rd"), and an Upgrade button. Limits reset weekly on Monday (UTC); upgrading increases your weekly allowance.
You see "Still finishing the last recording. Try again in a moment."
You clicked Record on a different meeting while the previous recording was still saving; starting now could cut off the prior meeting's audio. Wait a few seconds and click Record again. Same-meeting restarts are unaffected, and calendar-triggered joins handle the delay silently.
The Resume button isn't showing for a past meeting
Resume appears only when clicking it will actually continue the recording. For a "cold resume" (closing and reopening a finalized meeting) it's hidden if the original audio was deleted, is older than your retention window, or is corrupt. A stale window shows "The original audio is no longer available," "This recording can no longer be resumed," or "The original audio can no longer be read." Start a new recording instead — your notes and transcript are preserved.
The notepad tabs (My thoughts, Transcript, Summary) aren't responding to clicks
An overlay from the setup gate could stay active after the setup card was hidden, leaving the notepad unresponsive to mouse clicks while keyboard navigation still worked. This is fixed — update Wispr Flow to the latest version. A separate cause of unresponsive clicks is still under investigation; if clicks remain unresponsive after updating, contact support.
You see a "blocked" or access screen when clicking Start Meeting from the Flow Bar
Clicking Start Meeting in the Flow Bar before the app finishes loading your account settings can route you to the Notetaker hub with a tooltip referencing blocked access, even if your account has access. Wait a moment, then try again. If the message persists, your plan may not include Notetaker access; contact support if you believe this is incorrect.
A recording stopped on its own
Auto-end behavior is controlled by Stop the Notetaker when the meeting ends in Settings → Notetaker. When Flow auto-ends a recording, it shows an "auto-ended" notice ("End of meeting detected, so recording stopped") with a Resume option.
The app holding your mic dropped the call: Flow combines multiple signals to confirm you've actually left, so brief audio glitches (switching to AirPods, connecting a dock, a momentary audio restart) don't trigger an early stop. If you move a call to another browser (for example, reopening a Google Meet link elsewhere), a later audio-device change won't stop the recording — Flow stops only when the browser hosting the call leaves the meeting. Recordings are never auto-stopped in the first 90 seconds of a session.
Back-to-back meetings: the previous recording finalizes on its own (about 6 seconds after auto-end) and the new meeting records separately. Lingering on a rejoin screen ends recording in about 10 seconds; peeking at another meeting's lobby does not.
Check-ins (rolling out gradually): ten minutes of continuous silence brings a 30-second "Still recording?" toast (connection outages never count); one-time check-ins also appear 10 minutes past the scheduled end and after 60 minutes.
Maximum recording length: set from 30 minutes to 3 hours in Settings → Notetaker; changes apply immediately, even mid-recording. A warning toast appears 5 minutes before the limit (2 minutes on the 30-minute setting) with an Extend button that raises the limit and keeps recording — at the 3-hour maximum the toast shows Dismiss and Stop instead. If a meeting was cut off, start a new recording; everything up to the stop is saved.
You switched macOS user accounts: Fast User Switching stops and finalizes the recording; screen lock and screensaver do not. Switch back and click Generate Summary — Flow also tries automatically within 24 hours.
What never stops a recording: tab switches, audio-device changes (including AirPods or a dock), transient audio restarts, and transient mic interruptions — Flow retries the mic, falls back to system audio only, and recovers when the mic returns. Only a mic failure at the very start stops it.
Your microphone isn't being captured
Recording from the wrong microphone
Notetaker always uses your macOS system default microphone, independent of your Flow dictation mic. While a meeting is recording, check or change it from the ⋯ (kebab) menu's Microphone submenu in the notepad header, or by hovering the green waveform pill.
Before a meeting starts or between meetings, use the Flow Bar status menu or Settings → Notetaker. Change system microphone… and a mic-error notification's "switch mic" action open System Settings → Sound → Input; the switch lands within about half a second with a brief audio gap. A connected mic producing no sound (a wireless receiver out of range) is not auto-detected — switch devices if you suspect this.
