The Notetaker hub: your meetings in one place

The hub is Notetaker's home screen. Join calls, read a Brief before you dial in, search past meetings, and open notes shared with you. Titles, notes, and summaries sync to any computer on the same account.


Upcoming meetings

The hub lists your next 7 days of meetings, up to 50, shown 3 at a time. Use the arrow keys to flip pages. Each row shows:

  • Event details: calendar title, start time, and duration (for example, "10:30 am · 1h"), with a colored accent bar and a join button.

  • Countdown: reads "in N min," then "Starting now," then "N min left," then "Ending soon."

  • Status styling: meetings in progress get a purple "Now" glow and a live "Recording" pill; overlapping meetings show a Conflict chip; meetings you declined or marked "Maybe" appear muted with a dotted bar.

The 10-minute window

Within 10 minutes of a meeting's start, a black Join + Start button appears on the row, in the detail panel, and in the menu-bar tray. It shows the platform icon for the meeting's video service (Zoom, Google Meet, or Microsoft Teams), or the Wispr tile for meetings without a conference URL. Its dropdown caret opens a split menu: Join meeting (opens the link without recording, sublabeled "& start Notetaker") and Start Notetaker (records without opening the link, sublabeled "& start Notetaker").

If Flow detects you're already on the call, you see a single Record button instead. Clicking the row only opens the note; it never starts a recording.

Switching to a different meeting mid-recording shows a confirmation prompt quoting the meeting name (for example, "Switch to "Team Sync"?"), with a Switch button to confirm. The detail preview panel cross-fades when you switch between upcoming and past meetings.

In-person and untitled events

  • Attendees, no conference link: a Record button starts recording immediately.

  • No link and no attendees (for example, focus blocks): a muted split accent bar and no join button.

Your day

  • Header: reads "{Your first name}'s day."

  • Gaps: 2 hours or more show a "Free from X to Y" line.

  • End of day: after your last meeting, a banner rotates daily between "Done for today," "That's a wrap," and "Nice work today," with your total words captured. Meetings with no transcribed words aren't counted.

When you have no meetings yet

If you're signed in but haven't recorded any meetings, the hub shows a welcome screen headed "Meeting notes that get the details right," with the message "Notetaker accurately captures names, speakers, and decisions, so your recaps and follow-ups come out right." Once your calendar is connected, it also shows "Wispr Flow will remind you to start Notetaker automatically."

Weekly meeting limit

A hub banner shows how many meeting notes you have left this week, the reset date (for example, "Resets Monday, Aug 3rd"), and an Upgrade button on the free plan. The weekly limit differs by plan.

  • One note left: a "Only 1 meeting note left" warning appears before you start a recording.

  • Limit reached: new recordings are blocked with a "You have no meeting notes left this week" notification, containing an Upgrade option (hidden on paid plans) and an Ok button. Any active recording is stopped safely first.


Notetaker introduction

If you never chose Notetaker during onboarding — including if you signed up before Notetaker existed — a one-time introduction modal appears the first time you focus the hub window, with the message "Get accurate transcripts and action-ready summaries." and a way to get started. It waits until onboarding finishes, and won't interrupt an active guided tour or appear while you're already on the Notetaker page.

After the modal, a tooltip on the Notetaker page points to the guided-tour entry point. It stays visible until you hover or click it and does not auto-hide.

Note: A meeting reminder nudge in the Flow Bar can appear alongside this modal; the two are independent.

Explore Notetaker coachmark

If you selected both dictation and Notetaker during onboarding and haven't recorded a real meeting yet, a one-time coachmark spotlights the Notetaker item in the hub sidebar with the message "Notetaker transcribes and takes notes for your meetings — nothing extra joins the call." Dismiss it by clicking Got it!, the ✕, or pressing Escape — it won't reappear afterward.

  • When it shows: after onboarding completes, on any hub page, as long as the sidebar is expanded.

  • When it's suppressed: while an activation prompt, a dialog, or another coachmark is visible.

  • Appears once per device and does not show on accounts where Notetaker is restricted by an enterprise policy.


