Product-aware onboarding: choosing dictation, Notetaker, or both (macOS)

When you first set up Wispr Flow, you may be asked what you want to use it for — dictation, meeting notes, or both. Your answer shapes which setup steps you see, so you only go through what's relevant to you.
How it works in Flow
Overview
Onboarding opens with a Welcome screen ("How did you hear about us?"), which has no Back button. If your answer is already on file — for example, after a reinstall — Flow skips it and takes you straight to the intent screen.
The intent screen, "How can Flow help you?", uses the subhead "Select all that apply" and presents Dictation, Meeting Notetaker, and Both as checkbox cards. Flow then shows only the setup steps that match your selection.
Note: This experience is rolling out gradually and is macOS only. If you don't see these screens, you're on the standard dictation onboarding, which is unchanged. Windows users always see the standard onboarding.
Key behaviors
Dictation: the standard onboarding, unchanged, with no meeting or calendar steps.
Meeting Notetaker: a shorter flow covering how you record meetings, what would make meeting notetaking better for you, privacy information, permissions (including system audio access), Connect Calendar, and Connect Apps. Dictation-specific steps — referral, Flow Pro, trial extension, and team creation — are skipped.
Both: the standard dictation onboarding plus the meeting questions and Connect Calendar. Connect Apps is not included. Setup ends on the Home screen.
Connect Calendar (Notetaker and Both paths): connect Google Calendar so Notetaker can see your upcoming meetings — the card reads "Accurate reminders and pre-meeting briefs." You can also indicate that you use iCloud, Outlook, another calendar app, or none. Selecting iCloud shows "iCloud coming soon!"; an already-connected calendar loads with a checkmark.
Connect Apps (Notetaker path only): connect Slack, described as "Allows Flow to generate more detailed notes and briefs." Connecting Slack changes the bottom button from "Skip for now" to "Continue." An already-connected Slack shows a checkmark.
"Explore Wispr Flow" notification: after onboarding, all users see "You're ready to Flow everywhere." with an Explore Wispr Flow button that opens the Flow hub on the Home screen.
"Explore Notetaker" coachmark: if you selected both Dictation and Meeting Notetaker and haven't recorded a real meeting, a one-time coachmark reading "Nothing extra joins the call!" spotlights Notetaker in the hub sidebar. It appears when you open any hub page after activation, as long as the sidebar is expanded. Dismiss it with Got it!, the X button, or Escape; it won't return.
Note: The "Explore Notetaker" coachmark is suppressed while other onboarding prompts or dialogs are showing, and appears the next time you open the hub instead.
Dictation hub pages for Notetaker-only users
If you chose Meeting Notetaker and skipped dictation setup, Home/Dictation, Insights, Style, Dictionary, My Voice, Snippets, and Transforms appear behind a blurred overlay. Each locked page shows a card explaining what's behind it (for example, "Set up dictation to access Insights") with a Get Started button.
Clicking Get Started launches a short dictation setup beginning with a microphone test. Completing it unlocks all pages; cancelling leaves them locked and returns you to the hub.
Note: The dictation keyboard shortcut still works while these pages are locked — the gate applies to hub pages only.
FAQs
I didn't see the intent screen during setup. Did I miss something?
No. The rollout is gradual, and not every account has it yet. Nothing is missing — connect your calendar and apps at any time from Settings → Connectors.
Can I change my choice after onboarding?
Your selection only affects the onboarding flow. If you chose Notetaker only, unlock the dictation hub pages at any time with Get Started on any locked page. After that, both dictation and Notetaker are fully available.
I skipped Connect Calendar during setup. How do I connect it now?
Open Wispr Flow and go to Settings → Connectors. Google Calendar is supported directly; iCloud Calendar integration is coming soon.
I skipped Connect Apps during setup. How do I connect Slack now?
Go to Settings → Connectors in the Wispr Flow desktop app. You can connect or disconnect Slack there at any time.
I'm returning to setup and skipped straight to the intent screen. Why didn't I see the Welcome screen?
Flow already has your "How did you hear about us?" answer on file, so it skips the Welcome screen. This is expected.
I saw a screen-sharing notification during setup. Is that expected?
The screen-share education notification is suppressed during the guided tour so it doesn't interrupt the walkthrough. You'll see it the first time you join a real meeting.
I dismissed the "Explore Notetaker" coachmark by accident. Can I get it back?
The coachmark appears only once. Notetaker remains available in the left-hand hub sidebar at any time.
I chose both Dictation and Notetaker but didn't see the "Explore Notetaker" coachmark. Why?
It appears only if you haven't recorded a real meeting and the hub sidebar is expanded. If another onboarding prompt or dialog was showing, it will appear the next time you open the hub.
Limitations and notes
This onboarding is macOS only and rolling out gradually. Windows users are not affected and always see the standard dictation onboarding.
Notetaker is a beta feature on macOS. If you selected the Notetaker path but don't see it yet, your account may not have received it.
The intent setting is stored per device. After a reinstall or on a second device, the gate may not appear and hub pages may be accessible without completing dictation setup on that device.
Connect Calendar and Connect Apps can both be skipped during setup and completed later in Settings → Connectors. Connect Apps (Slack) appears in the Notetaker path only.
iCloud Calendar direct integration is not yet available; selecting iCloud shows a "coming soon" message.
The "Explore Notetaker" coachmark appears once per device.
