Troubleshooting Notetaker transcripts, summaries, and the hub

It's taking a while

After you stop recording, the Summary tab shows a status pill with rotating messages (such as "Turning your meeting into a two-minute read," plus word and speaker counts) and a skeleton placeholder instead of a blank editor. A few minutes is normal; if notes still haven't appeared after several minutes, check your connection. Re-runs, regenerations, and errors show a progress band at the bottom of the panel with a Retry button.

Summary tab shows "Summary generates when you stop" or "Not auto-generated"

These are placeholder states, not errors. "Summary generates when you stop" shows while recording — the summary auto-generates on stop when no summary exists and total audio exceeds 5 minutes (earlier segments count). "Not auto-generated" shows when the upload was deferred (short meetings, notepad stops, or offline) or when a resumed meeting already has a summary — it is never silently replaced. Click Generate summary and keep Flow online.

Summary tab shows "too short to summarize"

The recording was too short or had no meaningful audio. This is a final result — there is no retry loop or "Generate anyway" button; your transcript (if any) and notes remain in their tabs.

Meeting recording appears to be missing

Flow retries preparing a failed recording from the raw audio on your device — recovery usually takes seconds, and a background scan retries stranded recordings. If only one audio source survived, Flow saves from it; only a recording with no audio at all is unrecoverable. Keep Flow open and online, then update if it doesn't recover. Mic audio withheld for privacy is never auto-recovered.

"Couldn't generate summary." or generation failed

The footer progress band shows the error with a single Retry button; your existing summary and transcript are untouched. Common causes: local audio cleaned up (removed about 24 hours after stopping, which ends updates), the meeting still processing, or cloud sync disconnected. If Retry keeps failing and the audio was processed on the server, resume the meeting and use Generate summary.

The "Add summary" chip isn't showing

The chip is strictly a recovery option, visible only when a previously generated summary is no longer in the note — it is hidden while none exists, while it's still in the note (scroll down), and during regeneration. Click it to regenerate; long summaries stream in progressively.

After resuming, the summary never generated, "Update Summary" stayed pinned, or the Transcript tab kept showing the raw transcript

This happened when you recorded a short first segment, then resumed and recorded more. Click Update Summary once to fix a meeting already stuck in this state, then update Wispr Flow to the latest version to prevent it. On the latest version, the summary generates automatically, the Update Summary button clears, and the refined transcript with speaker names appears.

Resume missing on a completed meeting

Resume requires the original local audio within the audio retention window (90 days by default); right after stopping it's briefly unavailable while audio saves. Crash-interrupted recordings can be resumed with pre-crash audio preserved. After a resumed meeting processes, "New recording since this summary" appears with an Update Summary button — available until the audio is cleaned up, about 24 hours after stopping.

A meeting title never appeared after the meeting ended

Meeting titles generate automatically after a recording ends. If the network dropped, the app was slow, or you quit Flow right after the meeting, the title may not have been generated. Flow retries automatically: a blank title is filled in the next time you open the app, or within 24 hours for locally recorded meetings from the last 7 days.

If you rename or delete a meeting while a title is being generated, your action wins — the auto-generated title will not overwrite your changes.

A meeting on another device shows no title

Automatic title recovery applies only to meetings recorded on the current device. Meetings synced from another device are not retitled locally — open the app on the device where the meeting was recorded to trigger recovery there.

What citation chips show and where they lead

Chips show their source type with an icon — "Slack," "Gmail," "Calendar," "Notion," "Web," "Meeting" — and hovering shows the source name ("Slack channel," "Slack DM," "Slack thread," "Gmail thread," "Notion page," or "Opens example.com."). Slack chips open the cited message; Gmail and Calendar chips open the general app (mail.google.com / calendar.google.com), not the specific email or event; Meeting chips open the meeting inside Wispr Flow with an "opens externally" arrow on hover. Citations appear only when a concrete source exists — no chips means no linked sources — and sources without a valid link render as plain prose. Chips and elaborations are interactive only in the desktop app; the web view shows plain text.