Dictation setup gate

If you chose "Notetaker only" during onboarding and haven't set up dictation yet, several hub pages — Home/Dictation, Insights, Style, Dictionary, My Voice, Snippets, and Transforms — appear behind a blurred overlay with a card explaining what's locked (for example, "Set up dictation to access Insights") and a Get Started button.

  • Starting setup: clicking Get Started launches a short dictation setup flow beginning with a microphone test.

  • Completing setup: finishing the flow unlocks all gated pages immediately. Closing without completing returns you to the hub with the gate still in place.

  • Insights page: the Share and "See team usage" buttons are hidden while locked and reappear after setup is complete.

  • Dictation still works: the gate covers hub pages only — you can still dictate using the keyboard shortcut at any time, even before completing setup.

Note: If you set up dictation on one device, the gate may still appear on a second device or after a reinstall, since this setting is stored per device.


Meeting reminders

Connect Google Calendar in Settings → Connectors to get reminder cards in the Flow Bar. They appear about 70 seconds before a meeting and stay until 5 minutes after it starts.

  • Stacking: up to 4 cards at once, with an overflow badge beyond that.

  • Actions: join and snooze (Snooze for 2 min) work on the card; each card has a dismiss (✕) button, and "Dismiss all reminders" clears the stack.

  • Auto-dismiss: a card clears itself when you click join, or a few minutes into the meeting.

  • Briefs: one arriving later updates the card without resetting its countdown.

  • Declined meetings: skipped until you re-accept.

The first reminder card for a meeting includes a prompt to "Transcribe this meeting with Wispr Notetaker." If you're already on the call, the reminder, the Flow Bar meeting button, and Opt+M all default to starting Notetaker. Triggering a different meeting mid-recording shows one confirmation prompt with a Switch button.

Note: If you disconnect Google Calendar, meeting reminders stop immediately on the device where you disconnected. Any other signed-in devices stop within a few minutes.


During a recording

  • Sidebar card: shows the title (or "Untitled note"), a waveform, and elapsed time. Click it to jump in.

  • Meeting row: swaps its countdown for a live timer.

  • Flow Bar: shows a green wave pill that reopens the note, with a stop control reading Stop Notetaker. Hovering the pill during an active meeting shows a tooltip with the meeting title and a live word count that updates as people speak; the count is hidden before any speech has been captured or during reconnecting states.

The menu-bar tray lists up to 3 upcoming meetings, New note, Open Wispr Flow, and a Past notes submenu with your 5 most recent, excluding the meeting currently recording. Recent note timestamps use the meeting's actual start time and always include a clock time (for example, "9:15 AM", "Yesterday, 4:00 PM", or "Jan 12, 12:00 AM").

The tray title pairs the most relevant meeting with a countdown, such as "Standup • in 8 min," then "Standup • 12m left" once it's running. A meeting starting within 10 minutes takes priority over one already in progress. A count like "N meetings • in N min" appears only when two or more meetings start at the exact same time.

System audio permission

Opening the notepad for an imminent meeting triggers the macOS system audio prompt automatically on macOS 14.4 or later, and only if you've never decided. That covers a hub row inside the 10-minute window, a meeting-detected notification, or the Flow Bar record button. Every other path prompts when you click Turn on in the setup area.


Notifications

  • Mic audio warning: "Notetaker isn't hearing audio from your mic" — no microphone audio detected during a recording.

  • Extended silence warning: "Still there? Notetaker isn't hearing anything" — a prolonged period with no audio detected.

  • Auto-end notification: "End of meeting detected, so recording stopped" — Notetaker automatically stopped at the end of a call.

  • Summary ready notification: "Your summary is ready" — your meeting summary has finished generating.

  • Screen share education: a one-time "Notetaker screen share" notification tells you when Notetaker content may appear in screen shares and screenshots, with an Update settings action.


Past meetings

Finished meetings appear as compact rows showing the title, how long ago, duration, participants, a one-sentence summary, an avatar, and a tasks chip with completed vs. total action items ("1 / 3"). Times drop the leading zero ("9:30 am") and stay frozen to the event's scheduled start. While a recording processes, the row cycles status lines like "Tidying up the transcript" or "Spotting action items."

