Notetaker for Enterprise: FAQ

Last updated: October 16, 2026

Available on: Mac and Windows; organization controls live in the web admin portal.

Review consent, privacy and HIPAA requirements before changing Notetaker access — dictation privacy settings do not necessarily control Notetaker.

Enable Notetaker

Enterprise access is not automatic: Wispr can grant access to specific organizations on request. Self-serve Growth purchases and switches to Growth start automatic enablement, but completion is not guaranteed; use the admin portal if access is not granted. Business/Growth and Enterprise organizations with active or trialing subscriptions awaiting access may see Enable Notetaker now and “Notetaker will be enabled for your organization on September 30, 2026, unless you disable it here before then.”

Before enabling, provide required notices, obtain recording and processing rights, permissions and consents, comply with applicable laws, and consult legal counsel if unsure. The early-access confirmation asks you to accept changes to the MSA and DPA, Notetaker cloud storage, and those notice, permission and consent requirements.

Enablement permits Notetaker data — not dictation data — in Wispr’s cloud despite earlier dictation privacy choices, including dictation cloud storage turned off. For team and organization accounts, this exception requires no applicable active HIPAA BAA, and Wispr can disable the exception for an organization. Cloud syncing for Notetaker also depends on account availability, not just a local preference.

Warning: Notetaker is not currently compatible with HIPAA. Enabling it with a signed organization BAA displays “Enabling Notetaker will revoke your BAA”; selecting Revoke BAA disables organization-wide HIPAA protection. Enabling organization-wide HIPAA requires Notetaker to be off.

Warning: After a Growth purchase, an offer for free Notetaker appears. Choosing Skip disables Notetaker for your whole organization, and an admin must re-enable it later.

  1. Sign in to the admin portal as an admin.

  2. Open Settings → Organization → Notetaker.

  3. Select Enabled for everyone, or Auto-enables Sept 30 while awaiting access.

  4. Select Enable Notetaker now if offered.

  5. Complete any required confirmation after reviewing the requirements: Confirm for early access, or Revoke BAA for HIPAA.

If a saved selection reverts and an error appears, the change did not save. Early access requires a live Business/Growth or Enterprise plan; otherwise the request fails with “Notetaker early access requires a Flow Business or Enterprise plan.” If you receive “Failed to enable Notetaker early access. Please try again.”, no early-access change was saved; retry. If Wispr manages your organization’s Notetaker access, the dropdown is disabled even for admins, with the tooltip “This setting is managed by Wispr”. Enablement does not restore individually revoked Notetaker access.

When members receive access changes

Access changes reach members while the desktop app is running — no relaunch needed. When access is granted, calendar syncing starts right away and the Option+M (Open Meeting Recorder) shortcut works immediately. If access is revoked, calendar syncing stops and Option+M does nothing; a later grant restores both.

On Mac, a member individually granted Notetaker gets the full experience — Option+M, calendar syncing and the related Notetaker hints — even when the organization has Notetaker disabled. A member whose access has been revoked gets none of these.

When Notetaker stays visible and when it disappears

When access is blocked for privacy or compliance reasons — a signed organization or personal HIPAA BAA, or Cloud Sync turned off for the account — Notetaker stays visible in the sidebar, Hub, tray and app menus. Starting a recording is blocked before any audio is captured, and you see the HIPAA notice or gate, or a “Notetaker is unavailable” message. Admins whose block comes from the account rather than a signed organization BAA see that same message, with no option to revoke a BAA.

When access is blocked because your plan does not include Notetaker or an admin disabled it for the organization, Notetaker is hidden entirely.

Disable Notetaker organization-wide

Disabling affects every member and blocks meetings created at or after disablement, not earlier meetings. Meetings without a valid creation date are also blocked.

  1. Select Disabled for everyone in the admin portal’s Notetaker dropdown.

  2. Confirm Disable Notetaker.

Only changing the dropdown back to Enabled for everyone clears an organization disable. A Growth purchase, sales-arranged access or Enable Notetaker now does not clear it.