A Meeting citation pill does nothing when clicked

Briefs generated before a recent fix keep non-clickable pills — regenerate the Brief for clickable ones. A pill with no valid meeting reference renders as a plain chip, not a dead link. Pills show the real participant photo, a note icon for standalone notes, or a colored initial as a last resort; site icons that can't load are omitted and the link still works.

Brief content isn't where I expect it

Brief content lives in a collapsible section on the My Notes tab; for meetings that ended before you updated Wispr Flow, it may not appear — a known gap. Continuity with a recurring meeting is mentioned only when the calendar can verify an earlier instance — never guessed. If elaborations (hover-to-expand) appear nowhere, the feature may not have reached your account yet.

A Brief is missing for an upcoming meeting

If Flow couldn't reach the network when preparing a Brief — for example, right after your laptop woke up before Wi-Fi reconnected — the Brief may not have appeared. This is fixed: Flow recognizes the network error, clears the attempt, and retries on the next pass. Update Wispr Flow to the latest version. If a Brief still doesn't appear after reconnecting, check that your calendar is connected in Settings → Connectors.

If no calendar context is available, the Brief card shows "Brief context unavailable; showing calendar metadata." instead of leaving it blank.

Transcript shows "Speaker 1" / "Speaker 2"

Live transcription runs without speaker identification — names land in the refined transcript afterward, and refinement with speaker attribution runs automatically. Several mechanisms name speakers:

• Calendar-linked 1:1 meetings: for meetings with exactly one other invitee, both you and the other person are named automatically — including on Slack huddles and when using laptop speakers instead of headphones. No setup required.

• Auto-detect: turn on Auto-detect speaker names in Settings → Notetaker and grant macOS accessibility permission to Wispr Flow. Works for Google Meet (Chrome, Chrome Dev, or Chromium required) and Zoom — Zoom also needs accessibility permission for the Zoom app itself. Existing recordings aren't renamed unless re-refined.

• Auto-naming (ad-hoc meetings): a name fills in only when someone self-introduces or is addressed by name with high confidence; unconfirmed speakers stay "Speaker N," never a guessed name.

• Assign manually: hover an unassigned mention (dotted underline), click Who is this?, and type the name — it updates live everywhere. On "Couldn't save the name. Try again.", check your connection and retry. Rolling out gradually.

Meetings where two people share a single mic stay unlabeled by design to avoid wrong names. Mic-only recordings without system audio may occasionally split one voice in two. Manual names always win.

Summary or notes still show "Speaker 1" / "Speaker 2" after names were assigned

For fully-named meetings, every person who spoke renders as a name or chip in both the summary and the notes; plain "Speaker N" text should not appear. If an older meeting still shows generic speaker labels, re-refine the meeting to pick up the updated naming. Manual name assignments take effect immediately everywhere.

Your name shows as "Speaker 1" in one view but correctly in another

In solo or undiarized meetings (where only your mic is captured), Wispr Flow resolves your speaker mention to your profile name — for example, "Josh Benson" — in both the floating notepad and the hub's meeting detail panel. The two surfaces disagreeing (your name in the notepad, "Speaker 1" in the hub) is fixed; update Wispr Flow to the latest version. If your profile has no first or last name set, the mention falls back to "Speaker N" in both places.

In an in-person recording, the same person appears twice in the Summary speaker chips

In earlier versions, Summary speaker mentions in in-person recordings (multiple people speaking into the same mic) could all be attributed to the recording owner, making that person appear twice. This is fixed: unassigned speaker mentions display as "Speaker N" (without a hover popover) during live transcription and resolve once the refined transcript arrives. Update Wispr Flow to the latest version.