In the note, a generation band above the composer shows the current stage ("Uploading your audio," "Polishing transcript," "Generating notes"), a step counter, and an elapsed timer that starts at 0:00 when you click Generate summary. While the summary is being created, the band reads "Generating Summary…". Failures show a single Retry button. If you resume a meeting that already has a summary, a stale-summary notice offers Generate summary, and the existing summary is preserved until you use it.

Auto-generated meeting titles

Flow generates a title after a meeting ends. If it doesn't appear right away — for example, after a brief network hiccup or if the app closed shortly after the meeting — it fills in the next time the app opens or within 24 hours. This recovery applies to locally-recorded meetings from the last 7 days.

  • Your edits are protected: renaming or deleting a meeting while a title is generating is always respected; the auto-generated title never overwrites your changes.

  • Synced meetings: meetings recorded on another device are not retitled locally; their titles come from the originating device.

  • Manual generation: tapping Generate title runs a single quick attempt.


Reporting a meeting issue

Report a problem — a missing summary, incorrect speaker labels, or a transcription error — from the hub or the transcript view. In both dialogs, Submit stays disabled until you select a category and fill in any required feedback.

  • From the hub: open the meeting's options menu, choose Report an issue, then pick Missing data or stuck processing, Summary quality, Speaker labels, Notifications, Auto-stop, or Other.

  • From the transcript: use the inline report option to flag a specific transcription problem, then pick Important word transcribed incorrectly, Name transcribed incorrectly, Wrong language, or Other.

Note: Sharing a recording for training purposes is a separate action and does not require selecting an issue category.


Search and Ask Anything

Search scans titles, note content, summaries, and assigned speaker names across your full notes database, loading 100 meetings per page. No matches reads "No notes found for '[your search term]'." Before your first recording, the list reads "Your first meeting will appear here."

Ask Anything (Cmd+K) answers questions about your meetings with quote-level citations. You can:

  • Use shorthand like "recent ML interview" or paste a fragment to get matching meetings as clickable links.

  • Ask date-aware questions like "what meetings do I have today?" or "what happened this week?"

  • Run date math, calculations, and web lookups such as weather or places. It asks for your location if needed.

The Ask Anything bar cycles example prompts roughly every 5 seconds and hides them while you type: "Summarize my week of meetings so far," "What are my action items this week?," "Who am I waiting to hear back from?," "What decisions did we make this week?," "What questions were left unanswered in my last meeting?," and "How should I prepare for my next meeting?"

Identified speakers appear as underlined mentions in summaries, previews, and search snippets. Hover one and use the Who is this? popover to name them everywhere, without regenerating the summary.


Notes and Briefs

A new note opens blank, or with the cursor at the top of the calendar Brief if one exists. A "Prep for your next meeting" banner offers Connect apps and Later.

Briefs are bullet-first summaries of upcoming meeting context, capped at 3 bullets, on the My Notes tab. Past calendar-linked meetings keep a read-only stored copy. If a Brief doesn't appear right away — for example, if your device was offline when the app first tried to fetch it — Flow retries automatically and shows it once the connection is available.

  • They render with bold text, lists, and clickable links, plus hover elaborations and source chips (for example, a Gmail icon labeled "Gmail"). Meeting chips open that meeting inside the app.

  • Continuity lines like "This is your first dedicated meeting with Alex" appear only when your calendar confirms an earlier instance.

  • Briefs never warn about missing agendas or "walking in cold."

When your summary has finished generating, the notepad placeholder reads "Your summary is ready. Check it out →" to direct you to the Summary tab.


Sharing and copying

Your own notes show a Share button and copy-link icon in the header. The Shared with Me tab lists notes shared with you, read-only, with a "Created by …" badge. Search it with Cmd+F or /, and page through with View more. Empty states read "Shared notes will appear here" on that tab, and "Your meetings will appear here" on My Notes. Open in Notepad shows the summary immediately and the transcript shortly after.

Copying a share link — from the share modal, the header copy-link icon, or the copy-link icon on a hub list row (including notes in Shared with Me) — shows a toast reading "Summary link copied" with a second line: "Invite recipients by email to share transcript." A shared link gives access to the summary only; the transcript is available exclusively to people invited by email.

Copy to Markdown, the first item in the … menu, copies the entire meeting: info, summary, Brief, notes, action items, chat, and transcript, with assigned speaker names throughout. A toast confirms "All meeting contents copied to clipboard." The first copy may show a one-time promo card whose Set up button opens Settings → MCP to connect AI tools like Claude and ChatGPT.