Data policies

Organization policies override weaker member choices and also cover dictation.

Control

Organization rule

What it does

Model training

Off for everyone on Growth and Enterprise; Managed individually otherwise.

Read-only under Universal controls; smaller plans see an upgrade prompt.

Dictation cloud storage

Separate member/organization setting.

Admins with an active or trialing subscription can edit Cloud data storage.

How model training behaves on Growth and Enterprise

Admins cannot turn data sharing on, and the desktop member switch is locked: attempts to enable sharing leave it off, while other preference changes in the same save still apply. A dictation a member chooses to report to Wispr is retained and can be used to train Wispr’s models; otherwise Wispr doesn’t use customer content to train AI models unless you or your organization configure Flow to share it for model improvement. If an organization moves off Growth or Enterprise, its previously saved data-sharing setting applies again.

How dictation cloud storage differs

Turning dictation cloud storage off stops server storage of dictation transcripts, audio and history; turning model training off does not. Zero data retention is reported when both data sharing and dictation cloud storage are off. Turning organization cloud storage off locks the member’s Cloud Sync switch.

Wispr can lock data sharing and dictation cloud storage off regardless of your organization’s settings; contact support to change that lock. That lock alone does not block Notetaker cloud storage — the Notetaker cloud exception above still applies.

HIPAA agreements

The HIPAA BAA covers Wispr Flow dictation. An applicable active personal or organization BAA locks dictation cloud storage and model training off and blocks Notetaker cloud features. The member training switch displays “Your HIPAA agreement does not allow data to be used for model training.” With a personal BAA, attempting to enable data sharing or cloud storage rejects the entire settings save, including other changes.

Members cannot sign personal BAAs but can revoke existing ones. Organization rules supersede personal BAAs for dictation; a personal BAA can restrict Notetaker but never loosen policy. Without an organization, personal BAAs govern, and a former organization’s BAA does not follow departing members.

If you choose to revoke a BAA

The desktop app cannot revoke an organization BAA; it links to the admin portal from the HIPAA dialog and Settings → Data and Privacy. For a personal lock, View signed BAA and Revoke BAA appear in the desktop dialog and in Settings → Data and Privacy.

Warning: A personal revocation shows “HIPAA BAA revoked successfully” despite the “cannot be undone” warning shown at signing.

  1. Revoke the applicable BAA.

  2. Re-enable permitted cloud-storage and data-sharing settings manually; revocation leaves their previous values unchanged.

Other restrictions remain after revocation, and eligible users can sign again. Signing a personal BAA requires a legal name.

FAQs

Is Notetaker included on Enterprise?

No — Enterprise plans are sold dictation-only, and both Enterprise cards in the admin portal’s Settings → Billing page note that “Notetaker is optional and can be added to your plan.” Enterprise uses custom commercials in which Dictation and Notetaker can be purchased separately; check your agreement or talk to sales. Until Notetaker is available, members still see it in the desktop sidebar and Hub navigation, and opening it shows an availability screen instead of starting a recording.

I pay for Business myself and have no team — is Notetaker available?

Yes. A personal subscription on a Business or Growth price with no team or organization gets full Notetaker access, including the sidebar entry, with nothing for an admin to enable — this covers plans switched in the billing portal and older Business accounts. If an organization manages your account, its admin setting applies instead.

Will meeting participants be notified?

Notetaker captures audio on your device rather than joining as a visible bot, so participants do not see a “joined the meeting” notice from the meeting platform. Provide required notices and obtain consents from participants yourself, following applicable laws.

What compliance documentation is available?

Wispr’s SOC 2 Type II and SOC 2 Type I reports have been issued and are available under NDA, and Wispr’s information security management system is certified to ISO/IEC 27001:2022. Meeting Notetaker launched after these audits and was not assessed in them. Current reports and attestations, the DPA and related documentation are available through the Wispr Trust Center.