The same person appears twice in the "Who is this?" picker or Assign Speakers list

Flow merges a calendar attendee into a matching tile person only on exactly one clear match — tile "Samm" gains the fuller name "Samm Yates," keeping your assignments. Matching is one-way (a short name never swallows a longer one) and skips ambiguity — one tile matching both "Samm Yates" and "Samm Turner" stays separate, and a space-less "Eliolcott" matches "Eli Olcott" only when each part has at least 3 characters. Re-refining never deletes a person. Update Wispr Flow if duplicates persist.

Auto-scroll or scroll position isn't doing what I expect

Auto-scroll sticks to the newest text; scrolling, swiping, or arrow/Page keys release it, and Jump to bottom re-engages it. A past or shared meeting opens at the most recent entry and later keeps your position. A recording-gap divider (hover for exact times) marks a pause — no content is missing.

Reporting a problem from the hub

Open the meeting and use the report option in the meeting menu. The dialog includes a required Issue type selector:

• Missing data or stuck processing — the meeting is incomplete, stuck, or content never arrived

• Summary quality — the summary is inaccurate, missing sections, or poorly written

• Speaker labels — speakers are misidentified, missing, or duplicated

• Notifications — reminders or alerts behaved unexpectedly

• Auto-stop — recording stopped earlier or later than expected

• Other — anything not covered above

The Submit button stays disabled until you select a category and fill in any required feedback fields.

Reporting a transcript line from the recorder

Hover the line and click the inline report this transcript line option. The dialog includes a required Issue type selector:

• Important word transcribed incorrectly — a key term, phrase, or number was wrong

• Name transcribed incorrectly — a person's name was misspelled or misheard

• Wrong language — the transcript was produced in the wrong language

• Other — anything not covered above

The Submit button stays disabled until you select a category and fill in any required feedback fields.

Share button or copy-link icon not visible on a meeting note

Share controls appear in the note header (hub expanded view and standalone notepad) only when you own the note (shared notes are read-only; Copy Link still works from the Share panel) and sharing has rolled out to your account; otherwise update Wispr Flow and restart.

Recipients can see the summary but not the transcript after following a shared link

A link grants summary access only. See the FAQ What does copying a share link give recipients access to? for details.

A shared note shows an error, an "unavailable" message, or no transcript

A failed Shared-notes load shows an error card with Retry. An "unavailable" note means access was revoked — ask the owner to reshare. A Share panel that can't load details falls back to an error plus Copy Link. On open, the summary loads first and the transcript fills in shortly after; Assign Speakers is hidden for non-owners.

A shared note viewed in the browser opened the Wispr Flow app automatically

That's the "always open in Wispr Flow" preference: Mac only, signed in, once per page load, skipped when another modal is open. Change it in the Wispr Flow app.

Search returns no results even though I know the note exists

Search scans your entire notes history — content, speaker names, and titles, not just loaded notes; "no results found" appears only after the search-field spinner completes. Try content keywords or a speaker's name, then clear the search to reset.

My Notes or Shared notes tab looks empty or blank

Animated placeholder cards right after sign-in are a normal loading skeleton. The real empty states are explicit: "Your meetings will appear here.", "Shared notes will appear here.", and "No notes found for '<your search term>'." (also shown as "No notes found for '<query>'."). If a tab stays empty over a minute, check your connection, then update and restart.

A connected app shows a warning, or the connect-apps prompt never appeared

Open Settings → Connectors and click Reconnect on the affected app — a green check means connected; a Connect button means never connected. The post-meeting connect-apps prompt appears once the end of the Summary has been visible a few seconds in the foreground, never after dismissal.

A "connect your calendar" or "connect apps" callout appeared in my notepad during generation

While notes are generating, a dismissible callout may appear in the notepad footer encouraging you to connect your calendar (for speaker names) or other apps (for pre-meeting briefs). Dismissing it is permanent. To bring it back, use the new-user experience reset option in Settings.

A shorthand search returns no results or the wrong meeting

Keyword-style messages ("recent ML interview," a quoted phrase) are treated as meeting searches returning clickable links. If nothing matches, add a date, a participant name, or a longer phrase — or ask a full question ("What did we decide in last week's ML interview prep?") for a prose answer with citations.

