The Notetaker hub: your meetings in one place

Open Notetaker in the Wispr Flow hub to find upcoming meetings, join a call, read a Brief, or return to your notes. The hub brings your calendar and past recordings together.
Find an upcoming meeting
Upcoming shows the next seven days of meetings, up to 50. Three appear at a time; use the arrow keys to browse. Each row shows the title, start time, duration, attendees, and any available join or recording action.
- Up Next highlights imminent or in-progress meetings. Overlapping meetings stack together so you can choose which to join.
- Countdowns show how soon a meeting starts. During a meeting, the row shows time remaining or a recording timer.
- Conflict marks overlapping events. Declined meetings remain visible with muted styling, but do not produce reminders or appear in the menu-bar meeting list.
Click a meeting row to open its detail panel. Opening the row does not start recording. Hover the date label for the full date and time.
Join a call or start a recording
- Find the meeting in Upcoming or Up Next.
- Within 10 minutes of its start, click Join + Start to open the meeting link and start Notetaker.
- To do only one action, open the button's dropdown and choose Join meeting or Start Notetaker. If Flow detects that you are already on the call, the button reads Start.
For an in-person event with attendees but no call link, use Start. Calendar blocks with neither attendees nor a call link have no join button. To record without a calendar event, use the hub's New recording button.
Already recording? A Switch action ends the current recording and starts the other meeting. Use Open Note on the active meeting if you only want to return to it.
If you see Finish setup to use Notetaker, complete the microphone-permission step in onboarding. Recording has not started yet. See Recording a meeting with Notetaker for setup and recording controls.
Read the Brief
A calendar meeting may include a short Brief with context to review before joining. Open the upcoming meeting to read it. Links open the referenced material, and meeting links can open another meeting in Flow.
A live meeting with a Brief opens on My thoughts with the Brief bar visible. If the Brief arrives after you opened the note, click the Brief pill. Past calendar meetings retain a read-only copy.
If the Brief is missing, restore your connection and let calendar sync finish, then reopen the meeting. Some events have no generated Brief; Flow may show calendar details instead.
Return to a recording or past note
During a recording, click the sidebar's active-meeting card or the Flow Bar meeting pill to reopen the notepad. The Flow Bar also has a Stop Notetaker control. Starting from a reminder can leave the recorder in the background while your meeting app stays in front.
Finished meetings appear in the past-meeting list with their title, duration, attendees, and summary preview. Open one to read the summary, transcript, or your notes. Use View more to browse older entries and the back button to return to the list.
- Still processing: open the note to see upload, transcript, and summary progress. Use Retry if generation fails. If processing remains stuck after about 10 minutes, close and reopen Flow.
- Resume: available only while the original local audio remains available and the meeting has recording time left. Otherwise, start a new recording.
- Existing summary: resuming does not automatically replace it. Use the summary-update action when ready; updating replaces edits to that summary.

Open or share notes
The hub separates your notes from notes shared with you. Shared notes open read-only. Use Share on a note you own to invite people, or copy its link.
A shared link gives summary access only. Transcript access requires an email invitation and must also be allowed by your organization’s policy; the transcript must still exist. If someone is missing from the picker, enter their full email address and choose Add. See Sharing meeting notes from Notetaker for access settings.
Refresh your calendar
Click Sync to refresh connected Google and Outlook calendars. Outlook refreshes in the background; wait for the list to update before trying again.
- Missing permissions: reconnect and approve the requested permissions. For Google, use Select all on the consent screen.
- Another account is connected: disconnect it before connecting the replacement.
- Organization approval or a disabled connector: ask your admin for access.
Disconnecting Google Calendar removes upcoming events and reminders, but keeps existing notes and recordings. See Meeting detection, reminders, and calendar in Notetaker for more help.
Limits and access
The hub banner shows your remaining meeting notes and weekly reset date. At the limit, new recordings are blocked until the reset or an eligible upgrade. Hover the disabled New note control to check the reset date.
If Notetaker is missing, update Flow and check that your Mac meets the macOS requirement. Your organization may also need to enable it; follow any access notice or contact your admin.
Screen sharing: the Flow Bar and notepad can appear in screen shares by default. Turn on Settings → Notetaker → Hide from screen shares and screenshots to hide them.
