Product-aware onboarding: choosing dictation, Notetaker, or both (macOS)

During setup, Wispr Flow asks whether you want dictation, the Meeting Notetaker, or both. Connecting your calendar lets Notetaker see your upcoming meetings — you can also connect later at any time.

How it works in Flow

Key behaviors

  • "How can Flow help you?" screen: appears only when your platform, plan, and admin settings allow Notetaker; otherwise onboarding goes straight to dictation setup. Choosing Notetaker or both adds meeting questions, Privacy, and Calendar connection where available.

  • Connect Calendar: connect Google Calendar or Outlook Calendar, or select "I use a different calendar" for another calendar app or none. Press Continue to skip and connect later from any Connect calendar button in Notetaker or from Settings → Connectors. If a connection fails, use Try again or Continue; with partial Google permissions, repeat the consent screen and use Google's Select all button. If a calendar connects after you expand the different-calendar section, your selection clears so you can choose again.

  • Connector visibility: only connectors and calendar providers your organization has enabled appear; a step is skipped entirely when none are available.

  • Notetaker welcome modal: opening Notetaker may show a one-time "Try Notetaker for meetings" modal. Select Give it a try for the guided tour, or Later or Escape to dismiss it permanently. Other prompts, such as billing reminders or calendar setup, wait until the tour finishes.

  • Restart tutorial stability: once the "Restart tutorial" or dictation re-entry tutorial is underway, it stays fully walkable even if your Notetaker availability changes mid-walk. Availability is checked only when starting a new run.

FAQs

My Google Calendar connection failed or I closed the sign-in tab. What should I do?

Click Try again on the Connect Calendar card to restart Google sign-in, or Continue to connect later.

The Notetaker option is greyed out during onboarding. Why?

Notetaker requires macOS 13 or later. On macOS 12 or earlier the toggle is disabled; you can still complete onboarding for dictation.

I didn't see the "Try Notetaker for meetings" welcome modal. Is that normal?

Yes. The modal won't reappear once dismissed. Open Notetaker directly from the Notetaker page in the app.

I don't see the "How can Flow help you?" screen during onboarding. Why?

Notetaker isn't fully available to your account, so you continue through dictation-first onboarding. Your organization may have disabled Notetaker; contact your administrator if this is unintentional.

The Connect Calendar, Connect Apps, or Outlook Calendar options are missing. Why?

Your administrator has disabled those connectors or providers. Contact your administrator if this is unintentional.

My organization's connector policy changed. How long until the app reflects it?

Connectors refresh when you open Settings → Connectors or bring the app window back into focus.

A connector is disabled by my organization but I already had it connected. What happens?

It stays visible in Settings → Connectors with a Disconnect option so you can revoke your own access, and is hidden everywhere else in the app.

Limitations and notes

  • Notetaker requires macOS 13 or later; on macOS 12 and earlier it is disabled throughout the app, including onboarding.

  • Business and Enterprise organizations get Notetaker once an admin enables it in the admin portal (Settings → Organization → Notetaker → Enable Notetaker now); on September 30, 2026 it turns on for every organization unless an admin has disabled it first. When an organization disables Notetaker, it is hidden throughout the app.

  • The "Try Notetaker for meetings" modal may not appear for all users.

  • iCloud Calendar direct integration is not yet available.

  • Disabled connectors and calendar providers are omitted from onboarding steps, in-app calendar modals, the Notetaker pill, and the shortcut-join drawer.

  • A disabled connector with an existing active connection still counts in the settings progress indicator, and its Connectors settings row remains accessible.
