Meeting notes and the editor in Notetaker

Every meeting gets one editable page holding your notes, the summary, and the transcript. Write during the call in the standalone notepad window, or open any past meeting from the hub and keep editing inline.


How it works in Flow

Overview

Each meeting shows its title, a tab bar (My Notes, Transcript, Summary), your notes, and a bottom bar with chat inputs.

Which tab opens, and first-run helpers

  • Defaults: your first live recording opens on Transcript with a welcome prompt ("Welcome to Notetaker! / Try saying 'Hi Notetaker'") that clears once speech starts. Later live recordings open on My Notes; ended and past meetings open on Summary (which redirects to My Notes while live). When a recording ends, the notepad silently switches to Summary — skipped when no summary is expected.

  • Deep links: links that specify a tab (a "View summary" notification) always open on that tab; if the floating notepad already shows that meeting, the link focuses it instead of opening a second window.

  • First-time tip: shortly after your first transcription begins, a tooltip points at the My Notes tab ("Take your own notes here — we'll create a separate summary for you later."), fading after a few seconds or on click. It shows once.

  • Consent line: at recording start, "Always get consent when transcribing others. Learn more" holds the composer slot briefly; after it fades, the "Wispr will improve the transcript & label speakers" hint may take its place.

Writing and editing

  • Edit anywhere: notes are fully editable from the hub; the record button on a hub note opens the standalone notepad and records there (the hub never hosts a live recording). Edits save as you work and when you quit, and appear in other windows shortly after you pause typing. What you see always reflects saved content; edits from another device arrive after sync.

  • New and empty notes: a brand-new note opens blank with the placeholder "Write your notes here. We'll make a separate summary at the end." and the cursor at the top; notes seeded from a Brief start your cursor at the top of that content. Reopening a note lands the cursor at the end. If you took no notes, My Notes shows "No notes, but Flow captured the summary. Check it out →".

  • Summary states: after you stop, the Summary tab shows a status pill with rotating messages (such as "Turning your meeting into a two-minute read," plus word and speaker counts) and a skeleton placeholder while "Generating Summary..." appears as the loading title. Live recordings show "Summary generates when you stop"; short meetings show a centered Generate summary button; too-short recordings end in "too short to summarize" with no retry. A summary finishing while the window is open fades in with no layout shift, and the editor unlocks once a real summary is present — regenerating locks it until done. While locked, speaker chips and inline formatting (bold, italics, links, citation chips) stay in place. When ready, the notepad placeholder updates to "Your summary is ready. Check it out →" and a notification titled "Your summary is ready" appears. Generate/Update summary hide while recording; Ask and What Did I Miss stay available.

  • Connect calendar / apps callout: while a summary is generating, a dismissible callout may appear in the notepad footer encouraging you to connect your calendar (for speaker names) or other apps (for pre-meeting Briefs). Dismissing it is permanent.

  • Resuming with a summary: resuming a meeting that has a summary shows "New recording since this summary. Updating replaces any edits you made." Click Update Summary to regenerate from the full recording; don't click, and your edits stay untouched. Failures show a Retry with your summary intact; meetings with no summary or the placeholder regenerate automatically.

  • Meeting list previews: the hub detail panel shows the first paragraph of the summary for processed meetings, cycling status lines ("Tidying up the transcript", "Spotting action items") while processing, and the Brief's first paragraph for upcoming meetings. Briefs for past meetings appear read-only below the summary. If a Brief isn't available — the meeting was cancelled, had already started, or no Brief was generated — the hub shows "Brief context unavailable; showing calendar metadata." rather than an error.

Meeting titles

  • Auto-generated titles: Wispr Flow titles each meeting after it ends. If the title isn't ready immediately (slow connection, or the app closing right after a meeting), it fills in the next time the app opens or during a periodic background pass. Untitled meetings from the past 7 days are recovered automatically.

  • Your edits always win: renaming or deleting a meeting while a title is generating takes priority and is never overwritten.

  • Generate title manually: trigger title generation from the meeting's menu. This is a single attempt; if it doesn't succeed, try again.

  • Synced meetings: meetings synced from another device are not retitled on your local device.