Your voice is missing from the transcript after a mic interruption mid-meeting
If your mic became temporarily unavailable, Flow retries several times, then continues on system audio only — others are captured, your voice isn't, and there is currently no in-app notification for this state. Confirm the input device in the Microphone submenu (visible while the meeting is recording) and switch if needed; full capture resumes when the mic returns.
You received a "Notetaker isn't hearing audio from your mic" notification
This notification (and the follow-up "Still there? Notetaker isn't hearing anything") means Notetaker is recording but picking up no sound from your microphone. Check that your mic isn't muted, confirm it's the active input in System Settings → Sound → Input, and use the Microphone submenu in the ⋯ menu to switch to a working device. The live voicewave in the Transcript tab moves when your mic is being heard.
Other participants' audio went missing
Participants went silent mid-call
System audio capture can silently stop delivering audio, most commonly with USB-C hubs that have their own audio device. Flow restarts capture once automatically; if that fails, a one-time notification suggests reconnecting. Unplug and replug the hub, confirm the output device in System Settings → Sound → Output, and restart the recording if needed.
System audio permission was lost mid-recording
Recording continues on your microphone only — no banner appears, and Stop keeps working. Re-enable the permission (see "The setup screen shows 'Enable System Audio'"), stop, restart Flow, and start a new recording. Participants' audio isn't retroactively captured; your own mic audio is always preserved.
Everyone sounds like a single speaker when system audio permission is off
When your mic picks up both you and remote participants through your speakers, distinct voices are kept as separate speakers. Tradeoff: one person may occasionally split into two anonymous speakers and your own name may not auto-apply. Grant system audio permission to capture remote participants directly.
Speaker names aren't appearing in the transcript
Zoom meetings show "Speaker 1," "Speaker 2," etc. instead of names
Zoom speaker names require macOS Accessibility permission for the Zoom app: System Settings → Privacy & Security → Accessibility, enable Zoom (add with + if missing), then restart Wispr Flow. Names appear for future Zoom meetings; older recordings aren't renamed. Other speaker-name issues live in the transcripts and summaries troubleshooting article.
Your own voice shows as "Speaker N" instead of your name
In solo or undiarized meetings, Notetaker labels your microphone audio with your profile name. With no first or last name set, it falls back to a generic label like "Speaker 1." Add your first and last name in your Wispr Flow profile settings — future meetings will use your name automatically.
A 1:1 meeting still shows "Speaker 1" and "Speaker 2" instead of names
For calendar-linked 1:1 meetings, Notetaker names both you and the other invitee automatically, including on Slack huddles and laptop-speaker calls. If names are still missing, check that your calendar is connected and the meeting has exactly two attendees. Meetings where two people share a single microphone stay unlabeled to avoid incorrect name assignments.
"Speaker N" text is appearing in my summary or meeting notes
For meetings where all speakers were named, every person who spoke renders as a name in both the summary and the notes document. If you still see plain speaker labels, update to the latest version of Wispr Flow; if the issue persists, contact support.
Live transcript stopped updating mid-meeting
A spinning "Still listening · Reconnecting…" pill means Notetaker lost its live connection and is re-establishing it. Your recording, final refined transcript, and summary are not affected — audio is captured the entire time, and the live transcript resumes automatically once the connection recovers.
"Reconnecting…" pill has been spinning for a long time
A previous bug could freeze the reconnect process after a network or server blip, leaving the pill spinning for the rest of the meeting with the live transcript never returning. This is fixed — update Wispr Flow to the latest version. If the pill continues to spin after updating, check your network connection, then contact support.
Summary isn't appearing after the meeting
The Summary tab is showing a loading indicator — is something wrong?
No. When a recording ends, the Summary tab shows a status pill with progress messages ("Generating Summary…") and a skeleton placeholder while your notes generate, typically for a few minutes. The summary appears automatically; no refresh needed.
After your first meeting, a notification reads: "Est time: ~2min to improve the transcript, identify speakers, and generate the summary." This estimate stays at about 2 minutes regardless of meeting length — it signals that processing is underway, not the exact time.
The loading indicator disappeared but no summary appeared
Update to the latest version of Wispr Flow. If a summary still never appears after several minutes on the latest version, contact support — include your macOS version and the approximate meeting length.