A cross-meeting question is slow, or says "details unavailable"

Questions spanning several long meetings can take up to around a minute; nothing is dropped. Failures retry automatically; if servers are unreachable you get a plain message, not a red error, and one unreadable meeting shows "details unavailable" instead of truncating the answer.

"What did I miss?" chip isn't appearing, or shows an unexpected message

The in-meeting composer chip recaps the last couple of minutes. "Nothing new since you last looked." is not an error; "Something went wrong. Please try again." means the fetch failed — click again. Grayed out means another reply is running; absent means still rolling out. Clicking auto-expands the drawer, and replies stream pinned to the bottom while you can scroll up freely.

Everyday questions: dates, web search, and status messages

Ask Wispr is grounded in the current date, time, and timezone ("what's today's date?", "what other meetings do I have today?"). The hub chat can search the web; if the chat says "search is unavailable" or stops mid-answer, it couldn't complete the search and won't invent an answer. "N tool calls remaining" counts lookup steps left (formerly "data lookups remaining"). The bar stays hidden until your first saved note.

The chat isn't creating a document or artifact when I ask for a deliverable

Standalone artifact documents are retired. Ask the chat to update your notes instead — for example, "Rewrite my notes as a follow-up email." or "Add a draft spec to my notes." Plain questions never touch your notes, and existing artifact sections still display.

Chat error messages explained

When a chat request doesn't complete, the message shown tells you what went wrong:

• "Could not get a response. Try again." — Ask Wispr couldn't reach the service. Check your connection and send the message again.

• "Something went wrong. Try again." — An unexpected error occurred while processing your request. Send the message again.

• Save error — The response arrived but couldn't be saved locally. If this persists, update Wispr Flow to the latest version.

The Notetaker tab is briefly blank when I open the hub

If your account has Notetaker access, the tab may appear blank for a few seconds while access is confirmed in the background. In rare cases the blank state persists until the check completes.

Clicked "Start Meeting" and landed on a blocked or restricted screen

Clicking Start Meeting in the Flow Bar before the app finishes confirming your Notetaker access can route you to the hub with a "not available" or restricted message even when your account has access. Wait a moment, then try again — the hub shows your meetings list once access is confirmed.

The Notetaker intro prompt isn't appearing when I open the hub

The one-time intro modal shows once, only when Notetaker is enabled for your account. If Notetaker hasn't reached you yet, a restricted page offers Request access to notify your admin, and the button then shows "Access requested." The modal is skipped if you already used a Notetaker prompt elsewhere.

The "Explore Notetaker" coachmark isn't appearing

After onboarding, a one-time coachmark spotlights the Notetaker item in the hub sidebar with the message "Notetaker transcribes and takes notes for your meetings without joining the call." It appears only when all of these are true:

• You are on macOS — it is not shown on Windows.

• You selected both dictation and Notetaker as your intended uses during onboarding.

• You haven't yet recorded a real meeting.

• Post-onboarding activation has finished.

• The hub sidebar is expanded.

• No dialog, activation prompt, or other coachmark is on screen.

It shows once per device and never reappears after dismissal via Got it!, the X button, or Escape.

The notepad switched to the Summary tab automatically when recording ended

Expected when a summary is coming: the notepad switches silently, never raising the window. Deferred uploads show the Generate summary button instead; the switch re-arms on resume.

Notepad didn't open when recording started, or participants saw it on screen share

Both settings live in Settings → Notetaker: Open notepad automatically (off means background recording — click the wave pill to open notes) and Hide notepad window from screen share (on by default). The hub record button opening a separate window is by design — recording happens in the standalone notepad.

The hub looks cramped, chips are missing, or "No meetings found" shows

Status chips ("in N min," "Last meeting of the day") hide when the Upcoming column is narrow — widen the window or close the preview panel; at very narrow widths the column collapses. "No meetings found" with a Connect calendar button means no calendar is connected; a loading skeleton during the first sync is not an error. Your first recording shows a one-time "Welcome to Notetaker! / Try saying 'Hi Notetaker'" prompt until speech starts.