Speaker names in the summary

When speaker identification is available, speaker references appear as underlined mentions in the summary, todos, and previews. Hover an unassigned mention (dotted underline) for a "Who is this?" card; named mentions are inert on hover — click to rename. Either updates every mention immediately across transcript, summary, todos, previews, AI chat, and search — no regeneration, and your edits are preserved. In the Assign speakers modal, rows pre-fill with the current resolved name (such as "Josh Benson (You)"), and overtyping an already-resolved row renames that person. Copying text with mentions gives display names, never internal codes.

In solo or undiarized meetings, speaker mentions resolve to your profile name in both the floating notepad and the hub's meeting detail panel; with no profile name set, they fall back to "Speaker N".

For calendar-linked 1:1 meetings — including Slack huddles and calls on laptop speakers — both you and the other attendee are named automatically instead of showing "Speaker 1 / Speaker 2". Meetings where two people share a single mic remain unlabeled to avoid incorrect names. In fully-named meetings, every speaker who spoke appears as a name or chip in the summary and meeting notes; only people who did not speak may still appear as plain text. Speaker attribution separates you from other participants even when another participant shares your display name. The deeper matching rules live in the live-transcript article.

In in-person recordings where multiple people speak into the same mic, unassigned mentions display as "Speaker N" (no hover popover) while the live transcript is still being refined; speakers you've already named keep their name and chip color. Once the refined transcript is ready, unassigned mentions update and the "Who is this?" hover card becomes available. Remote calls (such as Zoom or Google Meet), solo recordings, and paused-and-resumed recordings are unaffected — the recording owner stays labeled correctly.

Speaker chips are consistent throughout the document: an ordinal not yet matched to a name still appears as a chip and updates once the speaker is identified. When the same speaker number arrives from both your microphone and system audio simultaneously, that reference is intentionally shown as plain "Speaker N" text to avoid attributing a quote to the wrong person. Speaker chips never appear inside links or elaboration content. The summary shown in the notes panel always matches the Summary tab.

AI chat in the notepad

Ask the AI questions in the chat bar during or after a meeting. It answers in the chat bubble and touches your notes only when you ask — "update my notes with X" or "rewrite the summary." It no longer creates standalone artifact documents (older artifact sections still display). The drawer closes when generation starts or you click outside it; clicking "What did I miss?" expands it to a readable height without overwriting your saved drawer size, and while a reply streams, the chat stays pinned to the bottom unless you scroll up.

Copy to Markdown and citations

  • Copy to Markdown: first item in the notepad header's … menu (standalone window and hub detail view), disabled until the meeting is ready. It copies the whole meeting — info and attendees, Flow Summary (toggle sections flattened), pre-read, notes, action items, chat messages, full transcript — with assigned speaker names and your profile name instead of "You" (unassigned exports keep defaults like "Speaker 1 (Maya)"). Exported markdown headings use ## Flow Summary and ## Pre-read regardless of any label changes in the app UI. A toast confirms: "All meeting contents copied to clipboard". The Summary tab's copy action copies only the summary.

  • Brief citations: claims from connected sources show a chip with the provider's icon right after the cited phrase (Gmail, Slack, Notion, web pages, calendar events, prior meetings). Click to open the source; prior-meeting chips open inside Wispr Flow, the rest in your browser. Chips appear only for real, concrete sources.

Section pills, cursor, and shortcuts

  • Section pills: a pill row jumps between My Notes, My Tasks, Summary, Brief (a collapsible section at the top of My Notes), and connected apps. My Notes leads while recording; Summary moves to the front once the meeting ends; a Connect Calendar pill stays first until you connect one.

  • Cursor: Enter, Arrow Down, or Arrow Right at the end of the title moves into notes; Arrow Up or Backspace at the very start of your first line returns to the title (plain paragraphs only). Cmd+A selects only your notes or the focused field. After setup completes, focus moves straight to the editor.

  • Keys: back (⌘[) always returns to the hub meetings list, dismissing any open Settings modal, without stopping a recording. Escape first clears focus, then closes the chat drawer or returns to the meeting list. Opt+↑/↓ steps through hub sidebar pages (or a settings modal's pages while one is open), and hub page shortcuts don't fire while a modal is open.

