Team plans, trials and seat billing

For: Flow team members and administrators. Manage team plans from desktop Flow or the web admin portal. Trial eligibility, paid seats and commercial terms depend on the account and organization.

A team plan covers members through the organization’s subscription. Use this guide to understand trial timing, add billing and check charges before inviting or moving people.

Choose the team plan

Confirm SCIM and other advanced-control entitlements in your organization’s portal or agreement. Check pricing in the plan comparison, your account and any agreement. Business can appear as the underlying name for a Growth-tier organization. Team/Enterprise cards can show a seat count rather than a price.

Use Growth signup for self-serve checkout or Enterprise signup for sales-assisted onboarding. A solo user must create or join an organization before purchasing Growth. Follow any sales-reserved-domain message rather than creating a separate team to bypass it.

Check trial eligibility and its start date

  • Eligible first team trial: creating or joining a team can grant 14 days of Pro without a credit card. Actual granted days can vary; an existing longer trial is not shortened.
  • Once per user: team-trial eligibility is separate from a personal trial. Joining another team or rejoining does not create another full team trial.
  • Multiple departments: the trial clock starts when you are added to the organization. Waiting to choose a team does not delay it.
  • Trials disabled by the organization: new members receive no new team trial and can become billable immediately. A personal trial already held is retained under the applicable account rules.
  • Student access: a free Student plan is separate from a personal or team trial.

The trial is granted at the qualifying join and is not applied retroactively. If you think a granted trial is missing or shorter than expected, contact support with the account and join date.

What happens at trial expiry

No billing set upFollow the displayed grace deadline and have an admin add billing. If it remains unresolved, members can be removed and return to Free; an empty team is disbanded.
Billing canceled, unpaid or past dueAdmins receive trial-ending/billing notices. Members may receive no in-app warning for this path. The plan card can remain visible with Resubscribe; unresolved billing can end team access after the applicable trial/grace period.
Returning member who already used a team trialAn unbilled team can offer a separate 24-hour window for the admin to add billing. With active billing, the returning member can become a paid seat directly.
Team trials explicitly disabledNo team trial or associated billing grace period is granted.

A You’ve got 24 hours of Flow Pro to get your team’s billing set up notice describes that specific grace window; do not assume it extends every trial. Admins should review each member’s actual deadline and payment status.

If Flow offers Rejoin team, use desktop Settings → Team; this action is unavailable on mobile. A member manually removed by an admin needs a fresh invitation and cannot self-rejoin. See leaving a team and personal Pro for removal and subscription consequences.

Add billing or upgrade

  1. As an authorized admin, open desktop Settings → Plans and Billing, or Billing in the admin portal.
  2. Select the upgrade or Add billing info action offered.
  3. Review the plan, monthly/annual term, seat count, first charge date and payment summary. An annual price expressed per month is still billed annually.
  4. Complete payment in your browser, then return to Flow.
  5. If the plan has not updated, use Finished paying? Click to refresh when offered.

A personal Pro purchase does not pay for teammates. Before joining while already paying for personal Pro, review the warning: joining can replace your personal plan, and joining an unbilled team can make you its payer. Contact support about the transition before buying a second subscription.

Understand seats and upcoming charges

Adding teammates can create prorated charges. Upcoming charges shows scheduled dates, including seat adjustments that can differ from annual renewal. Enterprise agreements determine true-up and payment terms.

Renewal is the subscription-period end, not necessarily an invoice’s due date. Charge dates appear in UTC and can differ from your local date. Automatic domain joins can add members and seats. Check unexpected counts with support before making another purchase.

Enterprise cost centers have separate subscriptions and billing owners; setup depends on your agreement. See cost centers and admin member and billing controls.

Change billing or resolve access

Admins update the payment card for future charges. To hand over billing, give the appropriate teammate admin access and arrange the payment-method change; contact your account team for ACH or custom terms. Standard self-serve cancellation keeps paid access until the displayed period end and does not automatically refund unused days. See billing and cancellation.

If access looks wrong, confirm the invited account, accepted invitation and required team selection. Organization privacy policies can restrict features independently of a paid badge. Temporary network failures retain cached team settings rather than proving membership ended.

Contact support with account email, team/domain, platform, trial deadline or charge date, and the exact message. Save local transcripts before signing out on Android; use mobile purchase recovery when a store purchase is the issue.