Upcoming meeting reminder, join button, Flow Bar meeting entry, or Opt+M do nothing

A startup issue prevented Notetaker's calendar features from loading; this is fixed. Update Wispr Flow to the latest version and restart the app.

Notepad tabs (My thoughts, Transcript, Summary) don't respond to clicks

If clicking the tabs does nothing but keyboard navigation still works, an invisible layer left over from the initial setup flow is blocking clicks. This is fixed — update Wispr Flow to the latest version and restart the app.

Bugs fixed in recent updates

Update Wispr Flow and restart to pick up all of the following fixes.

• After a summary was re-refined or updated, the same speaker could appear as a clickable speaker chip in one sentence and as plain "Speaker 2" text in another within the same document — speaker references are now consistent throughout every summary pass

• In the Summary, speaker chips and other inline elements (bold text, italics, links, citation chips) broke onto separate lines while a summary was refining, then snapped back; the word-by-word reveal animation in the hub's read-only meeting embed showed all text at once with only chips fading in

• After a fresh sign-in, coming back online after editing offline, or importing many meetings at once, some meetings remained unsynced, audio uploads got stuck, and summaries never generated. Meetings are now synced in small batches, most recently recorded first, and stuck meetings drain automatically instead of waiting for the next hourly retry. Sign-out now flushes any remaining unsynced meetings before clearing local data

• Some meeting notes came out nearly empty — headings, bullet points, subpoints, Next Steps, and Decisions all missing — even though a complete summary had been produced; complete notes now render for affected meetings

• Switching between Ask Wispr chats (in the hub or the meeting chat) showed a "thinking" loader even for chats stored on your device — switching is now instant for local chats; only server-only chats show a brief loading state

• The "load older messages" button disappeared when reopening a chat whose history was exactly one page long (20 messages) — older turns can now always be loaded

• All chat error messages showed the same generic text — errors are now specific ("Could not get a response. Try again." / "Something went wrong. Try again." / save error)

• Recording a short first segment, resuming, and recording more left the meeting permanently stuck: the summary never generated, "Update Summary" stayed pinned, and the Transcript tab kept showing the raw live transcript. Click Update Summary once on any meeting already stuck in this state

• A calendar meeting Brief silently failed to appear when the app couldn't reach the network (for example, right after waking a laptop before Wi-Fi reconnected), blocking retries — Briefs now retry automatically on the next attempt

• Notepad tabs (My thoughts, Transcript, Summary) didn't respond to clicks while keyboard navigation still worked — an invisible layer left over from the initial setup flow was blocking clicks

• In in-person recordings (multiple people speaking into the same mic), Summary speaker mentions could all be attributed to the recording owner, making the same person appear twice — unassigned mentions now display as "Speaker N" during live transcription and resolve once the refined transcript arrives

• The live transcript stopped updating and the "Reconnecting…" indicator spun indefinitely after a brief network or server hiccup — live transcription now resumes automatically once the connection recovers

• The meeting report dialog and inline transcript report had no way to categorize the issue — both now require an issue category before submitting

• In Google Meet (and similar platforms), the meeting owner was merged with another participant and labeled with the wrong name when their participant tile name matched their Flow profile display name — owner and participants are now correctly separated and named

• Meetings set to record for 4 or 6 hours ended abruptly at around 3 hours with "Transcription error: Meeting duration limit reached (3 hours)" — the maximum is now 3 hours, anyone previously set to 4 or 6 hours is moved to the 3-hour cap, and the error no longer appears

• Calendar-linked 1:1 meetings showed "Speaker 1" / "Speaker 2" instead of real names — both participants (including Slack huddles and laptop-speaker calls) are now named automatically

• Summaries and notes for fully-named meetings still contained plain "Speaker N" text — re-refine older meetings to pick up the fix

