Sharing meeting notes from Notetaker

Last updated: October 29, 2026

Available on: Mac, Windows

Need a meeting's notes, transcript, and summary somewhere else? Copy the whole meeting as Markdown, copy one tab, or send a share link.

Copy a meeting as Markdown

Note: In the notepad, Copy as Markdown appears only for a created note when meeting sharing is enabled, and is unavailable while the note is preparing, during another copy, or while microphone/system-audio permission requirements or a policy restriction block the notepad; the hub does not apply those preparation checks. For a note typed without recording, editing the title or body starts its first save; copy and share stay unavailable until saving succeeds, and Flow retries failed saves automatically.

  1. Open the meeting in the standalone notepad window or in the hub's meeting detail view.

  2. Click the ⋯ (More actions) menu.

  3. Choose Copy as Markdown.

  4. Paste the document into your destination app.

Success shows “All meeting contents copied to clipboard”. If you see “Failed to copy meeting”, repeat steps 2–4; copying does not retry automatically.

What the copy includes

Content is read at the moment you click, and empty sections are omitted. Sections appear in this order:

  • Title: From the matched calendar event; unmatched notes stay “Untitled note” until you rename them, and a blank title exports as # Untitled.

  • Meeting Info and User Notes: Attendees and your own notes. Source chips become Markdown links; person mentions become plain names, using the name shown on the chip.

  • Summary: Copy again after the summary appears if you need it included. Short or silent meetings can contain “No meaningful audio recorded” or “Transcript too short to meaningfully summarize” instead.

  • Transcript: The full transcript. If you copy during a live meeting, any in-progress text is included with the speaker it belongs to, marked [live].

Copy the summary or transcript alone

On the Summary tab, use Copy summary once a summary appears; it keeps formatting in compatible apps and otherwise pastes plain text. With that tab active, Cmd+C (Mac) or Ctrl+C (Windows) copies the whole summary when nothing is selected and focus is outside search. Success shows “Copied summary”; failures show no message.

On the Transcript tab, select any part of the transcript and copy it, or press Cmd+A (Mac) or Ctrl+A (Windows) to select the whole transcript; with nothing selected, Cmd+C or Ctrl+C copies the full transcript. Your selection stays put while you scroll a long transcript. Select All is inactive while the chat drawer or a dialog is open, or while your cursor is in another control such as a search box.

Note: Transcript copies go to the clipboard as plain text, so they take on the styling of the app you paste into.

Share a note in Flow

Note: Links share the summary only, and domain-wide sharing requires an enterprise account. If note sharing is turned off, Copy link and the visibility selector are unavailable, with the message “Your organization has turned off note sharing”. The owner's organization, rather than yours, governs sharing restrictions.

  1. Open the meeting's notepad window.

  2. Click Share in the header to open Share notes.

  3. Add recipients through Search people or emails, if needed. Suggestions list people only — meeting rooms, equipment, and shared calendars are left out.

  4. Choose a Visibility option: Only people invited, Anyone with the link, or, when available, Everyone at {domain} with the link. An unshared note opens at Only people invited, so only you and people you invite can open it.

  5. Click Copy link, then paste the link into your message. The header's adjacent Copy link icon copies directly.

Tip: You can start from the homepage too — click More options on a past meeting row and choose Share or Copy link.

“Summary link copied” confirms the copy; if a later error appears, check visibility before sending. Retry “Failed to copy link”; for “Too many invites — try again in a minute”, wait a minute before retrying. Recipients and visibility changes save as you make them, and if one change can't be saved, only that change is undone.

Invite emails come from “{Your full name} via Wispr Flow” and replies go to no-reply@wispr.ai, so ask recipients to write to you directly if you want an answer. A new invite email's preview can show the previously saved title and summary, but the recipient always opens the current note.

Copy a shared note from the web

Anyone opening a shared note link in a browser — including signed-out readers — can copy it with Copy notes, next to the Summary and Transcript tabs. It appears only on a readable note that already has a summary. It copies the note title, date, and the summary they can see, keeping headings, lists, tables, and checkboxes in apps that support formatting and pasting clean text elsewhere; owner notes, to-dos, share links, and on-screen controls are left out.

If the browser blocks clipboard access, the note is selected automatically and a hint asks for ⌘C (Mac) or Ctrl+C (Windows) — on a phone or tablet, touch and hold the selection, then tap Copy.

Privacy and access

Important: Notetaker transcripts and summaries are stored in Wispr's cloud, with no setting to opt out. Dictation Cloud Storage applies only to dictation and does not control Notetaker storage or sharing, so do not turn it on as a workaround.

A signed personal or organization HIPAA BAA blocks Notetaker recording, so there is nothing to copy or share. For a personal agreement, View signed BAA and Revoke BAA are in Settings > Data & Privacy; revoking one agreement does not remove other restrictions. Organization agreements and policies can only be changed by an authorized administrator in the Admin Portal, so contact your administrator directly rather than requesting access. Management-only enterprise roles such as IT Admin see “Meeting transcription is not available for this account.”

Still stuck?

Contact support if copying fails after retrying, a note never saves, or sharing shows “Meeting not found”. Include your platform, whether you used the notepad or hub, the exact message, and what you tried.
