Notetaker for Enterprise: FAQ

This includes dictation policies. Notetaker is available on Mac and Windows; the portal says “Notetaker is currently available on Mac only.” Confirm mobile Notetaker availability with Wispr.
Before enabling Notetaker, review cloud storage, consent and HIPAA requirements: dictation privacy settings do not necessarily control Notetaker.
Enable Notetaker
Only admins can change Notetaker. For Business/Enterprise organizations with live subscriptions awaiting access, Enable Notetaker now may appear with: “Notetaker will be enabled for your organization on September 30, 2026, unless you disable it here before then.”
Warning: Enabling Notetaker with an organization BAA requires confirming Revoke BAA and disables org-wide HIPAA.
Note: Enablement permits Notetaker—not dictation—data in Wispr’s cloud despite earlier dictation Privacy Mode choices, and amends your main agreement. Review the MSA and DPA.
Provide required notices and obtain recording/processing rights, permissions and consents; comply with applicable laws and consult legal counsel if unsure.
Open Settings → Organization → Notetaker in the admin portal.
Select Enabled for everyone, or Enable Notetaker now when offered.
Confirm enablement after reviewing the requirements above.
Ask members to quit and reopen the desktop app.
Organization enablement does not restore individually revoked Notetaker access.
Disable Notetaker organization-wide
Disabling affects every member.
Select Disabled for everyone in the Notetaker control.

Data policies
Policies override weaker member choices. Dropdowns/toggles save after required confirmation; failed saves revert with an error.

Notetaker recordings stay locally for 7 days by default. Members can change retention only when its control is available, Cloud Sync is on and no organization window is enforced; saved windows still apply with Cloud Sync off. Tightening retention requires confirmation.
Local data storage covers desktop dictation, not Notetaker/mobile. Members cannot loosen organization retention; Never store data locally locks selection.
Turning dictation cloud storage off stops server storage of dictation transcripts, audio and history. Disabling training does not disable cloud storage. Where independent Notetaker cloud access is enabled, dictation cloud-storage/Zero Data Retention restrictions do not block Notetaker; applicable active BAAs still do.
Wispr does not use customer content to train AI models without consent. Plans offer model-training opt-out; on iOS, Improve the model for everyone permits training with audio, transcripts and edits when on, but organization/compliance locks prevent sharing.
Enforce zero data retention
Some organizations see this switch instead: disabled below Enterprise, for non-admins, when Wispr locks sharing, or with both a BAA and Zero Data Retention active. Contact support to modify a Wispr-imposed lock.
Scratchpad
Warning: Confirming Turn off Scratchpad after “Turn off Scratchpad for your organization?” closes windows at next sync, disables MCP access and risks unsaved text. Saved device/cloud notes remain inaccessible until re-enabled.
Re-enabling needs no confirmation; notes and shortcuts return at the next settings refresh, unless the shortcut was reassigned.
Without independent Scratchpad syncing, Cloud Sync restrictions disable Sync notes; with it, cloud-storage/HIPAA restrictions do not block syncing, but organization-disabled Scratchpad always does.
Other desktop policies apply on refresh without restarting—at launch, through Refresh enterprise or automatic updates. Failed refreshes keep existing settings and retry.
HIPAA agreements
The HIPAA BAA covers Wispr Flow dictation. An applicable active BAA locks dictation cloud storage and model training off.
Warning: Org-wide HIPAA warns it disables Notetaker, Scratchpad and cross-device features. Where the Notetaker control is available, signing while Notetaker is on opens “Disable Notetaker first”.
Organization signing requires Enterprise and a legal name before I agree; lower plans disable View and accept BAA. Members cannot sign personal BAAs, but can revoke existing ones.
Organization rules supersede personal BAAs for dictation; personal BAAs can still restrict Notetaker, never loosen policy. Without an organization, personal BAAs govern; a former organization’s BAA does not follow departing members.
Admins use View signed BAA/Revoke BAA in Organization settings. Desktop offers Manage in Admin Portal in the HIPAA dialog, or View signed BAA and Admin Portal in Settings → Data and Privacy—not organization revocation.
Personal locks offer View signed BAA/Revoke BAA in the desktop dialog; revocation is also in Settings → Data and Privacy.
Revoke the applicable BAA; personal success shows “HIPAA BAA revoked successfully” despite signing’s “cannot be undone” warning.
Re-enable permitted cloud-storage/data-sharing settings manually; revocation leaves their previous values unchanged.
Other restrictions remain; eligible users can sign again. Desktop View signed BAA opens the public agreement. Desktop downloads require a recorded signer; signature records are reference-only, not legal certificates.
FAQs
Will participants be notified?
Notetaker captures audio on your device rather than joining as a visible bot, so participants do not see a “joined the meeting” notice from the platform. Where enabled, Flow provides meeting-chat, calendar-invite or user-delivered notices, with consent-confirmation and consent-chat controls in Organization settings.
What compliance documentation is available?
Wispr completed a SOC 2 Type I examination in April 2026; a SOC 2 Type II examination is underway and the report has not yet been issued. For ISO 27001:2022, Stage 1 and Stage 2 audits are complete and the certificate is pending formal issuance, so we do not yet represent ourselves as certified. Current reports and attestations, the DPA, and related documentation are available through the Wispr Trust Center.
What if members remain blocked?
On desktop, Turn on Private Cloud Sync reverses a personal off setting; organization-blocked admins get a portal link, while non-admins get Request access. It shows “Access requested” without notifying admins—contact your admin directly; locked controls cannot be changed, and policy-blocked non-admin members’ notes banners cannot be dismissed.
How do mobile privacy controls behave?
On iOS, Auto-delete local data every 24 hours and Never store data locally lock auto-delete on; if a known organization’s settings cannot load, auto-delete stays on, model improvement off and Cloud Sync off. iOS privacy settings refresh when Settings opens. Turning iOS cloud storage off requires confirmation; cancelling leaves storage on, while turning it on applies immediately when permitted.
Other lasting-effect warnings
Warning: Disable free trial for new members defaults off, requires an active/trialing/past-due subscription and confirmation, and removes existing trials irreversibly while preventing new ones.
Auto-invite requires a linked domain; matching signups add seats billed next cycle. Shortening audit-log retention from 1 year to 30 days requires confirmation; older events stop being retained.