• In solo or undiarized meetings, your name appeared correctly in the floating notepad but showed as "Speaker 1" in the hub's meeting detail panel — both surfaces now show your profile name

• Meetings stayed permanently untitled after the network dropped, the app was slow, or the app quit right after a meeting ended — blank titles now recover on launch and every 24 hours for locally recorded meetings from the last 7 days

• After signing in, the refined transcript never arrived unless you quit and relaunched the app a second time

• A refined transcript still downloading at sign-out could be written into the next account's notes (privacy fix — transcripts are now discarded on sign-out)

• Repeated failed attempts to fetch a refined transcript (offline or during a brief service slowdown) exhausted all retries, leaving the transcript permanently missing even after reconnecting

• Multiple people in the same office sharing one internet connection were limited against each other when Wispr Flow checked meeting status

• The connect calendar / connect apps callout in the notepad overlapped the consent notice when resuming a recording

• Tour video transitions blurred or flashed to black between segments; a stray "Generate Summary" button appeared on the recorder or the Notetaker hub row during the guided tour's demo meeting; the hub briefly showed the dictation page instead of the Notetaker welcome banner when the tour started or ended; the hub briefly appeared before the tour started after onboarding; tour overlays or highlights didn't display correctly when starting from full-screen; the introductory Notetaker screen stayed visible longer than expected

• The summary word-reveal animation could be interrupted before completing

• The upcoming-meeting reminder pill, join drawer, Flow Bar meeting entry, and Opt+M all showed nothing

• Local history (transcripts, notes) was wiped when a recoverable startup error occurred

• Meetings stuck on "parsing," "generating," or "refining"; stuck showing only the raw transcript after the summary arrived; falsely marked failed after an hour, or shown as failed while still processing; processing stage labels stuck or lagging

• "Update Summary" did nothing on a resumed meeting; the old summary briefly reappeared before the new one after an update; a failed rerun left the meeting non-retry-eligible; regenerated summaries were missing speaker names after resuming

• Short meetings (under ~5 minutes) stopped from the notepad never produced a first summary; a loading spinner flashed before "Generate summary" appeared; clicking "Generate summary" hung or showed an error; clicking "Generate" on a deferred short meeting did nothing; the elapsed timer on a deferred summary started well above 0:00; the Generate summary button vanished for short notepad meetings

• The Summary tab stayed blank in an already-open recorder window when the summary arrived; "Summary loading" spinners appeared on notes that were never recorded; "Updating summary…" spun indefinitely; long-summary regeneration timed out

• Summaries containing dollar amounts (e.g. "$1M", "$5K", "$2B") vanished after restarting the app; a newer summary pulled from sync was overwritten by a stale local copy

• Refined transcripts went permanently missing on a second device after a hard refresh; bubbles split into tiny fragments or broken words (e.g. "Hey Er" / "ic."); a refined transcript or summary never arrived, or older meetings showed no summary preview

• Multi-person Google Meet meetings showed "Speaker 1/2/3" because live audio evidence overrode participant-tile data — re-refine older meetings to pick up names

• All speech merged into a single "Speaker 1" when system audio was off; the same person appeared twice in the speaker selector; you appeared twice as yourself when the calendar didn't flag your attendee entry as "self"

• A fuller calendar name ("Samm Yates") created a second row instead of merging; a short profile name ("Josh") swallowed a longer participant name ("Joshua Kim"); a space-less name ("Eliolcott") wasn't matched to its spaced version ("Eli Olcott"); first-name labels (e.g. "Vic") were matched speculatively; a calendar attendee with a longer name appeared as a separate person instead of merging with the matching tile participant

• Re-refining a meeting deleted or altered existing speaker assignments

• The "Assign speakers" modal showed blank fields, omitted the row's own person, showed a "Same person" tag on its own row, offered a duplicate "Add new person," or reassigned instead of renaming when overtyping