Menus and settings

  • Dock icon: right-click for New note, Open Notetaker, and Open Wispr Flow. The macOS menu bar adds a Notetaker menu.

  • View Summary: in a notification, focuses an already-open notepad on its Summary tab rather than opening a second window.

  • Header controls: New recording starts a note. The Start tutorial pill launches the guided tour at any time, even before your first recording, and disables while the tour is launching or running. The gear icon opens Settings → Notetaker, where the behavior toggles live. See "Notetaker settings, explained."

  • Connectors: connect Google Calendar, Gmail, Slack, and Notion in Settings → Connectors. A progress bar shows how many you've connected, for example "2/4 connected."

  • Microphone submenu: in the … menu of the notepad header, visible only while that meeting is actively recording — not on past or stopped meetings, and not on shared notes. It shows the mic in use, and Change system microphone… opens System Settings → Sound → Input. To choose a microphone before or between meetings, use the Flow Bar status menu or Settings. Mic access is granted under System Settings → Privacy & Security → Microphone.

Note: Current labels in Settings → Notetaker are Notify before scheduled meetings start (calendar reminders), Stop Notetaker when a call ends (auto-end), Hide from screen shares and screenshots (screen share hiding — off by default on new installs; existing preferences are unchanged), Open Notepad when starting Notetaker, Split the screen when joining, and Automatically detect any call (on/off toggle). If your app shows different wording, update to the latest version.


Keyboard shortcuts

  • Today, t, or 0 scrolls to the first upcoming meeting

  • Cmd+K focuses Ask Anything

  • Cmd+F or / focuses search

  • Opt+↑ / Opt+↓ cycles sidebar pages (disabled while a modal is open)

  • In a note: / switch tabs, k / j move between meetings

  • Cmd+C with nothing selected copies the active tab

  • Esc clears focus first, then closes

  • The back button or Cmd+[ returns to the meetings list


FAQs

Can a meeting appear in both Upcoming and Past?

No. Each calendar event has exactly one meeting note, and it moves from Upcoming to Past at the event's scheduled end time. If you're still recording past that time, it stays in Upcoming until you stop.

Does starting a new note or opening a calendar meeting begin recording automatically?

The hub's New recording button, Opt+M, or starting from the tray or Flow Bar begins recording immediately. Opening a calendar meeting that isn't imminent opens a passive draft without recording. Hit Record when you're ready.

What happens when I reach my weekly meeting note limit?

New recordings are blocked until the limit resets, and the hub banner shows the exact reset date. Upgrading to a paid plan increases your limit.

I declined a meeting. Will it still show up anywhere?

Declined meetings are hidden from the Flow Bar, shortcut drawer, switch prompt, meeting shortcuts, and the macOS menu-bar title and tray. They still appear in the hub's Upcoming list with Declined styling. Re-accept and the meeting reappears in the Flow Bar and tray after the next calendar sync.

What happens if I stop a recording that only captured a few words?

Flow shows a "Started by mistake?" card with Save and Discard options for any segment under 20 words, regardless of window focus. Save keeps the meeting as-is. Discard removes a new short meeting and its audio. For a resumed meeting, Discard leaves the earlier transcript and summary intact.

How do I name a speaker in my meeting summary?

Hover any underlined speaker mention in the summary to see the Who is this? popover, then type their name and save. The name updates in the transcript, summary, todos, hub list previews, and search. For ad-hoc meetings, Flow may also identify speakers automatically from the conversation; manual names take precedence.

What's the difference between Copy to Markdown and the copy button on the Summary tab?

Copy to Markdown, in the menu in the notepad header or hub meeting view, copies the entire meeting as a single Markdown document. The copy button on the Summary tab copies only the summary text.

If I resume a recording, will my existing summary be overwritten automatically?

No. Flow keeps the existing summary and transcript and shows a notice on the meeting row and the Summary and Transcript tabs. Click Generate summary in the generation band to regenerate from the full recording. Auto-summarization runs only when there is no existing summary and total recorded audio exceeds 5 minutes. If the update can't run — for example, because the audio file is unavailable — you'll see a "Couldn't update summary." alert with a Try again option, and your summary remains untouched.