  • Typing expansions: instant conversions with no trailing space: -> → and <- ←, => ⇒, -- em dash, ... ellipsis, (c) (r) (tm) © ® , and != >= <= +/- ~= become ≠ ≥ ≤ ± ≈. Typing --- (or *** or ___) inserts a horizontal rule; Cmd+Z right after undoes just the expansion. Expansions skip inline code and links.

Shared notes

  • Opening one: shared notes support Open in Notepad, Share, and Copy Link, and open read-only: no My Notes tab, record pill, setup gate, or owner-only actions (Delete, Report). The Share panel shows the owner, recipients you were explicitly invited alongside ("(you)" marks your row), and visibility in a disabled dropdown. Link or domain access shows only the owner; anonymous viewers don't see the owner's email.

  • In the hub: the Shared with me tab matches My Notes — same loading placeholder and card styling, and a detail panel that stays mounted so a no-results search doesn't jump the layout. Hovering a shared note shows "by <owner>" attribution. Empty states: "Your meetings will appear here.", "Shared notes will appear here.", "No notes found for '<your query>'.", and an error card with Retry if shared notes fail to load. The date chip ("Today") hides when a list is empty.


Common issues

The same speaker appeared as both a chip and plain "Speaker 2" text in the same summary

Caused by summary passes using inconsistent speaker vocabularies, mixing chip and plain-text references for the same person. Fixed — all passes now share one speaker vocabulary. Update Wispr Flow to the latest version.

Speaker chips or formatting jumped out of line while a summary was being refined

Caused by the locked editor state not preserving inline formatting — speaker chips, bold, italics, links, and citation chips could break onto separate lines and snap back once refinement finished. Fixed: inline elements stay in position while the editor is locked, with no snap when it unlocks. Update Wispr Flow to the latest version.

The summary text in the hub appeared all at once instead of word by word

Caused by a bug in the hub's read-only summary embed where only speaker chips faded in while the rest of the text appeared instantly. Fixed — text reveals word by word as intended. Update Wispr Flow to the latest version.

My meeting summary came out nearly empty even though the meeting was long

Caused by the summary parser discarding bullet points returned in a simpler format, dropping headings, bullets, subpoints, Next Steps, and Decisions from the note body. Fixed — affected meetings render their full summary content; summaries that already displayed correctly are unaffected. Update Wispr Flow to the latest version.

A Brief didn't appear before my meeting

Caused by a network error (for example, your laptop waking before Wi-Fi reconnected) being treated as a successful Brief request, preventing any retry for an extended period. Fixed — unreachable-network attempts are recognized as errors and retried on the next pass. If a Brief still doesn't appear, update Wispr Flow to the latest version and confirm your device has working internet before the meeting starts.

My name and another participant's name were mixed up

Caused by a speaker attribution issue where your own participant tile could be misidentified, merging you and another speaker under the wrong name. Fixed — you and other participants are correctly separated and named, even if another attendee shares your display name. Update Wispr Flow to the latest version.

A speaker showed as "Speaker 1" in some places and my name in others

Fixed. In solo or undiarized meetings, the speaker recorded from your microphone resolves to your profile name in both the floating notepad and the hub's meeting detail panel; with no first or last name set on your profile, it falls back to "Speaker N". Update Wispr Flow to the latest version.

The My Notes, Transcript, or Summary tabs didn't respond to clicks

Caused by an invisible setup layer staying active after setup completed, blocking clicks on the tab bar while keyboard navigation still worked. Fixed. Update Wispr Flow to the latest version; if tabs are still unresponsive, restart the app.


FAQs

Where does the back button (or ⌘[) take me?

Always to the Notetaker hub meetings list, dismissing any open Settings modal. During an active recording, the notepad stays open and the recording continues. Deleting a note from the menu also returns you to the meetings list.

Do I need to save my notes?

No. Edits save as you work and again when you quit the app, so last-second changes are kept.

Will my edits to the summary be overwritten?

Not automatically. Resuming a meeting that already has a summary waits for you to click Update Summary. Meetings with no summary yet, or a "too short to summarize" placeholder, still regenerate automatically.

Why doesn't my meeting have a title yet?

Title generation runs after a meeting ends. If it didn't complete — the app closed immediately after the meeting, or there was a connection issue — it fills in the next time you open the app.

