Assigning members to a team (department) as an admin

If you're trying to organize members by department, split usage or billing across groups, or move people between teams, this guide explains how teams, departments, and cost centers relate, and exactly what you can and can't change in bulk.
First, the three concepts
These get mixed up a lot, so here's how they actually relate:
Team: a group of members. This is the core organizational unit.
Department: not a separate field. "Department" is simply the label used for a team's name in the admin portal and CSV exports. There is no separate department field to edit.
Cost center: a billing container that holds one or more teams and has its own subscription and invoice. Cost centers are about how you split billing, not how members are labeled in usage reports.
The structure is: Enterprise → Cost center → Team → Member. Each team belongs to exactly one cost center, and each member belongs to exactly one team at a time. A member's cost center is inherited from their team, so there is no way to assign a member directly to a cost center.
Note: The "Department" column in Team Insights and CSV exports always shows the member's team name, never a cost center. So "department-level data" means team-level data.
How a member's team (department) gets set
There are three ways a member ends up on a team:
Automatic placement: new members land on the default team, named General.
Admin action: you move a member onto a team in the admin portal, or create a new team with members included.
Member self-selection: in organizations with more than one team, a new member may pick their own team from the desktop app when they join.
Note: The team field is not set through directory sync, at invite time, or from the desktop app. Directory sync reads only a member's email and name — it does not map IdP departments or groups to Wispr Flow teams. Invitations only capture email and role. The desktop Settings → Team page is read-only for member management; use the Admin Portal button there to open admin.wisprflow.ai.
Changing team (department) assignments
All changes happen in the admin portal at admin.wisprflow.ai. Here's what's possible:
Move one member to another team: a single-member action, done one member at a time.
Create a team with members included: when you create a team, you can add a list of members (up to 500) to place them all onto the new team at once. This is the only bulk-assignment pathway.
Rename a team: which also changes the "Department" label those members show in reports.
What is not available:
No bulk tool to reassign members who are already on teams. The 500-member bulk move only works at team-creation time.
No CSV upload or directory-sync path for setting team or department. CSV is for reporting exports, not for writing assignments.
Tip: If you're setting up departments for the first time, place people while creating each team by including the members in that team's creation, rather than creating empty teams and moving everyone one by one afterward.
Cost centers (department-level billing)
If what you actually need is to split billing by department (separate subscriptions and invoices per group), that's what cost centers are for. Each cost center has its own subscription and its own invoice, and it holds one or more teams.
Requirements
Per-cost-center billing must be enabled for your enterprise by Wispr. It is not a self-serve toggle, so contact your account team or support to turn it on.
Your enterprise must already have active billing.
Each cost center is billed separately by invoice, and an admin can be the billing owner of only one cost center at a time.
Creating and managing cost centers
Self-serve: an enterprise admin can create a cost center from the admin portal, which starts a billing checkout to set it up.
Negotiated contracts: if your enterprise is on a custom/negotiated contract, you can't self-serve a new cost center. Contact sales and they'll set it up for you.
Moving teams: you move an entire team (with all its members) between cost centers, one team at a time. There is no bulk move of members directly into a cost center.
Renaming: an enterprise admin or the cost center's billing owner can rename it.
Exporting department-level data
To include department (team) data in a usage export, use the Words Dictated CSV export in Team Insights and include the team column. The exported column is titled Department and shows each member's team name.
If a member has no team, or their team was deleted, the Department cell is blank.
The export is a per-row breakdown, not a grouped total. Group or sum by Department in your spreadsheet.
There is no cost-center column in exports. The only team/department dimension available is the team name.
FAQs
Can I edit the department field directly from the admin dashboard table?
No. The Department column is read-only because it just reflects a member's team name. To change it, move the member to a different team (or rename their team) in the admin portal.
Can I bulk edit departments for many members at once?
Only when creating a team, where you can include up to 500 members at once. For members already on teams, reassignment is one member at a time.
Is a cost center the same as a department?
No. A department is a team's name as it appears in reports. A cost center is a billing container that can hold several teams and has its own subscription and invoice. Use teams for organizing and reporting, and cost centers for splitting billing.
How do I set up separate billing per department?
Use cost centers. Per-cost-center billing has to be enabled for your enterprise by Wispr first, so reach out to your account team or support. If you're on a negotiated contract, sales will set up additional cost centers for you.
We use SCIM. Can I map our IdP departments to Wispr Flow teams?
No. Directory sync reads only email and name, and does not assign or change a member's team. Team assignment is handled in the admin portal.
Can I set someone's team when I invite them?
No. Invitations only capture email and role. New members join the default General team, and you can move them to another team afterward in the admin portal.
Why don't I see a "department" label at all?
The department label appears once your organization has more than one team. With only the default General team, you'll see "team" instead.
Can I rename or delete the General team?
No. The default General team is reserved. You can't rename or disband it, and you can't name a new team "General".
