Import past meetings from Granola or Otter

Bring past meetings from Granola or Otter into Notetaker. Imported meetings keep their original dates, summaries and notes, with a badge showing their source.
Request your export
Both services email the export, which can take a few hours. Request it before starting the upload.

Use TXT for Otter. Flow reads SRT only as a fallback when a TXT transcript cannot be read. Split larger exports into smaller batches. Granola import uses CSV, not a direct account connection. Fathom import is not yet available.
Import into Flow
- Open Settings → Data → Import. On Mac, the Notetaker hub’s Import your meeting notes banner opens the same flow.
- Choose Granola or Otter. The flow includes the provider’s export instructions.
- When the export email arrives, return to Import and drag in the file or folder, or click to browse. Upload on a Finish uploading banner opens the same picker.
- Wait for Upload complete! Meetings appear first; transcripts continue syncing in the background. For Otter, Settings → Data shows Adding Otter transcripts in the background · N remaining.
Only one import can run at a time. Wait for the current import to finish or cancel it before starting another. Once an import starts, closing its window does not stop background processing.
The Finish uploading reminder helps you return after requesting an export. Skip hides it for two days; after two skips it stops appearing. Reopening the export instructions resets it. It clears when the import completes or after 30 days. This reminder belongs to the current device; signing out clears it.
What is imported
- Original dates and source: meetings appear on the day they happened, with a Granola or Otter badge.
- Summaries and notes: imported summaries appear under Summary (Granola AI) or Summary (Otter AI). Notes you wrote in Granola appear in the notes area.
- Speakers: Otter transcripts retain individual speaker names; Granola transcripts arrive as unlabeled text.
- Text only: imports contain no meeting audio, playback, calendar link or attendee list. They are not live recordings and Flow does not re-process them.
- Storage: imported transcripts sync to the cloud only when Dictation cloud storage is on. Otherwise, imported meetings stay on the device. See data and privacy preferences.
Resume an interrupted import
Dropping the same export again is safe: Flow skips meetings already imported and preserves edits you made to their notes or summaries. Existing transcripts are not overwritten. Exception: a conversation renamed in Otter and exported again imports as a separate meeting.
If you quit Flow, transcript syncing resumes when you reopen it. If meetings had not finished importing locally, drop the same export again. An Import paused. It will resume automatically. message usually means a connection problem; Flow retries, and you can also use Retry on the banner.
A selected file that has not been imported expires after 30 minutes, signing out or restarting Flow. Select it again. If an older Granola import was cancelled during the switch to CSV import, request a fresh CSV and import it; existing meetings are skipped.
Fix an import error

Contact support if importing repeatedly fails, expected summaries or speaker names are missing, or transcript progress remains stuck. Include your operating system, source provider, export size and exact error message.