• Already-named speaker mentions showed a hover popover or highlight; Assign Speakers and click-to-rename were visible on shared read-only notes but always failed

• Summaries still showed "Speaker 2" after naming a speaker; Next Steps showed plain "(Speaker 2)" or "Unknown" owners or guessed names; Copy as Markdown exported generic "Speaker 1" / "Speaker 2" labels or raw speaker tokens even when names were assigned

• Post-meeting refinement with speaker attribution ran only when explicitly configured; speakers in an ad-hoc meeting stayed labeled "Speaker 1", "Speaker 2" with no way to auto-identify them

• Briefs didn't show for upcoming meetings, in the detail panel, or when starting with a heading; Briefs with content but no title were missing from reminders, the meetings list, and auto-detection; a meeting reminder didn't update to show a Brief that arrived while the card was on screen; the detail-panel Brief was cut off after the first paragraph; Brief text showed raw asterisks and symbols

• Briefs incorrectly claimed a "first meeting" or "first in the series" with someone you meet regularly

• Meeting citation pills did nothing when clicked, or showed truncated titles or generic avatars; inline source links showed no tooltip or a generic one; site icons were missing; raw text appeared in reminder cards

• Summary edits reverted after 1–2 seconds; deleted summaries reappeared; edits didn't propagate to the hover preview; Summary content appeared indented in note previews and read-only views

• Stale content when reopening a note; content reverting after closing the recorder window; edits from another device or made during generation were lost; the hub list reverted to older content after closing the recorder window

• Duplicated summary sections, copied elaborations, wrong form of address, and misattributed to-dos; asking a chat question overwrote meeting notes; resuming silently overwrote an edited summary

• Recordings silently lost after a finalization error or a missing audio track; uploads stranded after sleep; dictating during a meeting ended the recording; empty never-connected meetings got stuck in "uploading"

• The "Couldn't start recording" card (previously "Notetaker didn't start") missed manual stops or fired when live transcription was off; notification copy for recovery cards wasn't translated in all supported languages

• Notes missing, duplicated, or reordering while scrolling; duplicate rows in day lists; lost scroll position; the conflict bar spanning page boundaries; new notes opened with a "Welcome to Notetaker" checklist instead of a blank page

Processing finished but no speech was detected — Flow writes this summary to mark the meeting complete rather than leaving it stuck.

Will my edits or Action Items survive summary changes?

Deleting the Summary never deletes Action Items, and edits persist and sync — but Update Summary after resuming replaces the edited version (the notice warns first). Background re-summarization never overwrites an existing summary.

Why is Copy Link instant on some notes but slower on others?

Share links are prepared in the background when a meeting finalizes. Older meetings and offline recordings may take a moment the first time; they update automatically.

What does copying a share link give recipients access to?

The summary only — the transcript is not included, regardless of the visibility setting (Anyone with the link, Only people invited, or Everyone at your domain), and also when copying a link for a note someone shared with you. The confirmation toast reads "Summary link copied" and reminds you to invite recipients by email. To share the transcript, add recipients via email in the Share Note modal.

What can I see in the Share panel when someone shares a note with me?

The owner, the other invited recipients ("(you)" marks your row), and the visibility in a disabled dropdown; only the owner changes either. Hovering a shared note shows "by <owner>" attribution.

What does pressing Esc do in the notepad?

First Esc clears focus; a second closes the chat drawer, or with no drawer open, the notepad. Back and ⌘[ go to the meetings list; with Settings open, Opt+↑/↓ (Alt+↑/↓) steps through settings pages instead of hub pages.

Will re-refining a meeting change anything other than the transcript layout?

It preserves assigned names, notes, and summaries — no person is ever deleted. Transcript-entry IDs change, so shared links to specific lines stop working. Existing meetings aren't re-refined automatically.

If I rename a meeting while a title is being generated, will the auto-generated title overwrite mine?

No — your rename or delete wins. The automatic recovery pass that fills in blank titles on launch and every 24 hours only touches meetings that are still untitled.