When does the Resume button appear for a past meeting?

Only when the original audio is present, readable, and within your retention window. If the audio is missing, empty, expired, or unreadable, no Resume button appears. Attempting to resume from a stale window or hub action shows "The original audio is no longer available" or "This recording can no longer be resumed."

I see both a meeting nudge in the Flow Bar and an introduction modal in the hub. Is that normal?

Yes. They are independent, so if you're eligible for both you may see them at different times. Each appears at most once.

A meeting is showing as "Untitled" — will it get a title eventually?

Yes, in most cases. If a title didn't appear right away, the app fills it in the next time it launches, and again periodically. If you've already renamed the meeting yourself, your title is kept.

Why do I have to pick an issue type when reporting a meeting problem?

Selecting an issue type routes your report to the right people quickly, and the required details make sure nothing gets sent without enough context to act on.

I chose "Notetaker only" during onboarding. Can I still dictate?

Yes. Even if you haven't completed dictation setup, you can still dictate using the keyboard shortcut at any time. The setup gate only affects the hub pages for dictation features. Click Get Started on any of those pages to run the short setup flow and unlock them all.

I see an "Explore Notetaker" tooltip in the sidebar. What is it?

A one-time coachmark that appears if you chose both dictation and Notetaker during onboarding but haven't recorded a meeting yet. It points to Notetaker in the sidebar so you can find it easily.

What happens to my calendar events if I disconnect Google Calendar?

Upcoming events are removed from the hub, tray, and meeting reminders immediately on the device where you disconnected; other signed-in devices clear their calendar data within a few minutes. Notes and recordings already linked to a calendar event keep their event details (title, notes, and speaker information). Reconnecting restores your upcoming events with a fresh sync.

My Brief didn't appear before the meeting. What should I do?

If your device was offline or on a slow connection when the Brief was due, Flow retries automatically and shows the Brief once a connection is available. If the meeting has already started or been cancelled, or if no Brief was generated for that event, you'll see "Brief context unavailable; showing calendar metadata." instead.

Will the Flow Bar and Notepad appear if I share my screen?

By default, yes — the Flow Bar and Notepad are visible in screen shares and screenshots. Hide them by turning on Hide from screen shares and screenshots in Settings → Notetaker. If you installed Wispr Flow before this default changed, your existing preference is unchanged.

I'm on a Business plan and see a blank Notetaker tab or a "not available" message. What's happening?

Notetaker access for Business-plan accounts is granted by Wispr on a rolling basis during the rollout. While the app checks your access status, the Notetaker tab may appear blank for up to a few seconds. If access hasn't been granted yet, you'll see a message that Notetaker isn't available on your plan — contact Wispr support if you believe your organization should have access. Clicking Start Meeting in the Flow Bar before the check completes may briefly show a "not available" tooltip; wait a moment and try again.


Limitations and notes

  • Notetaker is Mac-only and rolls out gradually. Calendar support currently covers Google Calendar.

  • Weekly meeting note limits differ by plan and reset each week based on UTC time.

  • A recording that never connected, for example if you had no network at start, is deleted automatically. Typed notes always keep the meeting.

  • Speaker-name resolution and automatic speaker identification in ad-hoc meetings are rolling out gradually. Manually assigned names always take precedence.

  • Citation chips are interactive in-app. The standalone web view shows citations as plain text, and Gmail and Google Calendar chips link to the general app.

  • With "reduce motion" on in your Mac's system settings, cross-fade, pulse, and title-scroll animations are disabled.

  • Shared notes open read-only, with no record pill, no setup gate, and owner-only actions hidden. Anonymous viewers do not see the owner's email.

  • Starting the Notetaker guided tour from macOS full-screen exits full-screen first.

  • The Notetaker introduction modal, guided-tour tooltip, and Explore Notetaker coachmark do not appear for accounts where Notetaker is restricted by an enterprise policy.

  • Auto-generated title recovery applies only to meetings recorded on the current device.

  • App copy in languages other than English may temporarily show older wording until translations are updated, including on the welcome screen.

  • Signing out clears calendar data so a different account signing in on the same device gets a fresh sync.