Reporting a meeting problem
Report an unresolved issue from within the app. Both report dialogs keep Submit disabled until you select an issue category and provide the required feedback.
Reporting a problem from the Hub (meeting list)
Open the meeting in the Hub and use the report option in the meeting's menu, then select an Issue type:
Missing data or stuck processing — the meeting never processed or data is missing
Summary quality — the AI summary is inaccurate or unhelpful
Speaker labels — speakers are misidentified or missing names
Notifications — issues with meeting reminders or alerts
Auto-stop — the recording stopped unexpectedly or too early
Other — anything not covered above
Sharing your recording to improve transcription is a separate optional step and needs no category.
Reporting a transcript error during or after a meeting
In the recorder window, report a specific transcription error inline from the Transcript tab, then select a category:
Important word transcribed incorrectly — a key term or phrase was wrong
Name transcribed incorrectly — a person's name was misheard
Wrong language — the transcript was produced in the wrong language
Other — anything not covered above
Previously fixed issues
These were bugs in earlier versions — update Wispr Flow to resolve them. If one persists on the latest version, contact support.
After signing in fresh, going offline for an extended period, or accumulating many meetings, audio uploads could get stuck and summaries never generated. Meetings now sync in small back-to-back batches, and newly recorded meetings are prioritized so their audio and summaries process promptly even with a backlog
After recording a short first segment and then resuming, the meeting could get permanently stuck: no automatic summary, the "Update Summary" button pinned on screen, and the Transcript tab showing the raw live transcript instead of the refined one with named speakers. Clicking Update Summary once fixes any meeting already stuck in this state
Notepad tabs (My thoughts, Transcript, Summary) didn't respond to mouse clicks while keyboard navigation worked, caused by the setup gate's overlay staying active after the setup card was hidden
After moving a meeting to another browser (for example, reopening a Google Meet link in Arc after joining in Chrome), a later audio-device change such as connecting AirPods could wrongly stop a recording in progress
Auto-stop didn't trigger reliably on macOS, so recordings lingered past the end of a meeting
The "End of meeting detected, so recording stopped" notice was truncated, hiding the reason text
The "Still listening · Reconnecting…" pill spun indefinitely after a network or server blip and the live transcript never resumed; recording, final transcript, and summary were never affected

Start reliability — saved audio starting later than the actual recording, dictation colliding with the mic handoff, a blank or crashed screen right after launch, and waiting for the previous meeting to finish processing before starting a new one
Recording pill issues — washed-out colors in dark mode, a scrolling title instead of the compact green wave pill, mismatched waveform levels, clicking the pill opening a duplicate copy of the call, and a blank sidebar title for untitled notes
Setup screen issues — an endless spinner asking for the wrong (Screen Recording) permission, a fully blank setup screen, the screen blocking recording even with everything granted, greyed-out Record and unresponsive Stop buttons after losing a prerequisite, policy-locked users able to record anyway, and the old "failed to start transcription" notifications, since replaced by the setup screen
The blocked modal couldn't be dismissed and lacked per-situation variants

FAQs
What does "Couldn't start recording" mean?
Flow couldn't establish the live-transcript connection even after retrying. The card (previously "Notetaker didn't start") also appears on a manual stop of a never-connected recording. Try again resumes or starts fresh; Discard removes the empty session (typed notes are always preserved).
If the live transcript stops, does that mean my recording is lost?
No. The live transcript and the recording are independent — your audio is captured even while the "Still listening · Reconnecting…" pill spins, and the final transcript and summary process normally after the meeting.
Can I record an in-person meeting without a video conference link?
Yes. In-person and conference-room events show a Record button in the Upcoming list and detail panel.
Why is the Resume button greyed out right after I click Stop?
Flow needs a moment to finish saving; the Flow Bar clears within about a second. Tapping Resume during that window shows "Still finishing the last recording. Try again in a moment." — clicking again works. A "Couldn't resume: …" toast indicates a genuine failure, not timing.
Why did I see a "Started by mistake?" prompt after stopping a short recording?