Why does the notepad stay on My Notes when I stop a short meeting?

Short meetings stopped from the notepad don't auto-generate a summary — a centered Generate summary button appears in the generation band instead — so the notepad stays on My Notes for continued editing.

What is the "Try using our MCP" card that appeared after I copied a meeting?

A one-time card shown the first time you copy a meeting as Markdown on a device, explaining how to connect AI tools like Claude and ChatGPT to Notetaker via MCP. Dismiss it by clicking outside or pressing Escape; every later copy shows the standard toast.

Where did the Pre-read tab go?

The tab is now always labeled Summary. Brief content lives in a collapsible section at the top of the My Notes tab — click the Brief pill to jump to it.

Why don't I see a summary preview for some older meetings?

Meetings recorded before AI summaries were introduced show no preview; summaries are not generated retroactively. Full notes are still available by opening the meeting.

Why does the summary look different in a preview compared to when I edit it?

By design: read-only views display summary content flush-left, while the editable note editor keeps its standard indented layout.

Why do I still see "Speaker 1" or "Speaker 2" in my 1:1 meeting summary?

Calendar-linked 1:1 meetings name both participants automatically. If speakers are still unlabeled, connect your calendar in Settings so Wispr Flow can match attendees. See Speaker names in the summary above for shared-mic and dual-audio cases.

Why do in-person speaker mentions show as "Speaker N" with no hover card during my meeting?

While the live transcript is still being refined, unassigned mentions from a shared mic display without a hover popover to avoid showing the wrong name. Once the refined transcript is ready, mentions update and the "Who is this?" card becomes available.

Why does the hub show "Brief context unavailable; showing calendar metadata." for an upcoming meeting?

This appears when the meeting was cancelled, had already started by the time Wispr Flow checked, or didn't produce a Brief (for example, not enough calendar or connected-app context). It is not an error — no action is needed.

Why do the exported headings say "Flow Summary" and "Pre-read" when the app uses different labels?

In-app labels on tabs and pills have been updated, but markdown headings in copied or exported meeting documents remain unchanged, keeping existing integrations and saved exports consistent.

I'm on a Business plan — why do I see a "not available" screen on the Notetaker tab?

Notetaker is rolling out to Business-plan accounts gradually; the unavailable screen means your account hasn't been granted access yet. Access is enabled remotely — no app update required. If you believe you should already have access, contact support.


Limitations and notes

  • Notetaker is Mac only and rolling out gradually — if you don't see it in your app yet, your account hasn't received it.

  • Business-plan accounts may see a brief blank Notetaker tab (up to several seconds) while the app checks access, before the availability screen appears. If you've been granted access, the tab loads normally once that check completes.

  • The tab bar is My Notes, Transcript, Summary — there is no separate Brief tab, and Briefs for past meetings are read-only.

  • Brief citations in the standalone notes web view render as plain text, and Gmail and Calendar chips open the general app (mail.google.com, calendar.google.com) rather than the specific item.

  • Speaker-name resolution in the summary requires speaker identification on your account; without it you won't see underlined mentions.

  • Automatic 1:1 speaker naming requires a calendar-linked meeting with exactly two attendees. Meetings where both people share one mic remain unlabeled.

  • Cmd+A behaves this way only inside the meeting recorder window; Select All elsewhere in Wispr Flow is unaffected.

  • In read-only views of past meetings, the bottom bar (record button, transcript toggle) is hidden.

  • Share controls (copy-link icon and Share button) appear only on notes you own.

  • Opt+↑/↓ is suppressed while typing in a settings input field, and hub shortcuts are suppressed while any modal is open.

  • Hub empty-state messages are currently English-only.

  • The one-time MCP promo card after your first Markdown copy appears once per device.

  • The summary loading skeleton and status pill appear during initial generation only; re-runs and errors use the progress band at the bottom of the view instead.

  • With reduced-motion settings enabled, the loading skeleton's shimmer is disabled and a single static title replaces the rotating messages.

  • Automatic title recovery applies only to meetings recorded on your local device in the last 7 days; meetings synced from another device are not retitled locally.

  • Briefs are retried automatically if the app couldn't reach the network when first requested.
