Review team insights and export usage

Available in: The web admin portal for eligible organization administrators. Real teammate metrics, export and activity fields depend on your plan and enabled controls.
Use Usage to measure adoption, inspect member activity and export recorded daily usage. The Overview charts, Impact cards, Team Members table and CSV dialog have different filters and aggregation rules.
Open team usage
Sign in to the admin Usage page. Eligible Enterprise Admin, Super Admin and IT Admin accounts can also open desktop Insights → Your usage → See team usage. The shortcut opens your browser and appears on Your usage, not Your voice or Leaderboard.
If your plan does not include teammate metrics, some charts and tables show blurred sample data and an upgrade prompt. A visible page or sample chart does not prove access to organization data.
Read charts and filters
- Words Dictated: Total words, change from the comparison period and desktop/mobile trends. Weekly is the default; Daily is also available.
- Active Users: Daily, weekly or monthly activity; weekly is the default.
- Desktop Apps: The top ten apps, with See all for more.
Overview and Team Members support date, app, user and team filtering. Search users by name or email; selecting several can collapse the label to a count. Apps are grouped into Personal messages, Work messages, Emails, AI prompts, Documents and Other. Flow and system interfaces such as Dock, Control Center and the login window are excluded.
Selecting a specific app excludes mobile activity. Filtering by app type alone does not. The same app name can combine activity across platforms where that filter allows it.
Last 7/30 days use rolling comparisons and include today as a partial day. This month, Last month and This year use calendar periods. The page’s custom date picker prevents future dates and a start after the end. Dropdown values and Impact data can lag recent changes.
Interpret Impact
Impact uses the team filter only. Date presets and user/app selections do not change these cards.

Inspect the Team Members table
Search members and filter by word-count period, Active/Trialing status and team. Each page has 25 rows. Changing a filter, search or sort returns to page one. Click a sortable column again to reverse direction; empty values sort last. Click a member for details, or Cmd/Ctrl-click to open a new tab.

Last used at is disabled by default; support can enable it in usage, member-detail and team views. See member administration for roles and removals. With SCIM, remove users through the identity provider; role changes have billing and minimum-billable-user constraints.
Separate forecasts from recorded usage
Weekly charts can extend desktop/mobile lines with a dashed forecast through the current week. Tooltips label the projection and distinguish it from recorded words.
No projection appears in Daily view, when the range ends before today, when recent activity is zero, or without a complete earlier week for comparison. Last 7 days may therefore show none. Forecasts are chart-only; CSV exports contain actual usage.
Export a daily CSV
- Apply the Usage-page filters.
- Select the download icon, Export usage data.
- Review the dialog’s date, app, user and team filters, initially copied from the page.
- Select the offered dimensions under Columns. Follow the minimum-selection requirement if Export CSV is disabled.
- Select Export CSV. The dialog closes and the file downloads; there is no separate success message.
Column choices are remembered. Filters copy from the page whenever you reopen the dialog; Clear filters restores defaults.
Rows represent calendar days and selected dimension combinations, oldest first. The fixed order is Date → User → User email → Department → App type → App name → Words dictated → Dictations; only selected dimensions appear. Words dictated counts words; Dictations counts sessions for that grouping.
- Zero-word rows are omitted even when the member table shows them.
- Blank Department means no team or a deleted team; a blank user name can still have an email.
- Dates remain daily rows. Sum or regroup in your spreadsheet for period totals.
- Specific-app filters exclude mobile activity here too.
Resolve access or export errors
The export dialog rejects a future start date or a start after the end, but permits a future end date. User/team filters must belong to your organization. Removed or foreign member links show Member not found.
For This export is too large, narrow dates or filters; a rejected oversized request produces no partial CSV. For a loading error, use Try again. Ask support about missing export or Last used controls, or persistent failures. Include organization, filters, selected columns and downloaded filename.