It always appears when a recording captures very few words. Save keeps the meeting; Discard deletes a brand-new short meeting and its audio — on a resumed meeting it removes only the new segment, keeping your earlier transcript and summary.
How do I know if a recording is active?
The green waveform pill sits next to the meeting button in the Flow Bar (the button keeps its neutral style), the Transcript tab shows a live green voicewave, and the Flow Bar stop control reads Stop Notetaker.
Why is a meeting I declined not showing up in the Flow Bar or tray?
Declined meetings are hidden from the Flow Bar, shortcut drawer, menu-bar title, and tray; they stay in the Upcoming list with a Declined label. Change your RSVP to Accepted or Tentative to bring one back after the next calendar sync.
Why didn't the "Meeting detected" card appear during my initial Wispr Flow setup?
It's hidden during onboarding, though detection still runs and auto-stop works. If a meeting is still live when onboarding finishes, open Notetaker directly to record it.
Where did the "Recording stopped" notification and its undo option go?
Replaced by the auto-ended notice with a Resume option, which appears after Flow auto-ends a recording so you can continue if it stopped by mistake.
Could the last few words of my transcript be cut off?
In rare cases: processing finishes in the background so the Flow Bar clears quickly, and words spoken in the last moment before Stop are marginally more likely to be missing. Finish speaking a beat before clicking Stop if it matters.
How does the weekly recording limit work?
Your plan includes a set number of meeting notes per week. With one note left, Flow shows "Only 1 meeting note left." At the limit, new recordings are blocked until it resets Monday (UTC). Upgrading gives you a higher weekly allowance.
Why does the post-meeting notification say "~2 min" no matter how long my meeting was?
It's a general indication that processing is underway and doesn't change with meeting length. Actual time to see your summary varies; the Summary tab's loading indicator updates in real time.
I'm on a Business plan — why don't I see Notetaker?
Access for Business-plan accounts is being expanded gradually. If you don't see it yet, it hasn't been enabled for your account. Contact support to request early access for your organization.
Limitations and notes
Notetaker is available on Mac only (rolling out gradually). If you don't see it in your app, it hasn't reached your account yet.
Notetaker records one meeting at a time; switching meetings asks you to confirm first. Meeting detection with a non-default microphone requires macOS 14.2 or later.
A hardware-muted mic records from system audio only; the "Still recording?" check-in is transcript-based. Recordings whose mic audio you withheld for privacy are never auto-recovered.
The idle setup warning ("Notetaker isn't recording yet") appears only for the floating recorder window, once per setup-screen appearance, and is suppressed while a permission dialog is open. The setup card scrolls on short windows.
Conference-room label stability applies to the live transcript's "you" / "them" labels only; the refined transcript is unaffected.
A summary is auto-generated only when the meeting has no existing summary and more than 5 minutes of recorded audio.
Post-call audio reaches the live transcript within about 10–15 seconds on Mac; other platforms may take up to 45 seconds.
The "View Summary" window may open on a different macOS Space (the recorder window stays put), and the voicewave may tremble slightly — both cosmetic.
After a normal restart, Flow shows a "Meeting detected" notification instead of opening Notetaker; only the system audio setup flow returns you to Notetaker.
Across all join menus and CTAs, the join action is labeled "Join + Start." Meeting cards show a single Record button when Flow detects you're already in the call.
Weekly recording limits vary by plan and reset every Monday (UTC). On a free plan, an Upgrade option appears in the notification and on the Notetaker hub page.
The Microphone submenu in the ⋯ menu is available only while a meeting is actively recording — not on past, stopped, or shared meetings, or in the hub's meeting list. Select the Notetaker mic before or between meetings from the Flow Bar status menu or Settings → Notetaker.
The maximum recording length is 3 hours, settable to 30 minutes, 1 hour, 2 hours (default), or 3 hours in Settings → Notetaker. Accounts previously set to 4 or 6 hours were updated to 3 hours automatically.
A separate cause of unresponsive clicks in the Notetaker window is still under investigation; contact support if the notepad stays unresponsive to mouse clicks after updating.
Opening Notetaker can take up to about 8 seconds to load your account settings before showing the Notetaker tab or an access message; a brief blank tab is normal.
