Notetaker settings, explained

Available on: Mac, Windows, subject to plan, organization and account access.

Open Settings → Notetaker to adjust reminders, recording, Notepad, transcripts and sharing—or use a reminder's caret (▾) → Notification settings.

Note: Platform, Business/Enterprise plan, account or organization restrictions can hide this page and its shortcut row; Reset to default cannot restore blocked shortcuts. Contact your Wispr Flow admin if you need access. Non-admin team members can request access on Notetaker's home page when offered.


Notifications & detection

Reminder timing and menu-bar visibility apply only to this device.

Reminder availability

Reminders require Flow running, sign-in, Notetaker access, and organization-permitted calendars. Declined, all-day, ended, or events already being recorded or detected do not trigger initial scheduled reminders, nor do meetings started five minutes or more ago.

Eligible snoozes can return after that cutoff with a fresh display period, never beyond meeting end; cancellation or rescheduling cancels them.

Never disables scheduled and snoozed reminders; previously disabled reminders use Never. Other timings re-enable them. Sign-out clears reminders and snoozes; sign-in and calendar sync restore eligible reminders without restarting Flow.

Menu-bar visibility

Off keeps the icon and meeting dropdown. Mac's Hide next meeting from menu bar changes the same setting. Titles, lists and Hide/Show disappear when Notetaker is disabled or blocked, or all calendar connectors are policy-disabled.

Auto-end and recovery

Auto-end off disables silence stops, silence warnings and time check-ins—not length limits or their warnings. Guided-tour recordings are exempt from these stops and check-ins.

Time check-ins skip active conversations; the hour check-in also skips limits of one hour or less.

After call-end auto-stop, Notetaker stopped can offer Resume for four seconds; otherwise use Notepad's Resume when available. Other participants' speech can delay stopping.

The same conference returning within two minutes—or ten for the same calendar meeting—can resume automatically.

Recording limits and warnings

3 hours stops at about 2 hours 58 minutes; retired 4-hour/6-hour choices use this limit. Unset or invalid choices use the default. Pausing/resuming never resets the allowance. Sleep/wake can delay stopping; post-sleep limit stops use sleep time as the end, without inflating duration or usage.

Unless a silence-stop warning is already counting down, Notepad or the Flow Bar warns 5 minutes before limits of 1 hour or longer, or 2 minutes before the 30-minute limit.

  1. Choose Yes to open Change auto-end time?, if offered.

  2. Select a higher limit.

  3. Choose Save before reaching the current limit.

Save extends this recording, updates the preference, renews warnings and suppresses the hour check-in. No extension exists at the highest limit; late or outdated selections reopen the warning without saving.

End recording stops now. Dismissal prevents repeat warnings—not the stop. Unanswered warnings can reappear; ignoring or hovering never extends recording.

Allowance exhausted? Start a new recording; choose Record as new if offered.


While Notetaker is active

Notepad

Setting

Open Notepad when starting Notetaker

On by default; opens your notes at recording start.

Split the screen when joining

Off by default; places the meeting left and Notepad right.

Triple tap <your dictation key> for Notetaker (default On)

When available, enables three quick dictation-key presses to join a meeting or start Notetaker.

Keyboard shortcut

Defaults: Mac, Option + M; Windows, Win + Alt + M.

Triple tap is device-specific and inactive when your organization disables Notetaker.

With automatic opening off, eligible auto-detect, New recording, shortcuts, dictation-key gestures and Flow Bar starts can record behind the Flow Bar pill. Tray starts, calendar Join, opening without recording and required policy dialogs still open Notepad. Flow Bar starts never replace active recordings.

Background recording requires Cloud Sync, Microphone and System Audio permissions, and required consent approval. Setup/access checks can show windows or notices; choose Finish Setup for Notetaker isn't recording yet.

System-audio setup on Mac

Granting Screen Recording requires restarting Flow; System Audio Recording Only does not. Unsupported systems show an explanation without a setup action.

Split-screen permission on Mac

Enabling split-screen requests Accessibility unless already granted. Without access within 30 seconds, it switches off: “Accessibility access is required for split-screen on join.”

  1. Grant the requested Accessibility access.

  2. Re-enable Split the screen when joining if it switched off.

Granting during the wait keeps it on; switching off cancels the wait.

Windows saves split-screen immediately without Accessibility setup. Failed browser positioning still opens the meeting and Notepad, but not side by side.

Change shortcut opens Shortcuts → Join meeting / start Notetaker.

Warning: Reset to default restores every Flow shortcut, replacing custom assignments.


Transcript

Setting

What it does

Show live transcript

On by default; displays words while recording.

Enabling it after recording started without live transcription applies next meeting. Off still captures audio and produces the refined transcript after stopping; mid-meeting, it only changes the display. Offline mode is independent.


Sharing

Sharing appears only with available options. Link defaults and auto-sharing require sharing access; Calendar notice availability is separate. Organization policy can narrow link defaults/choices or hide the link-default setting.

Setting

Default for Notetaker links

Sets sharing permissions when copying links, not creating notes.

Calendar notice

Off by default; adds notices to events you organize within seven days.

Auto-share notes

Off by default; shares notes after the meeting ends and its summary is ready.

Link choices: Private; Shared with team (organization required); Anyone with the link (public-sharing permission required). Disallowed saved choices become Private.

Transcripts require email invitations and organization permission—not team/public links.

Auto-share recipients and scope

Choose no one, all attendees, or @your-domain attendees (team-eligible custom domains, matched exactly ignoring capitalization). Public domains are ineligible; losing eligibility displays no one.

Your calendar entry, declined attendees and missing emails are excluded; a calendar event and recipients are required.

Scope defaults to all meetings; its selector requires Calendar notice availability. meetings with a calendar notice requires notices enabled and successfully added.

Existing visibility stays; unconfigured notes become Private. Partial failures retain already-added recipients' access.

Enable Calendar notice

Warning: Turning Calendar notice off widens auto-share from meetings with a calendar notice to all meetings.

Choose Off, Notice only, or Notice and notes link (adds the link afterward). Connected Google Calendar with write permission is required; scheduled notices also require Automatically detect any call on.

Connection/permission prompts leave notices Off when enabling from Off. Outlook-only connections show Not available for Outlook yet and stay Off.

Connect or reconnect Google Calendar

Recovery requires Connectors access and organization-permitted Google Calendar; policy-blocked connections are Disconnect-only.

  1. Open Settings → Connectors, or choose Go to Connectors.

  2. Choose Connect, Reconnect, Try again or Finish connecting; connected Google Calendar accounts offer Reconnect in their menu.

  3. Complete browser sign-in, choosing Select all for requested permissions.

  4. Return to Settings → Notetaker and select the desired Calendar notice option.

The selected option confirms success; Disable turns notices off. Missing write permission can also prompt reconnection.

Ask your admin means policy restrictions; This account can't be connected means an unavailable account. Account mismatches require disconnecting first.
